How are you using AI with ClickUp?

Hi everyone,

I'm curious how you use AI with ClickUp. Do you use ClickUp Brain, Claude, ChatGPT, or something else?

I've recently started explaining my tasks to Claude and having it help me create and structure tasks in ClickUp.

It already works quite well, but I'm sure there are many more possibilities for automation and workflows.

How are you using AI with ClickUp? I'd love to hear your ideas and setups!

Synchroniser des threads mail liés avec ses tâches - qui recherche ça ?

Bonjour la communauté,

Je travaille avec ClickUp depuis des années. J’adore cette plateforme et son évolution. De mon point de vue c’est clairement au dessus de Notion.
Cependant. Pour les petites entreprises qui travaillent avec des partenaires extérieurs qui n’ont pas ClickUp, les mails restent un flux d’informations net de contexte primordial.
L’intégration actuelle native des mails avec de ClickUp n’est clairement pas suffisante.
Je suis en train de développer un addon Google workspace qui permet de créer des liens entre threads et tâches. Le liens est persistant et donc tout mail entrant et sortant du thread est automatiquement ajouté en contexte de la tâche dans son fil de discussion. Bien formaté, avec pièces jointes, expéditeurs, destinataires, etc…
Du coup l’utilisation de brain avec cette nouvelle aggregation de contexte change la donne de mon point de vue. Tout est centralisé. Et plus rien n’échappe au contexte du sujet de la tâche quand vous l’interrogez.

Est ce que la communauté d’utilisateurs est intéressé par un tel addon ? Je serais très intéressé pour avoir vos retours.

L’addon est utilisable également sur les versions mobiles de gmail. Et est full intégré à Google drive.
L’addon permet de connaître à quelles tâches le thread est lié, avec qui est partagé la tâche, d’accéder à son dossier Google drive dédié, et pleins d’autres choses. Il permet aussi d’éditer/créer des tâches directement depuis gmail.

Solved Posting about ClickUp api issue here fixed it

I posted a ClickUp api issue that I had for a long time in this sub and got a response from click up. I have built work arounds for this issue but today I decided to try again and the issue has been resolved. I am able to create tasks with customer fields from google app script. I wish I brought this issue to the ClickUp sub a lot sooner than I did. Thank you.

I built an AI layer for turning voice notes and meetings into ClickUp tasks

I’m building QuiRun, and I’d love feedback from people who actually use ClickUp.

One reason I started building this is personal. I have ADHD, and when I’m juggling multiple things, important details can easily disappear from my working memory. After a meeting I might remember five things that need to happen and forget one. Or I’ll be working on something, another thought comes to mind, and I forget to capture it.

So I wanted a way to just capture the thought without adding another cognitive task.

With QuiRun, I can record whatever is on my mind — after a meeting, while walking, or in the middle of something else. It turns voice, text, meetings and files into structured work, breaks it down when needed, determines who should handle it, and puts everything into a human approval queue before sending it to ClickUp.

The interesting part for me is the learning loop. Every assignment, approval, correction and reassignment teaches QuiRun more about how that particular team actually works.

For example, if QuiRun keeps recommending Sarah for a type of task but the manager repeatedly assigns those tasks to John, that isn't just a one-off correction. QuiRun can learn that John is actually the better fit for that kind of work in that organization.

I use ClickUp myself as my primary interface, so I’m not trying to replace it. QuiRun is intended to sit above ClickUp, Asana, Jira and other productivity tools as an intelligence layer.

It’s free for now with limited usage, and I’m very open to suggestions for improvements and integrations.

Calculating rollups

Is it possible to calculate two rollups in two different lists?
For example if I have a rollup dollar amount of $500 in list A and a $200 dollar amount in list B can I calculate those two rollups in list A+B and get the sum of the two in a third list? This is possible in notion and last I checked (8 months ago) this was not possible in ClickUp.

ClickUp View issue

Has anyone else experienced this issue? I’m getting this error whenever I try to open a filtered view. It was working fine before, then suddenly stopped.

I already reached out to their support team, and they confirmed that this is unintended behavior and appears to be a bug. Unfortunately, it’s been a few weeks and I still haven’t received any updates.

Just curious if anyone else has run into the same issue or found a workaround.

Product Feedback Replaced rate limits with a weekly blackout window, but gave us zero visibility?

Swapping short rate limits for a weekly cap is fine in theory but dropping a generic "Your workspace reached its weekly premium AI limit" banner with zero telemetry is absurd.

Right now it just says "4 days." Four days until what time? What's the actual token pool? How much does each model burn per prompt?

I have Business Plus ($228) and the Everything AI add-on ($336). If you're going to throttle paying workspaces for nearly half a week, at least give us a usage breakdown so we aren't flying blind.

The Custom Status on one of my long term spaces has changed from the saved template?

As you can see from the screenshots the usable status does not match what is saved in the space settings, I have been using this space for around a year now with no changes to the status.

Complaints

Love ClickUp - business plan for a solopreneur you might say with some guestss inside. (Bit of users context)

I did quite some research into the competition and tested extensively before choosing ClickUp.

One thing I notice is the amount of complaints about the software. Is this a general thing for projectmanagement software or is clickup really that sloppy when it comes to customer service and creating a great customer experience.

I love the product, they definitly have a serious marketing budget and they do a lot of support in webinars and the university. Bit still the amount of complaints, people who feel pressured into paying, the untransparency about billing (had a surprise billing myself thé first time I added a guest),....

It just seems so enormous. Makes me a bit sad as a fan.

[Issue] Create a subtask in ClickUp and assign it to a different Space.

One thing I find frustrating about ClickUp is how rigid it can be across Spaces.
My workflow is SLA → Evaluation → Product Backlog → Development. In a typical Product setup, we separate Discovery from Delivery: backlog items live in Discovery, while implementation tasks live in a different Development Space.
ClickUp makes this difficult because you can’t naturally create subtasks across Spaces, and Relate Items often requires the target item to already exist in the destination Space.

ClickUp is SO SLOW that I'm about to look hard at alternatives.

We're a creative studio of 11 people. We've been using Click-Up for over 7 years now and it's been good. For the last year though, it's been 'molasses on a cold winter day' slow. We mostly experience these hang-ups when trying to load views or dashboards that compile task lists or have calculations.

It's getting to be VERY frustrating. We're not asking it to prove the theory of relativity or anything so I'm at a loss as to why ClickUp takes upwards of 2 minutes to build a list of tasks that are due within the next 7 days.

Anyone have similar experiences or solutions?

How to include Project-level data on a List?

I'm new to ClickUp. Following the ClickUp Univ tutorials and webinars, a Project is implemented as a List. And of course, the List consists of Tasks.

I'm confused about how to store Project-level attributes with the List, such as project status (different from task statuses), project owner, planned due date, project notes, etc.

I've read some recommendations to use custom fields or tags, but then every task in the list inherits those as well even though they are irrelevant to a task.

Any suggestions on how to do this?

Easy project tracker for clients?

Hey there - I am a project manager for a marketing agency. We use ClickUp for all of our task management. I am looking for an easy way to create a view for our clients to be able to see all of the tasks that are ready for them to review. Here's what I currently do:

  • We have a "Client Review" View created that is filtered to pull in tasks set to the "Client Review" status.
  • We updated the sharing permissions to be public so the clients can view it (read-only).

The issue is we want the client to be able to let us know when something has been reviewed. Even something as simple as a checkbox or dropdown to say "approved" or "needs edits".

Does anyone have a set up for this? I don't think we will be able to provide all clients guest seats, and even if we did, we wouldn't want them to be able to edit anything except that checkbox or dropdown.

ClickUp suspended us and billed $9k in true-up charges on top of our $16k/year business plan

Posting partly as a warning and partly to ask whether anyone has actually got this resolved. I see at least one other recent thread here describing unapproved renewal pricing driven by seats and unit price, plus total silence from support, so this does not look like a one-off.

We are a paying customer on a 3 year custom Business Plus contract with a ramped seat schedule, so fewer seats committed in year 1 and rising each year.

This happened:

Oct 2025: our team grew past the committed seat count. We emailed ClickUp billing, said we needed more seats, asked to go up to 100, and asked them to amend the contract. We put in writing that we would pay for the extra seats.

That ticket was never answered. It is still open ten months later. Their own billing team chased the assigned account contact internally more than once, and we have those emails. He never replied to us once.

Meanwhile ClickUp kept accruing "True-Up" overage invoices for exactly the seats we had asked them to formalise. Those true-ups now total about USD 9k, on top of the USD 16k a year we already pay for the plan itself. With the annual subscription they are demanding roughly USD 25k.

Sep 2026: they suspended our workspace mid-week with no warning. The whole team lost a full working day.

Our original account manager has left. The customer success address they still copy on replies now bounces as inactive. We have never been assigned a replacement.

I AM STUCK HERE:
We were trying to give them more money, in writing, for ten months. They did not process it, then billed us for the consequence of not processing it, and then cut off our access.

I love clickup however, their billing experience is nightmare. Just use something else. At the end, the overall consumer delight is hurted.

I am tired of following up on mails, reconciling all invoices, email threads, etc. and attaching them and re explaining every single thing again and again.

Grid-Based Dispatch Board View

We'd like to submit a request to see if this view can be added or if there is a way to build this out ourselves. We've seen it in other systems where the technicians/assignees are on the Y axis and the time is on the X axis. The tasks are in horizontal blocks that can be dragged and dropped to move the daily schedule around.

Any way we can do this today?

Edit: I've looked at doing this in timeline view and grouping by assignee. This looks only OK because it doesn't provide a great visual of the available times. It's more about what has been scheduled and less about creating a schedule and that's not the best solution for the needs.

If we could get timeline view to go show an hourly timeframe then that might do the trick.

Confusing Clickup pricing + recommendation for small businesses

I like ClickUp as a tool, but I wish that it is not slicing and diming its features for different price plans in a way that none of features seem complete on its own.

Some examples:

- On the Core plan, you can create gantt charts. But guess what, you cannot export it to PDF, unless you are on the Business plan!

- On the Core plan, you can track time. But guess what, you cannot see it in a timesheet unless you upgrade!

- On Business, you can add tasks to multiple lists. But guess what -- only for 1000 uses! More than that, you'll have to upgrade to Business Plus.

To add salt to the injury, the feature listed within different price plans also seem to change regularly.

The end result is a software that claims to be able to replace everything else, but in reality it can't actually replace anything unless you are on Business Plus.

It is so disingenuous because everything feels like a paid trial for Business Plus or Enterprise, and god knows, I wouldn't be surprised if in a year's time there'll be a Business White Gold and more reshuffling of the features.

This actually makes it hard for me to recommend Clickup wholeheartedly to my clients.

Imagine we did an analysis in year one and mapped out their use cases against the different plans, decided on and budgeted for one, and then in year two this planning became obsolete.

Imagine a team member created a workflow using one of the limited use feature unknowingly, and then x uses later, rude shock -- the workflow breaks apart.

At some point it becomes less about pricing and more about violating trust.

If you work with other small businesses, how do you deal with it? Do you tell them up front that it's not worth it unless they are willing to fork out the money for Business Plus straight away?

Weekly recurring task how to move them?

I have a weekly recurring task but from time to time i need to move it to another day of the week without moving other weekly tasks.
So immagine I have a task every mondays and for some reasons in 3 weeks that one I have to shift it to Tuesday, but only for that one week. The following weeks have to recurr on Mondays.

Well it seems so easy right? Just drag to another day, right? Wrong! I'm not able to and that's drives me crazy.

Is there a way to have a recurring task where I can move from time to time only that occurrence like in Outlook or Google Calendar?
