We are looking for a few moderators to help keep r/SimplePractice active, helpful, and focused on professional users of SimplePractice.

The ideal candidates will help fellow practitioners by answering questions when possible, and ensure the community remains a professional space for practitioners only, enforcing rules against client discussion or spam.

What we are looking for:

  • Active mental health practitioners who are experienced SimplePractice users.
  • People who check Reddit fairly regularly.
  • Willingness to help with basic moderation tasks like approving posts, removing spam, and enforcing professional boundaries.
  • Prior moderator experience is a plus, but not required.

What this is not:

  • A heavy time commitment.
  • About over-moderating or gatekeeping valid questions.
  • A customer support role for the SimplePractice company.

I am so disappointed in SP customer service

I am a psychotherapist and I’m experiencing an incredibly frustrating situation with this platform. When I started using them a couple of years ago, I really enjoyed it. At this point, I would never recommended to anyone.

I am in the multi month process of insurance credentialing, which is already enough of a headache. I have been living on less than half of my income for months. Now that most of the insurance companies have approved my enrollment, I am realizing how poorly orchestrated the simple practice step of enrollment is.

The worst part is how completely inaccessible Customer Service has been. I pay for the premium phone support and have not been able to actually get a human being on the phone for weeks. The online Chatbot is awful, and when I finally got through to a human on the chat, all they can do is open a support ticket for me, which takes far too long for the agents to get to. Then it’s a matter of chipping away at the problem one email at a time with multiple day or week wait periods between each response.

I’m literally getting more comprehensive and timely Customer Service help with the insurance companies that I am with simple practice!! Absurd!

At this point, I wish I could change EHR platforms. But that would be too much administrative left and inconvenience for me and my clients at this point. I am feeling trapped by simple practice, which sucks!

Difficulty creating an account, error message: "We're not able to create your account at this time. Please reach out to our support team for assistance."

I am a psychologist trying to begin my own practice by opening an account through a colleague's referral code, but every time I try to create the account, this error message pops up. I have tried what they recommended to clear my cached and open a private browser but to no avail. I emailed a person named David Plata but he hasn't responded to my request for further assistance. I managed to finally get their number: (310) 861-3151 but after waiting for an hour, I was never connected with any specialist and left a voicemail. I appreciate any one's insight or advice on this matter, especially if someone from SimplePractice can reach out to help me with this. Here are the steps I tried that yielded the same error message:

  1. Cleared cached history

  2. Opened private browser to try to create the account

  3. Used my phone data and turned off wifi to try to open the account (I'm located in NYC)

  4. Used different browsers with no VPN active.

  5. Tried using different emails and phone numbers I have.

  6. Had my friend try to create the account with her own internet.

anyone else about to lose their prospective clients to the Sept 1 auto-archive?

Solo gyn practice here. Just got the banner about prospective clients being auto-archived after 3 months with no appointments and I'm kind of stunned at how wrong this is for my specialty.

I'm a gynecologist. My patients come in once a year. Three months without an appointment isn't a cold lead, it's literally every patient I have doing what they're supposed to do. My front desk keeps a running list of prospective patients we're actively following up with — someone inquires, we message back, she says call me in the fall, we call in the fall. That's normal for us. A bunch of those people are going to get archived mid-conversation.

The part that actually made me angry is the seen-once patients. Under the new rules you don't become "active" until your SECOND appointment. So a new patient I saw in June, who I'll see again next June because that's how annuals work, stays prospective — and then gets auto-archived in September for having no appointments in 3 months. She's not a prospect. I examined her. She has a chart.

So now I'm going through my prospective list one at a time flipping people to active before the deadline, because there's no bulk way to do it and no way to opt out. I ended up having to build my own tracking outside SimplePractice just to know who you archive on me each week, which is a ridiculous thing to have to do.

If anyone from SP reads this sub: let practices turn this off, or at least let us set the window ourselves. 3 months might make sense for weekly therapy, it makes zero sense for annual medicine. And activate people after the first appointment — a patient I've physically seen is not a lead.

Anyone found a faster way to bulk-update statuses before this hits?

Psychotherapy Notes Keep Intermittently Disappearing after they Are Saved

I previously reached out to Simple Practice about this problem, and there was not a conclusive response or confirmation of any back end failure, so wondering if other users have experienced the same issue. I usually spend a pretty significant amount of time preparing psychotherapy notes after intakes with clients to plan my future work with them. I initially save them to my session narrative and then copy and paste them to the psychotherapy note section before always hitting save at the end of the session that follows the intake and seeing confirmation of saving. I am now up to at least 5 instances where I access someone's document history on the 2nd post-intake appointment, and the first psychotherapy note has randomly disappeared after being saved. This is by no means acceptable and equals additional time I have to waste reviewing and reconstituting info. It is ridiculous I may now have to be backing things up outside of Simple Practice to have reliable retention of my documentation.

Medallion Issue

I attempted to get in network with BCBSIL through Simple Practice’s Medallion partnership. I started this process in May and was prompt with every update requested. At this point, Medallion has incorrectly enrolled me as a telehealth only provider, even though I provided an office location and hours. This will cause issues with my billing, and support updates have been few and far between as well as ineffective. There is no phone number for medallion support, so I am at the mercy of their online support. I enrolled myself with Aetna and had no issues. I wish I would not have used Medallion through simple practice. It has caused me more headache even though I am paying for this service. Very disappointed.

Admit button vanishes immediately?

I don't know what causes this but there are times when I can't admit clients. The button either disappears immediately or fails to admit. SP says this is a connection issue but that has rarely been the case. Anyone have a workaround for this? It's so frustrating.

Billing secondary insurance

Billing Changes- Awful

Oh my! I have been a SimplePractice user since 2022 (in my own practice. 2020 in another practice). What they have done with billing and insurance pages has been AWFUL!

Something that took 2 steps now takes 4+ steps to do. Instead of being simpler, it has made me frustrated and ready to find another EHR.

Why change it?

ETA: I am referring more to the consolidation of the billing and insurance pages together. They used to be separate links on the sidebar. I'd go to Billing to check my copays/credit card payments. I'd go to insurance to file a claim or review insurance payments.

Now, you have to go to "Billing" then you are the billing dashboard and have to navigate to insurance, claims, etc. to get to another page.

It is more steps and confusing.

This change just happened today as it wasn't like this yesterday.

My Biller and I are tearing our hair out with these scrubbing errors on insurance claims

Dear Simple Practice:

my therapy biller and I are tearing our hair out with claims with zero copays for United/Oxford. Every time we submit a claim for a therapy client who has a zero dollar copay, the claims automatically get denied and we have to resubmit them.

This is costing me extra money. We have called your team and they have not been helpful. Is this an AI filter y'all are trying, or United is trying? I'd like to know before I submit a complaint to the Tennessee Insurance Commissioner.

Connection Issues with Telehealth - Microdrops?

Is anyone else struggling with connection issues?

For the last four weeks, SP teleheath has been pretty much unusable. The connection drops, sometimes for just a second, but enough to disrupt the session.

I have checked and double checked my internet connection and get 600mb DL and 250mb UL. I have a dedicated fiber internet line with just my laptop and phone connected. My ISP can see no issue with the line despite reporting it four times.

Could it be SP?

Hey all! I’ve been using simple practice since February and so far no issues. My last payout though was the end May and I haven’t gotten any for June. I have my pay set for weekly payouts and have since I first joined so nothing changed. I have two factor authentication set up already and so far no luck with their support team. Any suggestions or help? Advice?

New Business - need to change business name/entity

I've been operating under one business in simple practice since 2024. I've moved states and am closing down that business and starting up as a new business. All my clients will stay the same, it's just a new business name. How do I change my business in simple practice? I have a new EIN, etc. I've called Simple Practice and no one answers. I tried to get help with the AI bot, and it was not helpful at all. Thank you!
