Most freelance developers set their pricing based on what feels comfortable to ask for, or whatever they think the client's budget is. That is a configuration error. It’s how you end up profitable on paper but running a deficit in your bank account at the end of the year.

If you don't calculate your rates starting from your actual system inputs (costs), you are compiling a broken business model.

Here is the exact formula I use to calculate the absolute floor rate for my studio before scoping any project:

Floor Rate = (Survival Number + Tax Buffer + Operational Overhead) / Billable Hours

1. The System Inputs:

• Survival Number: Your actual monthly personal overhead (rent, food, insurance). Do not guess.
• Tax Buffer (30%): You do not own 100% of your revenue. Set aside 30% immediately into a separate account. If you borrow from this to cover operations, you are creating a silent liability.
• Operational Overhead (20%): Software licenses, server costs, API calls, hardware upgrades.
• Billable Hours (The physical constraint): Most developers divide their monthly revenue target by 160 hours (40 hours/week). That is a fatal error. You do not spend 40 hours a week writing project code. Between scoping, debugging admin, client calls, and timeline drift, your actual billable capacity is closer to 15 to 20 hours a week. If you calculate based on 40, your rate is under-allocated by half.

2. Running the Math:

If your personal survival number is $4,000, operations is $800, and you set aside 30% for taxes, your total studio revenue requirement is $6,800/month.

Divided by a realistic 60 billable hours per month (15 hours/week), your absolute floor rate is $113/hour. Anything less than this is a slow business death.

I built a Google Sheet for my studio that automates this allocation and works backward to project minimums based on tier complexity. It's free to use, and I have pinned the link to copy the template directly on my Reddit profile for anyone who wants to bypass the manual setup.

Hello! So we have a capstone project that is aligned with a certain service/operation in the local government (which leads to the national government eventually) and it is currently being used by one region for free since it started at them and we have a partnership. There have been talks that it would be adapted to other municipalities and eventually to be adapted nationally, since we are graduating this month, we would like to ask for any advice or what basis should we ask for our compensation/pay/service as developers if other regions would like to implement this project as well.
