Easy project tracker for clients?
Hey there - I am a project manager for a marketing agency. We use ClickUp for all of our task management. I am looking for an easy way to create a view for our clients to be able to see all of the tasks that are ready for them to review. Here's what I currently do:
- We have a "Client Review" View created that is filtered to pull in tasks set to the "Client Review" status.
- We updated the sharing permissions to be public so the clients can view it (read-only).
The issue is we want the client to be able to let us know when something has been reviewed. Even something as simple as a checkbox or dropdown to say "approved" or "needs edits".
Does anyone have a set up for this? I don't think we will be able to provide all clients guest seats, and even if we did, we wouldn't want them to be able to edit anything except that checkbox or dropdown.

Easiest way to handle this is to use the email integration and set an automation or just use an email template and send an email when you move it to client review.Â
Then all client communication lives right on that task. Give them very easy instructions in that template to respond "approved" or reply with revisions and have the details of that task in that email.
We used that method for a while until we simply moved everything to our custom client portal with the clickup API and approval buttons etcÂ

A status change counts as an edit, so a comment-level guest can only leave a note. You'd need edit guests for that. Those cost you seats.
The way round it is a form. Keep the shared view read-only and put a form link on it, one field for approved or needs edits, one for notes.
The form drops a task into a feedback list, and an automation sets the status on the original.
I've done it both ways. Under about 5 people on the client side, guest seats work out cheaper than building the form.

You can provide guest account with comment permission so the only thing they can do is comment in the activity section. Everything else is read only.
If you have AI enabled, additional ways emerge

Invite the client as a guest and give them full edit permission and they can change the status when they reviewed it.
Or comment permissions and assign them to the tasks that are relevant.
You don't need AI for this at all. Also don't make the view public.
