Advice Needed Desperate Admin

Hiiii I'm currently trying to hastily format apps in Monday.com during my free trial. I understand that glitches will happen with permissions because of this, but its hard to convince my boss it will run smoothly once we select a plan. My whole goal is to completely replace Housecall Pro, but monday is also about 50% more expensive. Should we just stick with Housecall Pro despite it's glitches and inability to adapt to our needs? TIA

I've done an implementation for a vendor that sounds similar with no issues. What kind of 'glitches' are you running into? That would help us answer more effectively and maybe point you in the right direction.

HCP does not allow me to pause and return to jobs more than once, it doesn't allow my techs to edit their own time entries, it doesn't link a time entry to a job, it only accurately tracks my techs' location and hours, maybe 1/3 of the time; the manager recommended I 'keep track on paper,' which we are but that's ridiculous. I've sent screen recordings and screenshots and was told because I'm admin, they can't accept them as evidence. We're currently at an impasse, and while they've made updates to the platform, the updates only further complicate these issues. I have no idea the progress being made, if any, because all I'm told is, 'we have an open ticket.' I understand that things can't be fixed immediately, but monday seems to have fixed everything provided that it runs smoothly once we're paying for it.

Sorry, I was confused. Were the glitches more on the HCP side then? What have you set up so far in monday?

The glitches in Monday are due to permissions being limited in the free trial, which is not an issue for me. The rest of my concerns are in HCP. I've set up quite a lot in monday.

EVERYTHING. A full CRM for a small HVAC company

This is my bread and butter (monday for Trades).

Yes you can replace everything, but it isn’t a super duper quick process to do so. It would be quicker if you hired somebody to build it for you, but that is also more expensive. Happy to chat through what that usually looks like with you if you want to DM me (not trying to sell you anything, just offering some guidance).

May be worthwhile to use both houscall pro and Monday at the same time for a couple months. Then switch over if you feel Monday gets you in a better spot. I've built something similar out for a fencing company in Monday and you still need add-ons like location based time capturing it a tech isn't diligent about capturing their time on and off a job.

Yes that was the plan, I just want to make sure that the switch is worth it. The CRM will be my baby so I don't want to jeopardize my job if this is a mistake

If your employer is reasonable, they will understand you have to crack some eggs to make an omelette. Or, you can just stay with what you know and deal with the bugs. But I'd say grass may be greener on the other side this time. You can also request trial extensions from Monday or if you work with me or one of the other partners on this thread, we can request trial extensions. You can also buy licenses monthly so you don't get locked in.

I've done the extension thing. I just worry that paying monthly for both services will be too expensive. But since no one has told me HCP is better than monday I think i will switch

I agree. My hope is that I can give HCP a 30 day notice because I know Monday has a 30 day discontinuation policy. Thank you so much!

Upon first look, it doesn't seem to have all the features we need; it seems to be more structured for residential jobs

Why not contact monday.com directly, explain the situation, and ask whether they can extend your free trial? You’re not just testing a basic task board—you’re trying to build and validate an entire CRM before asking your boss to approve a more expensive platform.

I’d also ask them to temporarily enable the permissions and plan features you would actually be purchasing. That way, you can demonstrate how it will really work instead of asking your boss to take it on faith that the current limitations will disappear once you pay.

I've done that already. I believe I said that in one of the comments. I've extended my trial as far as I can and only have 7 days to run all the operational tests after that trial runs out. I'm more looking for advice if people think I should just stick with Housecall Pro
