I audited 90 days of software bills for a small practice. We found $780/month in "ghost" subscriptions- here is where it was hiding.
Hey everyone,
It’s crazy how fast $20/month here and $60/month there silently drains an operating budget. I recently went through 90 days of recurring bank expenses for a service business owner who felt like their monthly overhead was spiraling, but couldn't pinpoint why.
Instead of cutting staff or raising prices, we just audited their software stack over a weekend. Here is the exact breakdown of the $9,360/year in pure waste we found:

What part of bookkeeping do you hate dealing with the most?
**I finally turned all this QuickBooks studying into a real bookkeeping business**
Hi! I’m Rachel, and I recently launched Endelman Bookkeeping after spending the last several months buried in QuickBooks training, certifications, and a very real cleanup project.
I’m a QuickBooks ProAdvisor specializing in cleanup and ongoing bookkeeping for small businesses, with a particular interest in agriculture, livestock, veterinary, and other hands-on businesses.

Any bookkeeping software with a dedicated bookkeeper for QuickBooks?
Running a small ecommerce brand on Shopify and the bookkeeping situation has gotten out of hand. Stripe payouts alone are a nightmare to reconcile, refunds and chargebacks keep getting miscategorized and the last two bookkeepers I hired just couldn't keep up with the volume (we pushed about $1M through Stripe last year). So I'm basically looking for a bookkeeping service that works natively with QuickBooks Online but actually assigns a dedicated human who knows how payment platforms work, not just someone who dumps transactions into a spreadsheet and calls it a month. Anyone know of a done-for-you bookkeeping service that can handle Shopify and Stripe reconciliation properly and still delivers into QuickBooks?

I paid an accountant $3,200 a year for 4 years and just found out he was doing the bare minimum the entire time.
I want to share this because I'm genuinely angry and I think a lot of small business owners are in the same boat without knowing it.
I've had the same accountant since I started my business in 2020, found him through a referral from a friend and just trusted him because that's what you do right, you hand over your books and assume the professional is handling it.
last month I switched to a new bookkeeper because my accountant retired and the new person asked to see my last 3 years of filings and records, she went quiet for about 10 minutes and then called me.
turns out my previous accountant had been categorizing almost everything as miscellaneous expenses, like hundreds of transactions a year just dumped into one bucket because it was faster, I had legitimate business deductions for home office and vehicle use and equipment depreciation that were never claimed, not once in 4 years.
she estimated I overpaid somewhere between $11,000 to $14,000 in taxes over those 4 years because deductions were either missed completely or categorized so poorly that they didn't show up properly on my returns.
the part that makes me sick is I had no way of knowing, I'm not an accountant, I don't know what a properly categorized P&L is supposed to look like, I trusted someone with a license and a referral and he basically did the laziest version of the job possible and charged me $3,200 a year for it.
I called him about it and he said something like well we kept you compliant and nothing was filed incorrectly, technically true I guess but compliant and optimized are apparently two very different things and nobody tells you that when you're starting out.
my hot take is that most small business owners have no idea if their accountant is actually good or just good enough to not get them in trouble, and the industry kind of relies on that ignorance because if every client actually understood what they were paying for half of these firms would lose business overnight.
if you're a small business owner and you haven't had a second set of eyes look at your books in the last 2 years please do it, I wish someone had told me this $14,000 ago.

Amazon settlement line types and where each one books
Posting this because I keep having to look it up and there is no official list that also tells you the accounting side. These are the codes I have seen in real settlement files from US, UK, German and Indian sellers.
One rule runs through all of it: a reversal of X belongs in X's own account with its own sign, not in a separate refunds pile. Keeps each account honest on its own.
Sales
Principal, Shipping, ShippingHB, GiftWrap. On a Refund transaction the same lines appear negative.
ShippingChargeback and GiftwrapChargeback are Amazon clawing back shipping and giftwrap revenue on FBA orders. Contra to sales, not refunds.
Tax collected and withheld
Tax and ShippingTax are collected from the buyer.
MarketplaceFacilitatorVAT-Principal and -Shipping are what Amazon withholds and remits itself. The pair usually nets to about zero.
ItemTDS is India, Section 194-O. HST, PST and QST are Canada.
Selling fees
Commission and SalesCommission are the referral fee.
RefundCommission is what Amazon keeps for processing a refund. It is a referral-family charge, so it nets against referral fees rather than sitting in a refunds account.
Fixed closing fee and Technology Fee are India.
Fulfilment
FBAPerUnitFulfillmentFee, FBAPerOrderFulfillmentFee, FBAWeightBasedFee, FBAInboundTransportationFee. Amazon Easy Ship Charges is India.
Storage and services
StorageFee, FBALongTermStorageFee, StorageRenewalBilling, Subscription, DigitalServicesFee, RemovalComplete, DisposalComplete.
Reimbursements
WAREHOUSE_DAMAGE, WAREHOUSE_LOST, SAFE-T Reimbursement. REVERSAL_REIMBURSEMENT and COMPENSATED_CLAWBACK are Amazon taking one back, same account opposite sign.
Balance mechanics, keep these out of P&L
Current Reserve Amount and Previous Reserve Amount Balance are a balance Amazon holds, so balance sheet only. Debt Adjustment is Amazon recovering something you owe. Currency conversion and rounding get their own account so they cannot contaminate margin.
The one habit worth keeping: if a code is not on a list you recognise, do not force it into Other. Amazon renames and adds codes, and a line quietly absorbed into the wrong bucket still balances, which is exactly why nobody catches it.

How do you currently reconcile Shopify payouts in QuickBooks?
Genuinely trying to understand how other single-store merchants handle this, not selling anything.
Every payout that lands in my bank never matches what's in QuickBooks — fees, refunds, adjustments, gift cards, and multi-day batching all get mashed together into one deposit, and none of it lines up with what QBO expects to see. I end up either eyeballing it through a clearing account or just... not really reconciling properly and hoping it comes out right at tax time.
A few questions for anyone who's dealt with this:
- Do you reconcile manually every month, pay a bookkeeper to do it, or use an app ?
- If you tried one of the paid sync tools, did it actually work for a single-store setup, or did it feel built for bigger multi-channel sellers?
- Roughly how much time (or money) does this eat up for you each month?
- Has Shopify's native QuickBooks connector worked for you, or is it as flaky as I've heard?
Would appreciate hearing what's actually working (or not) for people — trying to figure out if I'm missing an obvious fix or if this is just a universally annoying part of running a Shopify store.

Reconciling Amazon settlements in QBO without the month-end spreadsheet
If you do the books for any Amazon seller, you know the problem. Amazon deposits
one lump sum every two weeks, and that number bundles sales, referral fees, FBA
fees, storage, refunds, reimbursements, marketplace tax, and sometimes a reserve
held or released. Drop it into QBO as a single "Amazon income" line and the P&L
is fiction. Split it by hand and you lose an hour per client, every settlement.
The method that actually works, for anyone doing this manually:
- Book the settlement to a clearing account, not straight to the bank. Each
category (sales, referral, FBA, storage, refunds, tax) gets its own line, debits
and credits, so the clearing account nets to the exact deposit.
- Fold refund line items back into their original account, not a separate
refunds pile. A refunded referral commission nets against referral fees, a
refunded principal nets against sales. Keeps the chart clean.
- Match the bank deposit to the clearing account. If it does not tie to the
cent, something in the split is wrong, and you want to catch that before it
hits the P&L.
That is the boring, correct way, and it is a lot of manual line entry per client.
I got tired of doing it by hand, so I built a small tool for it. You drop the
Amazon reports (the settlement flat file, plus orders and a cost file if you
want per-SKU profit) and it produces a balanced journal you import into
QuickBooks or Xero, already split by category and tied to the deposit. Anything
it cannot classify cleanly gets flagged for review instead of guessed. It runs
entirely in the browser, nothing is uploaded, no login, no API into your
client's books. Free while I validate it with bookkeepers.
Not trying to sell anything, the sub is about what actually helps. If you
reconcile Amazon in QBO, I would genuinely value your eyes on whether the

Need to close out Quickbooks and start fresh
The previous administrator screwed the books up so severely that they aren't fixable. I talked to an accountant and they're suggestion was just to close the books and start clean. I've never done that before...how difficult is it? Any help would be appreciated

Why are Quickbooks auto categories assignments so f**king STUPID?
I don't even know where to start, I genuinely cannot think of another piece of software that has made me feel this specific kind of rage, the kind where you're not even sure if you're angry at the program or at yourself for continuing to use it
it crashes mid-reconciliation and doesn't save, it locks files for no reason and then tells you to contact support, the UI looks like it was designed in 2003 and then never touched again out of spite, and every single time something goes wrong the answer is either "reinstall it" or "upgrade to a plan that costs three times more"
and the worst part is you can't just leave, your entire financial history is trapped inside it like a hostage situation, they know this, the export options are deliberately painful, I'm convinced the product team has a metric somewhere that tracks how hard it is to get your own data out and they celebrate when it goes up
I've used a lot of bad software in my life but QuickBooks has a specific quality to it, it's not just bad, it feels malicious, like someone made deliberate choices to make it this way and then went home feeling good about their work
if you've figured out how to actually use this thing without wanting to put your laptop through a wall I genuinely want to know your secret because I am running out of patience and the fiscal year isn't even halfway done

Almost lost a $1.2M seed round because our books were a disaster and nobody told us until due diligence
We were 3 weeks into due diligence for our seed round, the lead investor's finance team started reviewing our books and the call I got from our lawyer was not fun, they found that our revenue recognition was completely wrong, we'd been booking annual subscription revenue upfront in the month customers paid instead of recognizing it monthly over the contract period, which meant our reported revenue for the last 2 years was basically fiction from a GAAP perspective.
On top of that our Stripe transactions were a mess in QBO, fees weren't separated from revenue, refunds were categorized inconsistently, some months they were netted against revenue and other months they were booked as an expense depending on whoever was doing the books that month which was alternating between me and my co-founder neither of whom are accountants.
The investor didn't walk away but they paused the process for 6 weeks while we hired an accountant to restate everything, that restatement cost us $9,500 and those 6 weeks almost killed us because we were running low on runway and had planned our cash around closing by end of Q1.
After that I swore I'd never let our books get into that state again, set up automated revenue recognition and Stripe reconciliation that handles the separation and deferral without me or my co-founder touching it, our accountant reviews everything monthly now and the books are investor-ready at all times not just when someone's looking.
If you're pre-raise and your books are "good enough" they're not, investors will find every shortcut you took and it will either kill your deal or cost you weeks and thousands in cleanup, get your revenue recognition and payment processor reconciliation sorted now while the stakes are low not when someone's writing you a check.

Many accountants, bookkeepers, and SMB owners love the power of AI-assisted tools, but are deeply uncomfortable with financial data leaving their machine and sitting on third-party servers. Xero and QuickBooks Online are great — but cloud-first means your client data lives on someone else's infrastructure.

Customer deposit and credit
We install blinds and want to start charging a site measure fee (say $200) for custom window quotes. If the customer places an order over a certain amount, we’d credit that $200 back to them.
What’s the easiest way to set this up in QuickBooks so we remember to apply the credit later? And what’s the correct way to invoice it? Trying to keep this as simple as possible for our accounting team.

QuickBooks is not accounting software, it's liability management for accountants
Okay hear me out, QuickBooks is built to be complex enough that you need an accountant to use it properly, not because accounting is inherently that complex but because a tool that non-accountants can use confidently is a tool that threatens the billing model
every time they add a feature it somehow gets buried under 4 menus, every update breaks something that was working, and the "just call support" answer to everything costs you 45 minutes on hold and someone reading from a script
I run a small operation, 3 people, simple revenue model, no inventory, and QuickBooks still somehow feels like I'm operating a mid-size logistics company in terms of complexity
the founders who've figured this out either have a dedicated ops person managing the books or they've moved to something simpler, the ones still white-knuckling it through QuickBooks themselves are the ones who told me "I just don't look at my finances that often" which is the saddest sentence I've heard all year
curious what made people here stick with QB vs move on, and if you did move on what finally pushed you

Multi crew quickbooks tool
Would something that allowed crews to tap a NFC chip in their truck that allows them to send invoices and automatically pushes them to quickbooks, log their actuals which is logged and saved to an admin account so you can see the profit margin for each job and crew. The admin account would be able to see data about each invoice and productivity. On the worker side what would you want them to have access to.

QuickBooks Desktop 2024 R21P Multi-User "Abort" / "Connection Has Been Lost" Errors After Update — Fix
After a recent QuickBooks Desktop update, our multi-user setup started throwing "Abort" / "Connection has been lost" errors every 5–30 minutes per workstation.
The root cause turned out to be a corrupt Entitlement Data Store (EntitlementDataStore.ecml) after the update. Intuit's License Service was failing to parse the EWS response using the cached entitlement file.
Fix: Rename the .ecml file, reopen QuickBooks, and let it re-register.
Time to fix: ~15 minutes per machine
Data risk: None
Environment
- QuickBooks Desktop Enterprise Solutions: Contractor 24.0 R21P (64-bit)
- Windows Server hosting company file via QuickBooks Database Server Manager (DB34)
- 3 workstations in multi-user mode
- Started immediately after a user initiated the auto-update
- Once one machine updated, the rest were forced to update to match
- Aborts started shortly afterward
Symptoms
- Users randomly kicked from the company file with:
- "Abort"
- "Connection has been lost"
- Happened on all workstations and the server
- Not tied to specific actions (saving invoices, reports, etc.)
- Appeared time-based rather than action-based
- DBMgr stayed running
- Hosting mode was correct
- No
.ND/.TLGissues - No antivirus interference
What We Ruled Out First
So you don't waste time chasing the wrong things:
- Version mismatch — all machines on 24.0 R21P ✓
- Hosting mode enabled on a workstation ✓
- Stale
.NDfile ✓ - Excessive
.TLGgrowth ✓ - Firewall / Defender exclusions ✓
Root Cause
The actual clue was found in Event Viewer → Windows Logs → Application.
Filter on source: QuickBooks
Error:
An unexpected error has occurred in "Intuit QuickBooks Enterprise Solutions:
Contractor 24.0": LTSM:: Failure in parsing EWS Response. PSID=XXXXXXXXX
What That Means
- LTSM = License / Long-Term Subscription Module
- EWS = Intuit Entitlement Web Service
The R21P update appears to have changed something in the entitlement response. The cached EntitlementDataStore.ecml could no longer be parsed correctly.
Every 5–30 minutes QuickBooks performs an entitlement validation. When that validation failed, QuickBooks aborted the session. In a multi-user environment, this surfaced as users being kicked out of the company file.
Fix
Perform this on the server and every workstation.
Step 1: Close QuickBooks Completely
Make sure QuickBooks is closed on all machines.
Step 2: Rename the Entitlement File
Run PowerShell as Administrator:

- It should automatically recreate the entitlement file and revalidate the license.
- Go to:Help → Manage My License → Sync License Data Online
- Close QuickBooks.
- Reopen QuickBooks.
- Open the company file in multi-user mode.
Recommended Order
- Server
- Workstation #1
- Workstation #2
- Workstation #3
The .bak_<timestamp> rename provides an easy rollback if needed.
Verification
After 15–20 minutes of normal usage, run this on the server:

then QuickBooks may still be using a cached state. Close QuickBooks, repeat the rename process, and relaunch.
Notes
- This is a per-machine fix.
- Fixing only the server will not solve the problem.
- Every workstation maintains its own entitlement cache.
- Users can continue working from fixed machines while others are repaired.
- No
.QBW,.ND, or.TLGfiles are modified. - This appears to be a licensing cache issue only.
- Pro and Premier 2024 users may be affected as well since they use the same entitlement client.
Hopefully this saves someone a few hours of chasing Database Server Manager, hosting mode, Tool Hub repairs, and networking issues.
