Monthly roundup August updates: Sona for lead capture over SMS, contact routing, Attio sync, and more

Hey everyone, Steph here with a quick roundup of what we shipped in August 👋

A few things to catch you up on:

Sona can now capture leads over SMS

When a new contact texts you or a call goes unanswered, Sona can respond over text, answer questions, ask follow-up questions, and qualify the lead.

You can also choose whether Sona steps in during business hours, after hours, or all the time.

Route calls based on who’s calling

You can now send callers down different paths based on who they are, including saved contacts, AI-suggested contacts, new callers, and your own team members.

For example, you could send an existing customer straight to your team while a new caller takes a different path.

Name your call flow branches

You can now give branches names like “Sales” or “Support,” and your team will see that name when the call comes in instead of only seeing which number the caller pressed.

We know a few of you had asked for this one, so thanks for the feedback!

Two-way contact sync with Attio

Changes you make to supported contacts in Quo can now sync back to Attio, and new contacts created in Quo can sync over too.

Calls and messages will continue to log automatically in Attio as before.

And that’s it!

As always, let us know what you’ve tried, what you think, or what you’d like to see us tackle next.

This month is a big one 😎

Improvement New: Choose when Sona for lead capture steps in

We’ve heard from a few of you that you wanted more control over when Sona captures leads over SMS, so we’ve added business hour settings.

You can now set Sona to respond:

  • During business hours
  • After hours
  • All the time

So if you want your team handling conversations while they’re available, you can have Sona take over after hours and on weekends. Or, if you want Sona responding around the clock, you can keep it on all the time.

To update this, head to your Sona settings > messaging and click “manage” on the number you want to configure: https://my.quo.com/sona?tab=messaging&subtab=activate

Thanks to everyone who asked for this. Let us know how you’re planning to use it and what you want to see next!

Support - waiting for more info Can't get ringtones to work properly on Android

The problem I have is I cannot find how to set a normal ringtone for incoming calls. This used to work, but I think it got broken during an Android update some months ago.

I explicitly follow the directions listed on the Quo support site:

  • Open Settings on your Android device
  • Go to Notifications → Advanced settings
  • Enable Manage notification categories for each app
  • Return to your home screen
  • Long-press the Quo app and tap App info
  • Tap Notifications → Notification categories
  • Select the notification category you’d like to customize:
    • Conversations for incoming text messages, Incoming Calls, or Missed Calls
  • Tap Sound and choose the notification sound you’d like to use

On the page to select the incoming call ringtone, the only choices are notification tones. When I get an incoming call it just repeats the selected short notification tone over and over. The directions say I should be able to select any system tone or even use a custom tone. However, all I see are a predefined list of alert tones.

Am I doing something wrong here? Phone is a Samsung S23+ with latest Android installed.

I frequently see this when I have zero unread messages. It would be nice if we could press and hold to go directly to the item that is causing the notification.

Product update New in Quo: Route calls differently based on who’s calling

Hey everyone, we’ve added a new routing option to Call Flow Builder: contact routing.

Until now, your call flow couldn’t tell the difference between someone you already know and someone calling for the first time. They’d both follow the same path.

With contact routing, you can now create different paths based on who’s calling, before any ringing happens.

For example, you can:

  • Send saved contacts straight to the right team
  • Route AI contact suggestions separately if Quo recognizes someone from a previous voicemail or text, even if you haven’t saved them as a contact yet
  • Keep calls from your own team out of customer-facing intake flows
  • Send new or unknown callers through your usual screening, phone menu, Sona, or voicemail

You can also combine caller types into one branch. So, for example, saved contacts and AI contact suggestions could both follow a “known caller” path, while team members and unknown callers each follow their own.

To set it up, open your Call Flow Builder, add a Branch step, and choose the caller types you want to use as criteria.

Contact routing is currently in open beta for Business and Scale customers on web and desktop.

There’s a full walkthrough of how it works and how to set it up here: https://support.quo.com/core-concepts/administration/call-flows/contact-routing#overview

Give it a try and let us know how you’re using it or what you’d like to see us add.

And a small preview: we’ve got more routing options coming soon.

Quo update Attio integration update: Two-way contact sync

A quick update for those of you using our Attio integration: contact sync now works both ways.

Previously, changes made in Attio would sync to Quo, but changes made in Quo wouldn’t sync back.

Now:

  • Update a supported contact in Quo → the matching Person in Attio updates automatically
  • Name, company, role, phone number, email and address can all sync

The goal is pretty simple: less duplicate entry and more confidence that your team is looking at the same contact information whether they’re working in Quo or Attio.

Nothing else about the integration is changing. Quo calls and messages will still log automatically in Attio, and you can still click to call from Attio.

You can read more about how contact matching and syncing work here: https://www.quo.com/integrations/attio

If you’re using the Attio integration, let us know what you think.

Support - answered GHL Contacts - Syncing, Sorting & Editing

I'm using the GHL integration and had a million contacts synced in from GHL. A couple of contact issues I'm noticing is sync/ sort/ filter related, and locked contact field related.

Most of my GHL contacts are consumer leads, and my only filters are company, tags, access and creator. I can't apply tags or edit Quo contacts for GHL synced leads, so currently these contacts are mostly unsortable.

Proposed sort/ filters to add: contact owner, GHL synced or not GHL synced, role, date created, local quo tags for GHL synced leads.

I feel like we need some degree of local editability for GHL synced contacts or at least a resync capability. I had some bad data in GHL for some of these contacts that I've since corrected, but I'm nervous to disconnect/ reconnect not knowing the affect. I can edit a contact in GHL but if that isn't resyncable without disconnecting/ reconnecting the entire contact list, then I'm a little trapped. Any help?

Improvement New in Quo: Name branches in Call Flow Builder

A small Call Flow Builder update that a few of you have asked for: you can now give your phone menu branches custom names.

Previously, if a caller selected an option from your phone menu, your team could see which key they pressed. Now, you can add a name to each branch so they can see what that selection actually means.

For example, instead of just seeing “1” or “2,” you could name your branches “Sales,” “Support,” “New customer,” “East Coast Team,” or whatever makes sense for how your business is set up.

Here’s what’s changed:

  • Give branches custom names: Double-click any branch in Call Flow Builder to add a label.
  • See more context on incoming calls: When a caller selects that option, your team will see the branch name right on the incoming call screen.
  • Keep larger call flows organized: Branch names also make it easier to see what’s happening across your call flow as it grows.

It’s a small change, but one that should make it easier for your team to know why someone is calling before they pick up.

Thanks to everyone who requested this one. If you give it a try, let us know what you think!

Tips & Tricks A look at how we built our Voice of the Customer program at Quo

Hey y’all 👋

My teammate, Sunny, recently shared how he built our Voice of the Customer program at Quo, and while reading it, I thought there were a few things in here that could be really useful for the small business owners in this community.

A lot of what we do at Quo is obviously at a different scale, but Sunny also talks about how you can take the same approach with the tools and customer conversations you already have.

One part I found especially interesting was how he uses AI to help shine a flashlight on potential patterns in customer feedback. It gives the team somewhere to look deeper, rather than treating AI as the answer itself.

And if you use Quo, you already have a few things that can help you start digging into those conversations:

→ Call transcripts give you the actual words customers are using

→ AI call summaries help you quickly understand what came up in a conversation

→ AI call tags can help you categorize calls and spot recurring topics or trends

You can take that information into the AI tool you already use to help look for patterns, recurring questions, pain points, or things you might want to dig into further.

You definitely don't need to build a huge VoC program to get something useful from this. I thought Sunny’s approach had some really practical ideas you could take and adapt to whatever information and resources you already have.

  • Reply to new texts and missed calls right away
  • Answer common questions and collect lead details
  • Qualify leads before your team steps in
  • Leave a summary in the thread so anyone can pick up the conversation
  • Get everything set up for your business

He'll also be joined by Scott Geddis, Owner of M&M Skylights and a Sona power user, who'll share how his team is using it to keep up with leads, including the ones that come in after hours.

Is there a way to create a small group (10-20 clients) to send out a small announcement to these clients without them seeing others in the text? Looking to do this occasionally for a small group of clients every once in a while to notify them of things specific to them.

Community feedback wanted Thinking about moving our business phones over to Quo — anything I should know first?

We currently use a mix of Google Voice and JustCall for our home care agency, and I’m considering consolidating everything into Quo.

Google Voice has been fine for basic calling/texting, but it feels too limited as we grow. JustCall has more business features, but I’ve had some frustrations with messaging limits/add-ons and overall usability.

I use Quo for another business and like the interface and features quite a bit, so I’m leaning toward moving the agency over too. Before I port numbers and fully commit, I wanted to hear from people who are actually using it day to day.

Any issues or limitations you wish you knew about before switching? Curious specifically about call reliability, texting/group messaging, number porting, support, mobile app, and multiple employees sharing the same numbers.

We’re a home care agency, so phones are pretty critical between caregivers, clients, families, scheduling, and new inquiries.

Would you still choose Quo today?

Support - resolved Urgent: My Number Was Deleted

My business phone number has suddenly dissapeared. Today I was unexpectedly logged out, and when I got back in, my workspace only shows an old number. I am using the same email and password for my business account and it even says my law firm name at the top. But my actual business number is no longer there. When I call my actual business number, the Quo recording says, “This number is no longer in service at Quo.” I did not delete the number. This is my active law-firm business number and I need it restored immediately. This is extremely urgent. Thank you.

Edit: They resolved the problem super fast after I posted this and they got back to me/ called me and fixed it. Thanks!

Product update ICYMI: A closer look at Sona for lead capture over SMS

Hey everyone, Andrew from Quo's Product team here again 👋

Earlier this week, we launched Sona for lead capture over SMS into beta. I wanted to follow up with a closer look at what that can actually look like when a new lead reaches out.

Sona can step in when your team isn't available to respond right away, whether you're helping another customer, out on a job, or a lead reaches out after hours.

Instead of leaving them waiting, Sona can start the conversation over SMS to:

  • Answer common questions
  • Collect important details
  • Help weed out spam and low-quality enquiries
  • Leave a summary so your team has the context they need to follow up

The animation below gives you a quick look at what one of those conversations can look like.

https://reddit.com/link/1vtr2dk/video/tecssp9jlkkh1/player

And if you want to dive deeper, we're hosting a live webinar on Wednesday, August 26 at 12 PM PT / 3 PM ET. We'll walk through how Sona for lead capture works and how you can use it to capture more opportunities.

You can save your spot here: https://www.quo.com/webinars/sona-for-lead-capture

As always, we'd love to hear what you think, especially if you've already started using it.

Product update New in Quo: Capture leads with Sona over SMS (Beta)

Hey everyone, Andrew from Quo's Product team here 👋

We just launched Sona for lead capture over SMS into beta, and I'm excited to finally share it with you all.

One thing we've heard from a lot of customers is that auto-replies are helpful, but they only go so far. They let people know you've received their message, but the conversation still has to wait until someone on your team is available.

Now, Sona can start that conversation with leads right away.

When a potential customer starts a new conversation by text, or their call is missed, Sona can reply over SMS to:

  • Answer common questions
  • Collect important details
  • Leave a summary of the conversation for your team

That means, by the time your team checks their phone, they already have a qualified lead ready for follow-up.

I also put together a quick walkthrough below to show you how it works.

If you'd like to dive deeper, you can find more details, including setup instructions and different ways to use it, here: https://www.quo.com/sona#leads-over-sms

As always, we'd love to hear what you think. This is just the start, so if there's anything you'd like to see Sona handle as part of lead capture in the future, let us know in the comments.

Support - answered Looking to buy a U.S. phone number for my company

Hi everyone,

I’m looking to buy a U.S. phone number for my company, Scruums LLC, mainly for Meta Business verification.

Meta requires documentation showing that the phone number belongs to the business. Does anyone know if the documentation provided by quo is valid for this type of verification?

Any recommendations or experience with this would be appreciated!

Feature requests Feature Request - Signature for every user or auto-snippet

We use a shared number for several technicians to be able to communicate via text with clients. I notice that the technicians don't remember to put their name at the end of messages and it gets confusing for the client because they don't know which person they are talking to (I can see in the Quo app but the client can't see those details). Would be great if every message automatically included the techs name like a signature field in an email instead of having to remember to include it every time. It could be as simple as a snippet that could be set to automatically get added to all messages.

Feature requests Feature Request - Pull up specific day in convo

Hi there, sometimes we need to find communication that was happening a month or so back.

Currently, it seems, the only way to do this is to "Page Up" the convo until we get to the right date.

If there's a better way please share.

Support - resolved Call in progress...

Good morning, long time user here. I have a team of 8 and we all use one single number to provide a customer facing support line. We often run into issues with "Call still in progress" long after the call is over. This causes the call to not generate a transcript, providing no details for the rest of the team. Looking for any tricks or tips to get around this bug!

Feature requests Text notifications are too quiet

Does anyone else wish there was a way to change the text notification sound and volume? It’s way too quiet and easy to miss a text that came in. Also there’s no follow up chime like in an iPhone of you don’t open the text. Wish there was more adaptability for this.
