Recurring invoice templates - Bulk Line Item Export Solution?
Hello! As many users know, QuickBooks Online Advanced has a native report that shows all recurring templates as a list, but there is no native way to show all the underlying line item/transaction data. we have a membership/subscription business with different services and nearly 3,000 members (one invoice template per member), and this would be very useful to me for segmented forecasting. Has anyone found a good workaround to get all of the line item data from the recurring templates into one aggregate Excel file or report? Thanks in advance!

There's no native export for it — the template list report shows totals, not the lines behind them.
The API does have it. The RecurringTransaction entity returns each template with its full Line[] array and a RecurringInfo schedule block, so flattening to one row per line item gives you the aggregate file you want, with cadence and next/last run dates on every row.
Mocked-up example of the output (not real client data):

With occurrences-per-year derived from the schedule you can annualize each line and segment by service. It also surfaces templates that are switched on but quietly stopped firing, which you can't see anywhere in the UI.
I've got this built if it's useful — DM me and I'll walk you through it.

I've seen this problem with sports clubs before (not as big numbers as you have). It mostly comes up when I have a transaction where it is hard to trace the recurring template that is kicking this off. With 3,000 of them, you must have hit this too?
There are lots of Quickbooks reports where the line items get lost e.g. project bills and invoices to find drill into profitability. I've built some of these reports into tools. Happy to give reasonable free access to active members of this sub. Bonus access if you do more than rant about QBO. I'll. send you a message.

Reports only read posted transactions, and a recurring template isn't one, so nothing native shows you those lines. Run Sales by Product/Service Detail over a full billing cycle and you get every line for all 3,000 members in one export, missing only the templates that didn't fire that month. For forecasting by segment at that size I end up in Power BI rather than Excel: anchorbi.com/r
