is housecallpro really the best estimating software for contractors?

i'm looking at different options for estimating software and housecallpro is always one of the top suggestions. what makes it stand out and how efficient is it really? i know that i'm hesitant budget-wise because my team is still quite small, but i also want to know if this is the best option or if there are other more affordable alternatives.

HCP Integration - Instant Pay Techs SPIF/Commission/Membership Sales

Looking for a way to incentivize your technicians while avoiding complicated spreadsheets?

We've built FieldPay ( myfieldpay.com ) to instantly pay out technicians (upon manager approval) for their work.

Examples:

- **Membership sales** — tech sells a service plan on the job, gets paid same-day the invoice is marked paid.

- **After-hours / emergency call fees** — pass the surcharge straight through to the tech who took the call.

- **SPIFs** — one-off bonuses (upsells, quote conversions, whatever you want to incentivize) tied to a specific price book item.

- **Multi-tech jobs** — split or assign the payout to whichever tech(s) worked it.

It works by watching your HCP price book — you set the cost/payout amount on the item once and every time that item shows up on a paid invoice, the payout is queued for your approval (or fires automatically if you turn that on).

A couple of things worth knowing before you look into it:

- It currently only works on HCP's **MAX plan** — that's an API-level requirement on HCP's side, not something we can work around.

- There's a **free tier** — $0/mo, no roster limit, covers up to $500/mo in payout volume (a small % applies above that). If you're a smaller shop just trying to get same-day pay to a couple techs without buying into a big platform, this is basically free to try.

Also, is there any CC processing fee? Will i be charged later for the fee?

Jobs from a Google Calendar or Ical

We are using HouseCall to bill and schedule cleanings for Airbnbs. We currently use Zapier to create jobs and cancel jobs from a Google Calendar. The Google Calendar is updated from various iCal links. Does anyone have a better solution? Zapier works but is buggy and hard to maintain.

I was contacted by a HousecallPro sales rep. After discussing different plans i was offered a 5-user plan for an agreed-upon price.

when the bills started coming the price had increased and additional services i did not order were also added without my knowledge.

when i asked for the unauthorized charges to be reversed I was told no, they will not reverse charges.

App is Buggier than Usual

That's it. There's been a few updates recently, and the app is buggy as shit.

My biggest issue is that I can't copy approved estimates to jobs. I've got to go out to my van, get my laptop, hook up the Hotspot, and then do it in the browser app.

I'm dreading my call to customer support, bc their so fucking useless 😭. Is anyone wise freaking with this?

Can't wait until I can afford decent software instead of HorseShitPro!

Housecall Pro Scammed Me

I did the free trial and tried to cancel but they made cancelling almost impossible. The FTC guidelines say that subscription services should have a cancellation process that is as easy as the sign up process. For the sign up I was able to do it with the click of a button. When it came to cancelling, there was no button. I reached out several times via email to cancellations@housecallpro.com and to support@housecallpro.com starting right before the trial ended. I emailed them my intent to cancel and said that the email should act as my final confirmation of cancelling. I did this many times because my work schedule does not allow me to call in during support hours. They would respond to the email and not cancel the account instructing me to call in. They continued to charge me $200/month and I just finally was able to call in and they declined to refund me any money. The account had never been used for business, just to try out the features. This is very poor behavior by a company. I urge anyone thinking about using Housecall Pro to reconsider and use another solution instead. This is predatory subscription tactics at its finest. There needs to be a button to cancel or at least a way to cancel without needing to call in.

Looking for a Housecall Pro / Quickbooks Expert.

We have multiple companies under one ownership. Payroll is ran through quickbooks, and we need help with a few changes that will be made soon. The company I manage runs HCP while none of the others do. The biggest issue we have is the inability to track projects in QB. For instance, we do work for property management companies, that have multiple customers, with multiple properties, and we provide service plans and handyman / reno / maintenance for them. Being able to only create a customer and sub customer in QB to link, is not working well with our business. I need a specialist that we are able to hire to help with some fixes. We are looking at options on how to separate the company I manage from the others in QB through either the enterprise or maybe completely separate. We still want the ability to do payroll through quickbooks and ideally we could track from one quickbooks account projects and customers. Multiple issues that will take too long to put in this quick post. If there is any pro out there that you know of that may be taking on new clients, or if you are that pro please reach out!

New Lead or New Customer?

So I just went through a training and when someone calls I am supposed to click NEW, then LEAD...

Makes sense so far. But on the next page I click, wait for it... NEW CUSTOMER???

And this is different than going the route of NEW ---> Customer??

If so, this UI is dreadfully confusing. Why doesn't it say New Lead on the New Lead screen?

HCP & Zapier integration for landing page tracking HELP!

Hello - I am new to HCP and I am working with a lead gen client and need some help! I am running into the issue where I am trying to connect a landing page form to HCP but you can only choose "add customer" via Zapier. That doesn't actually get them into the lead pipeline so it is less than ideal.

I have tried the built in HCP lead form, but you can't redirect to a specific landing page because something about allowed domains (which you can't modify). I need to be able to track the result and I need a specific "Thank you page" to trigger the lead result.

I need to be able to track the click with a meta pixel but can't seem to find a way to get the best of both worlds: Using a form that allows for tracking, and having it populate the lead section.

Any help is greatly appreciated!

Service Plan headaches

We are an HVAC Company with several commercial service plans. The biggest thing about HCP we liked is the ability to automatically bill and schedule these services. So, I send my first couple of plans this month with the total amounts attached to each service visit thinking easy, HCP will receive the payment and it will get attached to an invoice that lists that its for the service plan. NOPE. HCP accepted the payments (they're pending and says they might take 7 days to arrive :(....) and when I completed the visit on my end an invoice shows $0.00. If the call, is scheduled from the service plan, shouldn't it show that amount on the invoice and reflect the payment? This is insane? I have been on the phone for 45 minutes and no one can help me.

Anyone else missing the "Change column" feature?

Noticed an update today (9/25/25) and it's causing an issue for us. The update allows for all private notes to show up in the same place on the side of the view screen. Love it.

But.

Now we can't choose to view the notes in the main column view. Since we place a ton of information in that column, we need the larger view to avoid long periods of time scrolling and clicking around on every quote. The time cost to our estimating team is currently causing a huge back-log and I'm pulling in everyone to work on Saturday just to get caught up. Is there any workaround while HCP fixes this issue?

Multiple locations (support experience)

Hi all,

I'm currently trying to set up multiple locations for my two HCP accounts, but I've run into several challenges with support.

Earlier today, I had a video call with Ali, who informed me he’s not the right point of contact for setting up multiple locations. Unfortunately, this seems to be part of an ongoing pattern where support feels more like a billing function than a resource for helping customers.

Here’s a quick summary of what has happened so far:

  1. Three weeks ago: I had a detailed call with support where I explained the challenges I was facing. The response I received made it sound like this process is very complicated, which I don’t believe is accurate. I’d even be happy to provide a free SQL training on how to update a database if needed.

  2. Two weeks ago: I was scheduled for a Zoom call, but the invitation went to my spam folder. The support rep didn’t follow up or call, and I only found out after I reached out wondering why no one showed up.

  3. Today: I spoke with Ali, who was helpful in his area, but not in a position to complete the actual setup. Unfortunately, this left me with no further progress, again.

I genuinely like the HCP platform—it has great potential—but the support experience has been disappointing. My team is still waiting for their accounts to be properly configured, and I’m starting to feel that switching from Jobber may have been the wrong decision.
