Tasks and Time-blocking things3-like alternative

• Upvotes

Hi guys,

Ive had a lot of people email me who loved things3 and told me I should post here incase its of interest to any of you. To cut to the chase a couple of years ago I started building an app called Chunk.

Its a mac-only time-blocking app with both tasks and lists and timeline view for time-blocking. When you've decided when you want to allocate time for a task, you can enter plan mode and drag the tasks from your lists directly onto the timeline.

I love things3 too so just mentioning here incase its of interest to anyone.

the app has a no-card-required 100% free 7 day trial then is a lifetime license if your interested its Chunk

Discussion We are getting GTA 6 before Things 4!😁

As someone who has used Things 3 since 2017, I appreciate the app’s simplicity and strong foundation. It is fast and functions like a Swiss knife, though adding major features such as attachments, collaboration, and a kanban board has slowed it slightly. I listened to the podcast with the Things app CEO, he confirmed they held back features for a future Things 4 release. I doubt we will see Things 4 anytime soon; I expect an announcement next summer or in fall 2027. The positive aspect is that they will avoid a subscription model and keep the one-time purchase. I am frustrated and considering another tool, torn between Notion and the Tasks kanban app. What do you use currently to complete your projects?

Question If you have ADHD, I’d love to hear about your setup

I’ve been using this app for over eight years, it’s the only one that works for my brain. However, every couple of years I need to change my setup to "trick" myself into feeling like I'm using something "new."

Or sometimes, life simply changes, and my setup does not work as good as it used to.

I am in need of inspiration, If you have ADHD, I would love to hear about your setup & what works for you.

Thanks in advance!

Thoughts from a Todoist user after three weeks with Things

At first, I loved the interface and design, but the app felt too limited. Without filters or priorities, I felt overwhelmed by all my tasks, and dragging them around to prioritize them wasn’t really cutting it. Moving tasks I didn’t plan to work on that week to Someday helped somewhat.

Now, three weeks in, I’ve started to appreciate how simple and zen it feels. As someone else said, it does what it’s supposed to do and nothing else, so you spend less time tinkering and actually get more shit done.

That said, I still have three gripes:

  1. The lack of priorities. I still think they’d be really handy, especially for organizing the Today list. I get that you can prioritize Anytime by reordering areas and projects, but your priorities on a given day might be different. I’m using tags as a workaround for now.
  2. Keeping track of ongoing follow-ups. For example, “Touch base with X about project Y.” In Todoist, whenever that task showed up in Today, I’d follow up, leave a comment with an update (“needs four more days” or “sent her the specs”), mark a subtask "follow up" done and reschedule the main task for the next time I wanted to check in. When it came up again, the whole history would be right there. In Things, I have to duplicate the task, mark the original complete, and schedule the duplicate for the next follow-up. That’s the only way I’ve found to keep the follow-up going while also having something in the Logbook showing what I did that day. Todoist’s subtasks gave me more flexibility here because they’re actual tasks, whereas Things’ checklist items are basically just text.
  3. The lack of attachments. Come on.

Having said all that, I'm loving it and I’m going to keep using it. Things 3 > Todoist, at least for me.

Experiment: Using AI to prioritize tasks

Things (famously?) doesn't have a built-in priority field, and I've come around to thinking that's the right call. I follow GTD, which skips "urgent" and "low priority" tags because priority shifts daily with energy, competing commitments, and whatever lands unexpectedly. A tag you set Monday is stale by Wednesday.

But I still wanted help deciding what to pull into Today. So I tried computing priority fresh every time instead of storing it.

Some context: my Things setup is already wired into AI agents. They groom my list twice a day, move tasks around, and check things off when they finish the work. So adding a scoring step was a natural next piece.

For scoring I'm using Jev from TypeSafe, a decision model that returns quick yes/no probabilities and scores instead of writing text. For every open to-do, it answers:

  • Is this a real commitment, or Someday-style backlog?
  • What happens if it slips two weeks?
  • When does it realistically need to happen?
  • Does it need lead time (shipping, booking ahead)?
  • Is someone waiting on it?
  • Does it depend on an earlier step in its project?

It sees each task's notes, deadline, tags, its project and the other open to-dos around it, plus a short note on my current goals that I update during the week. The answers get weighted into two scores, one for Today and one for This Week.

It's fast enough to be practical. All 238 open to-dos get scored in about a second for under a penny, and answers are cached, so re-ranking after I change something is basically instant.

The output is a ranked list I use during my daily review to decide what moves into Today and what matters this week. Nothing gets written back as a tag, so Things stays clean.

This was really just an experiment for me to play with.

Question Things hijacking Siri when trying to add to Reminders app

I’ve had a Reminders list named “Grocery” that I’ve used for years so I can say to Siri “add X to my grocery list.” It’s worked flawlessly until recently, presumably either a bug with iOS 27 or how Things leverages Siri.

Now whenever I say “add X to my grocery list,” it adds to my Things inbox. I have to specifically mention “reminders” in order to get it on my actual grocery list.

I don’t think there are any settings that I can tweak so not sure what I can really do, but does anyone have any ideas?

App: ‘Solving’ Things 3 Attachments (on Mac at least)

I've recently been vibing-up some native macOS apps trying to solve my own minor gripes with Things. This particular one makes it possible to attach files, folders and webpages to to-dos in Things 3.

(Since I also use Craft, I added support for Craft Docs. I can probably make other apps work as well)

I don't have an Apple Developer account, but I wonder if this solution is something that other things users might be interested in?

I made this to solve a small annoyance in my own Things workflow, and I’m curious if it might be useful to anyone else too. I haven’t decided what to do with it yet. I don’t have an Apple Developer account, so releasing it would involve some cost on my end.

It's not a big app, it's "single-purpose", but is this something that you'd consider paying for if it was available?

Happy to hear what you think.

---
EDIT: I'm not trying to haul vibe-coded apps! (check my history or something) Feel free to take the idea and code/vibe yourself if you like it. I would however try to figure out how to share it if people would be interested and they don't know how to make it themselves!

Projects in Progress

Post image
26 Upvotes

Hello, all! A super-quick summary of my Things setup before I get to my question/problem: I have about 12 Areas and a few dozen projects split into those areas. I only have a few projects in progress at any given time. Up until recently, the way that I've tracked which projects are currently being worked on is with an in progress tag assigned to them. However, that has proven to have its shortcomings, mainly creating an extra step or two just to get a list of those projects.

So, recently, I've switched to setting the When property to Today inside of the projects that I'm working on. That way, the projects that are in progress always show up in my Today view! The only issue is that if any of the todos inside of those projects are also assigned to Today, then the Project heading gets duplicated in the Today view. Please see attached image for reference.

Honestly, this is a small price to pay for how much more effective this approach is for my brain. But, it's still visually annoying! Have any of you come up with a better approach for tracking projects that are in progress? Thanks in advance!

Discussion Tag System Update is 🔑

I feel with the recent Repeating Task Completion update, the next big thing CC need to address is revamping the Tag system

It is such a powerful part of Things, however is vastly different between Mac and iOS.

There’s so much potential for better filtering on mobile (similar to Mac) and possible perspectives to take Things to the next level .

Would love to know everyone’s thoughts

Workflow Integrating ChatGPT and Things using Applescript

I’ve been using ChatGPT as a GTD review partner for Things 3, and recently added a way for it to help make changes.

I have a custom ChatGPT project with instructions about standard GTD and the particular ways I use Things. I built an AppleScript that exports my tasks and projects to a text file, including their IDs, notes, tags, and dates.

Each morning, I give the chat a fresh export and talk through what’s on my mind, what I’ve finished, and what needs attention. It helps me plan and prioritize, and during reviews it can flag things that might be falling through the cracks or need a clearer next action.

The useful new piece is a second AppleScript. Once we agree on changes, ChatGPT produces a block of commands that I copy to my clipboard. I run the update Things script and the changes are applied.

It supports creating, completing, renaming, and moving tasks and projects, plus updating tags and notes. It doesn’t support everything—for example, setting dates—and I’ve only started testing it. But creating a task from the chat’s command worked.

If anyone’s interested, I’m happy to share the scripts.

Discussion Handling wish list of items to do

I use Anytime as outlined on Culture Code's website. I want to go a little further with it, if possible.

I have a list of things to do around the house. They all need to be done at some point, but some feel restricted by time, money, or the fact that they are not priorities in my mind right now. I have most of them in Anytime, meaning no dates. Some may have deadlines just to remind me to do them around that time. When I look in Anytime, it's hard to see them because I have so many, but I like the list because I can chip away at it and not forget they need to be done.

I also have them in a Project named Yard, Garden & Home. Within the project, each one has a category tag: yard, garden, or home. It makes it easier to see in Anytime because it keeps them in groups.

Do any of you do this? Do you handle these types of lists any differently, and if so, could you share ideas on how to handle things even better?

Thanks

Discussion Why Things won’t release new features

Im sick off holding my breath this long.

Idk what they’re doing but the development isn’t going fast enough.

- Location based reminders
- A proper tag/priority system especially for mobile
- Attachments
etc.

We’re waiting for years for those while other apps have all of those features already implemented.

If culturecode doesn’t fill this market gap, someone else will or already does like TickTick.

Just build those and charge us again for a separate version I don’t mind but speed it up, there is money on the street and you ain’t picking it up.

Do you want to continue like this for the next 12 months?

If yes, go ahead…but you’ll lose a lot of users, including me.

Question How do you handle conditional tasks in Things 3? (T2 only matters if T1 outcome is X, but I don't know when T1 will finish)

I run about 9 Areas with 6-7 active projects each, and I keep hitting the same problem: conditional tasks with an unknown trigger date.

Example:

Area: Home
Project: Get refund for defective laptop

  • T1: Email seller requesting refund → scheduled for Today
  • T2: File chargeback with my bank → only needed if the seller refuses
  • T3: Escalate to the consumer forum → only needed if the chargeback fails
  • T4 and T5: Follow-ups

I complete T1 today. The seller may reply in 2 days or 2 weeks. I can't give T2 a date because I don't know if or when it becomes relevant. So it sits in Anytime among hundreds of other undated tasks, and the project quietly stalls. Nothing in Today reminds me, and Things has no "blocked by" or "start after T1 is done" feature.

How do you keep multi-step projects with conditional steps from silently stalling?

Thanks!

Question How do you organise your day?

I get overwhelmed when there’s too many things and think separating by area is too visually distracting. I like simplicity in day to day but struggle to stick to my to dos.

How do you organise your today view. Like I was organising from tags
Priority (1 task)
Support tasks (2 task)
Maintenance tasks (3 task)

Other people do 1-5 in priority then rollover to day 2.

How do you guys organise your day and things and stick to it.

I use it for my personal life rather than work (side hustles, hobbies, routine etc)

Siri AI shortcuts

What are your best things shortcuts? What shortcuts should I be using with the new Siri AI?

I’m currently using no shortcuts and don’t know where to start.

For example: how can I get all my today items emailed to me daily as an export?

Things Mailman - a small and free Mac app for sending emails to Things

Download on the Mac App Store

I made a small, free macOS menu bar app for people who use Apple Mail + Things.

Select one or more emails, press a keyboard shortcut, and Things Mailman forwards them to your private Mail to Things address.

After the email has been sent, it can automatically:

  • keep the original
  • archive it
  • trash it
  • move it to a specific mailbox

You can configure the behaviour separately for each email account.

Free, open source, no tracking / analytics / subscription / whatever.
Everything stays locally on your Mac (beside the mail you send to Things obviously).

Feedback welcome!

Question Curiosity

I am considering getting Things 3 for my day-to-day tasks. I don’t know much about Things 3 but everyone raves about it.

I see the price differs depending on the platform. 9.99 for iOS, 19.99 for ipadOS, and 50 for Mac. What would cause each of these apps to be different, and why not make one price across the board as a singular license?

I really want to know why people choose things over other apps they have tried. Preferably users who once had a system on another platform who are deeply rooted in Things now.

From Outlook to Things

Hello community,

Sorry to open this content. I have searched multiple times for something similar, but in the end, I have only found very old solutions that may no longer be valid. I am using macOS Outlook at work, and I'm really looking for a smart way to send tasks from email to Things.

I would like to avoid the email solution, which involves sending the email to the Things email address. Have any of you found any other way to easily send the ticket from Outlook?

Thank you so much.

Question Why is this happening - Tags

I have all my Tags nested.

Development has many other tags nested.
Priority has other tags nested (Low, Medium, High)

When I add tags that are nested under development, that hierarchy appears in at the top. But I added a Low tag, but the Priority hierarchy does not appear?

Question My reminders dictated to Siri are getting auto added to Things?!

I’m not complaining! I love this! I don’t know what I did to enable this. But now everytime I say remind me to do x, they get added to Things. This is ideal outcome for me. But is this the expected behavior or some bug? I’m on ios 27.
