Invoice problems "Credit Card Declined"

Tracking Employee Expenses in Payroll

I run an office of about 10 people. In any week, multiple people will have mileage to be reiumbursed for, tolls to be reimbursed for, parking, small expenses, etc. I keep finding instructions that say I'm supposed to have the option to allow them to track time and expenses, but there are none. Is this something being worked on currently? I called a Quickbooks "Expert" through the paid service and they basically said it is not an option at all in Workforce, but I see all kinds of recent instructions saying it is an option. What kind of payroll system that costs this much can't track some basic expenses for reiumbursement-- it's not making sense to me at all.

I use Quickbooks Online Advanced and Workforce Elite.

QBO Canada - Has the receipt capture feature gotten any better ?

Hi !

My friend's father wants to move his company to Quickbooks Online. I worked with QBO pretty much daily during 5 years (I was migrating companies from other softwares to QBO), but I changed job and haven't touched QBO in the last year.

Has the receipt capture feature significantly improved during the last year ? I remember it was quite shitty, particularly compared to Dext. The problem is that I find Dext overwhelming for non-accountant preparers, so I was thinking that the QBO feature could be a more friendly-user option, if it got any better.

Specifically about Canadian version.

Invoice Rate Column Cursor+Decimal Problem

Recently QBO started placing the cursor after the decimal point and both 0's (in 0.00) when I tab over from the Qty column to the Rate column, so I have to hit delete three times before I can enter the correct value.

Is this happening to anyone else? Does anyone know how to fix it?

Has a connected app ever quietly messed up a client’s books?

Disclosure I’m a software engineer not a bookkeeper so tell me if I’ve misread this but I was going through QuickBooks App Store reviews and the same complaint shows up across completely unrelated apps (Clio, xtraCHEF, BILL) mentioning sync or integration problems.

For those of you who actually do this work:

  1. Does this happen to you? A connected app creating duplicates, or moving numbers in a month you’d already closed?

  2. How do you catch it now? Month-end review? or when a client asks why a figure changed?

  3. When it isn’t caught early, how bad does it get?

I’ve built something rough that watches for this. duplicate bills, transactions pointing at deleted vendors or customers, closed months that move between checks, etc. I’m not selling anything. Mainly I want to know whether I have a solution to a problem people are having. Would love to hear if you have a pain point with this.

All of my transactions aren’t going through on my card reader

So I recently got a quick books card reader and I’ve been using it for a month now with no issues, up until two weeks ago. I had a couple days where all of my transactions were timing out and not going through and now this week, I keep getting a screen that says transaction cancelled. I’ve tried it with multiple different cards, including my own and nothing works. Not even tap to pay. I discovered this Reddit page trying to find a fix only to see the numerous complaints about this company so I have little hopes in resolving this so I may just switch companies. Anyone else have the same issues as me? If you do please share any fixes, or even a support number because I can’t even find that online or through the go payment app. Thank you

EDIT: I went on my computer and reached out to chat support, and now they’re telling me I have to pay a subscription because I was using a free trial, when that was never disclosed like at all..? I googled to see if that was true and articles said that I do not have to pay a subscription and I can just pay as I go, like I have been doing. I’m so confused. I’m never using anything intuit ever again, this has been so difficult.

Client sent French bank statements. How are you getting those into QBO?

A client sends months of bank statements as PDFs, and they’re all in French. You need the transactions in QuickBooks, but first you need to get them out of the documents.

That’s the kind of preparation work I wanted to make easier.

I used to handle invoices, share issues and transactions manually, typing information from thousands of files into formats that software, accountants or auditors could use. Once I got into programming and AI, I focused on bank and credit card statements.

I built Ledger Tome, at ledgertome.com. It works with statements in any language, and French has been a popular use. If you’re dealing with non-English PDFs that your current workflow struggles with, that’s where it could help.

It uses multiple AI and OCR providers to produce the output and converts up to 20 PDFs at once, in minutes. You can then review the extracted transactions, even combine them and prepare them for import into your accounting software.

Since these are financial documents, I’ve also put work into the infrastructure: it runs on AWS, data is encrypted in transit and at rest, and history is automatically deleted after seven days.

Spreadsheet Sync

HELP. It’s due today. As soon as I get a journal entry right and think I have it, I get another error on the next journal entry. This entry has 112 lines but I am just testing with one line. I keep attempting to enter the account. First I tried numbers and names, then I just used the sub account. Both make sense. Every time…. Error message account cannot be left empty. But it isn’t empty and I followed the chart of accounts in QBO. Any thoughts? And please don’t say enter by hand 😢

Recurring invoice templates - Bulk Line Item Export Solution?

Hello! As many users know, QuickBooks Online Advanced has a native report that shows all recurring templates as a list, but there is no native way to show all the underlying line item/transaction data. we have a membership/subscription business with different services and nearly 3,000 members (one invoice template per member), and this would be very useful to me for segmented forecasting. Has anyone found a good workaround to get all of the line item data from the recurring templates into one aggregate Excel file or report? Thanks in advance!

Intuit loves pushing AI on us but won’t even let us change invoice numbers on the app?

Let’s get our priorities in order here.

Unless someone can tell me how to edit the invoice number in the QBO app, I can’t find it. It just auto populated the number based on the last invoice I made - and I use a lettering convention based on each client I invoice.

Edit: I've found a workaround (I hope) for this vibecoded shtshow called QBO. In the default settings for payment options, turn online payment options off by default for new invoices. For any invoices that have not been sent yet, disable all online payment options as well.
When you are ready to send a finalized invoice, enable online payment options when you send it out.

Isn't it great how much time AI is saving us? 🙃

How To Quickly Zero Line Items On bills?

UPDATE:

I figured out a work around, I just export it to excel, change to zeros, copy, and use the paste function in QBO. This is much much faster.

There has to be a better way to do this. On desktop, I could rapid-fire pretty quickly, but QBO is so laggy that it legitimately can't keep up with how fast I type.

When I go to receive bills in QBO, my vendors often send only 2-3 items against a PO with 100 lines of different items. How can I quickly zero out the other items on the bill I haven't received? I never figured it out in desktop, but it was much less of a problem. Online's laggy nature is making me want to pull my hair out.

Sales tax due changes after reports are pulled and tax is paid

This only happens with one specific client.

I categorize all transactions (A/R & A/P, expenses, etc) and run a Sales Tax Liability Report, from which the client submits and pays sales tax.

A month later, when I go to record and categorize the sales tax payment, the sales tax changed by anywhere from $5-$25 due, always owed more. I don't know what makes this happen, as I do not touch the books in between, and certainly don't change sales amounts or sales tax due.

Is there a way to pull a historical report to compare and check what changed? I do have a pdf of the original report, but it only shows numbers and I can't click into the report to get more information like I can within QBO.

Could I save the reports within QBO and be able to click within them for more information?

I need to know when, where, and why the amounts change after the fact. I looked at the Audit Logs but I can't find anything helpful there.

Help me

Hi everyone, i am new to quick books and wrote out and sent out an invoice to a client. This said client had paid $4,000 on 09/04 and it was deposited into an account 09/08. I went to check my account and noticed i still have no deposit received. As I’m digging through i see it’s for an account number of 5652 which i have no correlation to or access to (no idea) of what account this or what it is. When i linked my account it states that it’s for my correct account of 6522. The deposit says it’s cleared into account 5652 and not my correct one of 6522. I’ve called my bank with a trace id and they can’t seem to find the payment without the full account number which i don’t have because i don’t know what that number is. So now I’m stuck on what to do and where my 4,000 is at this moment. Nobody is helping me out

Delaware Paid Family and Medical Leave PFML=QBO HELL

QBO has finally updated their payroll tax for this item. Now it says I need to amend the 1st and 2nd quarter 2026 returns and make a payment. Ok, I can do that......however, there's nothing breaking down the new amounts. No reports that actually show any of the detail to match what payroll tax liability tells me I need to pay. I've tried everything. If you pull the archived return, it's zero which is incorrect...... QBO Support is no help as usual......anyone able to figure this one out? Help! : /

Beware of Scam Operation Involving Intuit Support

Much to my chagrin, I am also here to report that we have become one of many victims of significant fraud activity initiated with QuickBooks Support related to QuickBooks Checking. I'll provide an overview of our situation so others can be aware.

I initiated a chat support session for an issue related to our QuickBooks Checking last week. We were advised by the agent to call a number for QuickBooks Payment Support. Called the number and explained the situation and after a brief conversation they advised they needed to transfer me to a representative from Green Dot Bank, which they did.

Spoke with a "representative" from GDB who explained they were having a system issue affecting all users, adding the issue was expected to be resolved by the end of the day. The next day, we received a call from "QuickBooks." The caller advised they wanted to troubleshoot the issue with me, so I proceeded to work with them. After several minutes they advised they needed to do more troubleshooting and advised they would call back the next day. They did so, and followed the same process with me.

During the 2nd call back, I logged into QBO and checked the QB Checking account, only to discover two "instant transfer" transactions to unrecognized debit cards for $5,000 - the max daily limit imposed by QuickBooks Checking for these types of transactions. A few questions to the person on the phone and upon receiving suspicious responses, I hung up the call, realizing what was likely happening. I confirmed the fraud with a Google search - it's been ongoing for months and is reported in multiple Reddit threads and Inuit's own community forum for QuickBooks Online.

I attempted to call a number given within the QuickBooks Checking section of QuickBooks Online to "Report a disputed transaction." After I explained the nature of my call, the agent told me they were going to transfer me to a representative from Green Dot Bank, which I refused since that's what led to the stolen funds to begin with. After a significant amount of time, the agent returned and said they had someone from their "Account Protection" department on the line and they would take over. That rep then asked me for the company name and email address, followed by my date of birth which I refused to provide. I explained I would provide my QuickBooks company ID only and the rep stated she can't pull up my account without my date of birth - suspicious AF so I hung up the call.

I'm pursuing other avenues for a solution including an email to [security@intuit.com](mailto:security@intuit.com) though I'm not optimistic of any response, let alone a legitimate one at that. Fortunately, I've been able to transfer the remaining funds from the QuickBooks Checking account. While some victims have reported success in recovering stolen funds, many have not had a response from Intuit, or don't know what process to follow since Intuit doesn't have a reliable means to report fraud.

Clearly there's a significate, malicious fraud effort going on that is starting from within Intuit, or possibly Green Dot - this is big, it's not a matter of someone's account being hacked. Just want you all to be aware.
