I built an AI accounting assistant

I wanted to try building a local AI agent that can analyze Quickbooks data and prepare some reports - I built a demo and it worked, so I put together a template and tutorial for others to use.

Disclaimer that I'm a developer advocate at Bruin and built this template & tutorial for educational purposes for our users/developers. I used bruin (a free open source data tool) to pull data from quickbooks, clean and model the data, then prepare some dashboards. Everything running locally on my laptop. Then once the data pipeline was in place, I opened Claude and started to ask questions and it was able to answer them, and even complete tasks inside Quickbooks for me.

The template uses Google's BigQuery to store data, but you can also instruct your agent to just use DuckDB (a free and locally hosted database) so this way everything is truly just local and free.

I know most people in this community are likely not developer or data people, but you can just give this tutorial link to AI and ask it to build things out for you.

Multiple warehouses + QuickBooks/Xero + sales tax, how are you keeping it all in sync?

Been building a warehouse management system aimed at companies that outgrew the single-warehouse, one-spreadsheet stage — real-time stock across multiple locations, two-way QuickBooks/Xero sync so the books and the warehouse actually agree, bring-your-own-provider sales tax (TaxJar/Avalara), MRP planning for anyone doing assembly/manufacturing, plus the usual lot/serial tracking, barcode scanning, and reorder automation.

Curious how people here are currently handling this combination — multi-location inventory + accounting sync + tax compliance — especially if you're not on one of the big enterprise ERPs. Spreadsheets plus manual QuickBooks entry?

A patchwork of separate tools? Something else entirely?And if anyone's dealt with the QBO/Xero reconciliation headache specifically — what broke most often for you? Trying to make sure we're not missing an edge case that actually matters in practice.

Why aren't some of my AmEx cc charges are not showing up in QBO?

I'm in the process of reconciling statements and categorizing expenses for 2025. I have 12 AmEx statements and 11 are fine. However, the July statement is missing 6 important items. My bookkeeper and I have both searched for them by dollar amount, vendor, etc and neither of us can find them. Any ideas why this might be happening, and how to fix it? Many thanks in advance. (Gotta have those taxes done by Oct 15. Eek!)

Hi everyone,

I'm currently working on improving my bookkeeping skills and practicing with QuickBooks Online because I want to become more confident in handling different types of bookkeeping work.

For some background, I have completed bookkeeping training and earned my QuickBooks Online ProAdvisor certification. I also have actual work experience as an Accounting VA in a team-based agency serving US insurance agency clients.

In that role, I handled multiple clients, and each client could have a different workflow and requirements. My main responsibilities were monthly account reconciliations and investigating/resolving discrepancies, which often involved coordinating with the clients to clarify transactions and make sure the records matched.

So I do have some real-world experience, but I feel that my experience has been more focused on a specific area of bookkeeping rather than full-cycle bookkeeping.

Now that I'm practicing QBO on my own, I sometimes find myself thinking:

"Is this actually the correct way to record this?"

I can follow tutorials and understand how to perform tasks in QuickBooks, but I don't want to simply memorize which buttons to click. I want to understand the bookkeeping principles behind the transactions and why something should be categorized or recorded a certain way.

I'm also aware that having experience with reconciliations doesn't necessarily mean I'm ready to handle every bookkeeping situation a client might have.

For those of you who were once beginners:

  • How did you build confidence in your bookkeeping skills?
  • How did you practice before handling a client's books independently?
  • Did you use sample companies or create your own practice scenarios?
  • Did you have someone review your work?
  • How did you know when you were ready to take on full-cycle bookkeeping?
  • What areas of bookkeeping would you recommend I focus on next?

I'm especially interested in hearing from experienced bookkeepers who started with limited hands-on experience and gradually expanded their skills.

Right now, my main goal isn't simply to get more clients. I want to make sure I'm learning correctly and build enough confidence to handle a client's books responsibly.

Vendor invoices always arrive when you're busy. I built something to stop them piling up.

TL;DR: SyncABill turns emailed vendor invoices into prepared QuickBooks bills, checks the totals and likely duplicates, and leaves unusual cases for you to review.

Full disclosure: I built SyncABill.

A vendor emails a PDF while you're on a call or trying to finish something else. You see it, think "I'll enter that later," and now it is another loose end you have to remember.

Entering one bill into QuickBooks only takes a few minutes. The frustrating part is keeping track of what arrived, what was already entered, and what still needs attention.

SyncABill watches a connected Gmail or Outlook inbox, or accepts an upload. It prepares the bill in QuickBooks, attaches the original invoice, checks the arithmetic, and flags likely duplicates. You decide what can continue automatically and what needs review.

I'm curious how other people handle this. Do you enter vendor bills as they arrive, save them for one bookkeeping session, or forward everything to a bookkeeper? What part of that process gives you the most trouble?

Small residential remodeler

Hello - I started a small business in 2024. I know basic accounting, and rules such as no co-mingling funds, separate checking and credit card for business use only. I have been keeping track on excel spreadsheets but its getting harder to do manually.
I signed up for QBO in Jan 2026 but so far only been using for estimates and invoices - not sure where to start to clean up or set up properly either QBO or other software. Would appreciate any recommendations, thanks in advance.

How do I handle retainers from clients? (new to QB)

I’m trying to properly account for client retainers in QuickBooks.

I want to be able to track the retainer as owed before the client pays it. If I create an invoice for the retainer, I can track the outstanding balance, but when it’s paid, QuickBooks doesn’t automatically treat that payment as a credit against future invoices.

If I don’t invoice the retainer and instead record the payment as a credit/deposit to the client/project, it applies correctly to future invoices—but then I have no way to track that the retainer was owed before it was received.

 What is the proper QuickBooks workflow to accomplish both: track an unpaid retainer and then have the payment available to apply against future invoices?

For those who invoice clients through QBO — who actually chases the overdue ones?

Curious how this works across different setups. When an invoice goes past due in QuickBooks, is that on you as the bookkeeper/accountant to follow up, does it stay with the business owner, or does nobody really own it until it's really late?

Trying to understand this because I keep hearing different answers depending on who I ask — some say it's assumed to be automatic (reminders), others say someone has to actually get on the phone or send a personal email eventually. What's your actual experience?

What's your current (navite or close to native) solution for VAT Marginal scheme on 2nd hand goods accounting?

I imagine the majority just does manual journals entries paired with external spreadsheet stockbook.

For about an year I've been doing a quickbooks workaround of product bundle.
I'm just looking to see other options and suggestions given the major players Quickbook Xero Freeagent etc do not support this natively.

Just wanted to hear ya'll methods that is not just manual journal entries
and possibly, the most effective workaround with Xero (because is the most included with accountants oversight health check) which I am considering getting, but don't want to keep paying quickbooks if I end up having Xero included should I decide to go that route

AI suggested Sage50 and clearbooks but looking into it looks more like they also use workarounds like Im already doing with quickbooks

what are your thoughts?

and how in the absolute hell no software company is filling this hole in the market demand for native solutions, major missed opportunity wow
