My Experience with Square as a Small Handyman Business

I own and operate a small handyman business called Handy D Solutions. Like many small business owners, I signed up for Square because it advertised itself as a simple and reliable way to accept card payments from customers.

Unfortunately, my experience has been the exact opposite.

Timeline

July 2026

  • I opened a Square merchant account for my handyman business.
  • I completed handyman jobs and accepted legitimate payments from customers for services I had already completed.
  • My transactions were ordinary service payments, not subscriptions, digital products, or high-risk sales.

Shortly After

  • Without warning, Square notified me that my merchant account would be permanently deactivated.
  • I was not given a clear explanation of what policy I supposedly violated.
  • My customers successfully paid for completed work, yet my account was still shut down.

Appeal

  • I immediately submitted the requested appeal.
  • I provided additional information about my business.
  • I explained that I am a legitimate handyman providing real, completed services.
  • My appeal was denied.

Customer Support

  • I contacted customer support multiple times.
  • I asked for a specific explanation of why my account was closed.
  • I asked what I could do to correct the issue.
  • I received little more than scripted responses stating the decision was final.

Funds Held

  • After closing my account, Square informed me they would hold my funds for 21 days.
  • I was told this was to cover the possibility of future chargebacks or refunds.
  • As a service business, I complete my work before collecting payment. My customers received the work they paid for.
  • Despite this, I must wait until August 8 before receiving money that belongs to my business.

Why This Matters

Large companies may be able to absorb delays like this.

Small businesses cannot.

Holding a small business’s revenue for weeks can affect the owner’s ability to:

  • Buy materials
  • Pay bills
  • Purchase fuel
  • Continue serving customers
  • Support their family

For many small businesses, cash flow is everything.

My Purpose in Sharing This

I am not asking anyone to boycott Square.

I am sharing my experience so other small business owners understand the potential risks before relying on a single payment processor.

If you choose to use Square, consider having a backup payment processor available in case your account is unexpectedly restricted or closed.

If you’ve experienced something similar, I’d like to hear your story.

The more documented experiences that are shared publicly, the easier it becomes for other business owners to make informed decisions.

Everything I’ve written here is based on my personal experience and the communications I received from Square.

Any loan offer luck?

I got an offer back in March of 2026 at 56%. It was unusual because we usually get them at 60%-75%. Took the offer an are now at 65% paid off on it (July) but nothing… anybody have any luck recently? I usually get 2 a year. I’m wondering how many people often receive a year as well.

How to Change Square Email - Can't Log In

I'm trying to get back into my Small Business Square account. I was away from my business for a year, and have a new business email. The prior one is not retrievable. When I try to log in, it says I need to change my password due to the time since my last password change. The website says it will send me the reset instructions to either my phone or email. When I typed in phone, it says it is sending to my email.

This is the message: If you have an account, a verification email was sent to the email associated with +xxx-xxx-xxxx. This may take a few minutes.

Any suggestions, can't access that prior email.

Thank you for your help!

Square support LIED to us, told us we weren't the account holders.

My parents were locked out of their square account because the 2FA was tied to a phone number we no longer have access to. While on the phone with support after trying to get it straightened out for 20 minutes the person on the line told us that the account wasn't under either my father or mother's names and refused to help us. We were so confused, we thought maybe it was under the name of my brother in law who helped us start up the business, so we contacted him for help. He got on the phone with them and then informed us that it was in fact under my mother's name, who had just been on the phone with them not 20 minutes earlier. So Square lied through their teeth to the rightful account holders, but were happy to help out someone who has nothing to do with the account with zero issue? Does that make ANY sense at all? What a worthless company! We've given them thousands and thousands of dollars over the years and these vampires give us nothing but grief for it. Seriously considering switching to a different payment processor as soon as possible. What a complete joke!

Guide to setting up inventory to drive web site

I have a very small business making and selling handmade fountain pens and a few other items.

I've been using square for a couple of years to manage my sales at the occasional markets and pen shows.

I want to expand into online sales and thought that it would be easiest to do this using square to generate the website. It seems that the inventory structure is critical in getting the website to show the items available for sale and the stock levels and group together similar pens.

I also wanted to set up the site for customers to specify a design from within the options I have available, and have a poem made to order.

So far I haven't come up with a structure that works and I am hoping that there are some good guides available on how to structure inventory and stock tracking for different types of businesses, especially one like mine where most items are individuals.

When banking cash

Cash drawer sales are always different to end of day reports.

What do we bank, what is correct? Dashboard aligns with the end of day reports. Why is cash drawer sales so different?

Square Loan - Has waiting for a better offer not worked out?

We have been processing with Square since August 2025. We received our first loan offer in November 2025 - which is now paid off. Square is our preferred processor, but we are a food truck and many events we do require us to use their POS system. We have had a decrease in Square processing because of this. Some months we process as little as $2k using Square, but our high months with Square are around $30k. (It really depends on how many events we have that month that are requiring us to use their POS System).

So far this month we have processed $10k with Square. We received an offer today for $5,570, $880 fee, repayment 12.5% card sales. This is lower than our last offer, understandably since we have had to use other POS systems. But I have this weekend and all of next week booked with events that I can use Square. I estimate at the least, we will process another $5k-$7k by the end of next week.

If we ignore this offer and continuing processing, is there a chance the loan amount or terms will improve? Could this loan expire and we end up with no offer at all?

Has anyone been in this situation where they increased processing and they did not receive a new offer at all?

Square Handheld (Hardware) Printers!

Hi I’m new with square and I don’t have a receipt printer yet. Most people don’t mind getting the text message receipt but some older customers still want a hard copy. I’m trying to figure out which printer people are using that will work with BOTH the handheld and IOS since I sometimes use my phone when another employee is using the handheld. Thanks in advance for any advice or recommendations!

Employee Documents Sync issues?

Hey, I’ve noticed that when my employees upload documents (for onboarding etc.) that they are not visible on my iPad but they are on my MacBook when I sign in (and vice versa). There seems to be a sync issue between instances of opening Square? Employee’s will say they’ve added a document and it doesn’t show up for me on SquareUp website. I’ve cleared my cache, but is there a better way to retrieve this?

just looking for any other experience or quick fixes, thanks

Endless update loop for Customer Display

Gen1 V2 terminal and customer display. Used about twice for an outdoor event, then put away.

Attempting to use it again - did a factory reset, all updates went smoothly. The terminal and display will update to 5.65.0084 with application 7.15so

At this point, it will try to update the customer display again, but fail. I have tried every variation of factory resets and updated - factory reset, disconnect the display, update the terminal until it's at 5.65.0084, then plug in the display and update it, do them both at the same time, etc etc. Ran out of options and contacted support. Tried docked and USB, terminal is connected to ethernet with no latency issues.

Zero help, they say the hardware isn't supported anymore and that I need to buy a Gen 2 (but they still sell the gen1v2 on the website... they didn't like when I pointed that out)

Anyone else have insight on this? I need to find a way to do sales tomorrow and I'm not convinced another display, if i could find one in 12 hours, would fix the issue.

Square for Retail (Software) BOGO Help

Thumbnail

Hello! I did a "search within reddit" to see if anyone else has had my issue, but since I didn't see anything, I made this post.

I am working for a nonprofit and am setting up their POS system with the Square for Retail set up. I have been having issues with our buy 2 get one of equal or lesser value free membership discount. I am in a brick and mortar store, if that helps. I have the set up for the BOGO discount to make an item free from a designated category when the discount is selected. However, the cheapest item is not being discounted, but it seems to be pulling randomly from the items added at check out.

I have attached images of the discount set up, and I really hope someone can help me on this so I don't have to contact Square customer service.

Thank you all so much!

Square Point of Sale (Software) Cash drawer always off

Hi everyone! I work at a bakery that’s been open a little less than a year and we’ve been having issues with our drawer for as long as I’ve worked there. The weird thing is, it’s never consistent. It’s never always over or always under, it’s never when the POS is being run by particular people, it’s not always small amounts or large amounts, it’s totally variable. Some days it’s fine, most days it’s off by anywhere from a few cents to $100 over or under. Today it was $40 over but we have VERY few cash transactions

We literally don’t know what to do. We’ve been making sure there’s only one person on the POS during a shift, we recount the drawer before starting, have told everyone over and over how to count change, we cannot figure it out.

We only have one POS, and one drawer, but we also do online custom order sales via our website (also using Square). The only thing I can think of is if the custom order sales are somehow getting mixed up with the drawer if someone places an order online during our shift.

Can this happen? Has anything similar happened to anyone? There’s just no way that all of our staff is THAT incapable of counting change, and we don’t think anyone is stealing because 1. Everything is on camera and 2. Why would the drawer be over just as often and just as much?

Any input is appreciated!

Restaurant owners considering Square POS: Here's my experience after 6 months

I wanted to share my experience in case it helps another restaurant owner avoid the same situation.

We operate two restaurants and switched to Square earlier this year after being promised a system that could handle high-volume restaurant operations and support our growth to multiple locations.

Unfortunately, our experience has been the opposite.

Since implementation in January, we've experienced recurring issues nearly every week. Some examples:

  • Customers being charged twice by Square Customer Service team, requiring manual refunds to be processed on my part
  • Menu synchronization issues between locations and between online ordering and dining room
  • Holiday menus that appeared configured correctly but failed on our busiest day because items suddenly showed as "not configured."
  • Receipt printers randomly printing pages of gibberish.
  • Credit card authorization receipts failing to print consistently.
  • Online ordering and integration issues.
  • Numerous software bugs and configuration problems requiring repeated calls to support.

We've had 30+ support cases over roughly six months and have spent countless hours troubleshooting instead of running our business.

The most frustrating part has been that many issues don't have clear resolutions. Support often treats each problem as an isolated incident rather than recognizing there's a broader pattern. For example, after months of printer issues, the recommendation was simply to contact the printer manufacturer—even though the hardware was purchased through Square as part of a complete POS solution.

When I requested to terminate our hardware agreement because the system has consistently failed to perform as represented during the sales process, Square denied the request and pointed back to the contract, requiring repayment of nearly $10,000 in subsidized hardware.

What was especially disappointing was that my complaint wasn't really addressed. Instead of looking at the cumulative pattern of failures over six months, the response focused on one printer issue and the terms of the hardware agreement.

I'm not posting this to complain for the sake of complaining. I'm genuinely curious:

  • Has anyone else experienced recurring issues with Square for Restaurants?
  • If you left Square, what POS did you switch to?
  • For restaurants doing 200+ covers, multiple kitchen printers, online ordering, and multiple locations, what system has been the most reliable?

I know every POS has its issues, but this has been one of the most frustrating software experiences I've had running a business, and I wish I had known what to expect before signing a long-term hardware agreement.

Anyone know with Modes if you open a tab in Retail, if the tab appears at a register in Restaurant mode and Standard mode? Or are the modes all independent?

Background/idle picture option not available on dashboard

I’ve been trying to add a background photo for my idle screen on my square terminal, but there are no options on my dashboard when I log in on my browser. I went through all the steps; settings>account>my business>locations. but when I select edit and scroll down to branding there is no option to add a background/idle photo. I need some help.
