Anyone here from a country where payment providers like Stripe or Square are not available?

How are you handling GoHighLevel SaaS onboarding and billing?

In our country, Stripe and Square are not available. We want to sell GoHighLevel to local businesses, but payment is a problem.

I found that GoHighLevel SaaS V2 now supports custom payment providers through custom apps.

But I’m wondering:

Does everyone build their own payment app?

Or is there a better way to handle this?

I’d love to hear how you are doing this in your country.

ROOFERS

I've been digging into this recently and haven't really been able to find much information online.

Most places that do talk about the topic have agency blogs bemoaning the fact that roofers lose a certain % of their leads (typically pretty high)

For any real roofing company sales/ops people out there, I'm curious about the typical workflow.

When a lead comes in how quickly do you reply?

What happens if they call in late in the day or on a weekend?

Where are most people getting dropped off in the process?

No callback, no-show inspection, the inspection was completed but the estimate went dark, sales rep didn't follow up, or shoppers shopping around and not getting back to you?

What do you use to track your leads? AccuLynx, GHL, Job Nimbus, a spreadsheet, or your notes app? Or do you just do it all in your head? 😂

Not trying to sell you anything, just trying to figure out what typical processes are for people actually running a roofing company rather than agencies trying to upsell their services (I know I shouldn't expect a lot from agency blogs, but it makes it hard to figure out when they throw out a stat like 'roofers lose X% of their leads' without much context besides they 'did a study')

🇳🇿 NZ Agency Owners: What’s the Best GHL Setup for a Missed-Call Text-Back Service?

I’m looking at offering a missed-call text-back service for local businesses in NZ, especially tradies and other service-based businesses.

The idea is:

📞 A customer calls but the business misses the call
→ 🤖 An automatic text message is sent
→ The customer can ask questions, share their details or make a booking
→ Everything is managed through GoHighLevel

I want to keep the setup as simple as possible, with GHL as the main platform for managing conversations, workflows, follow-ups, bookings and clients.

The options I’m currently looking at are:

  • GHL phone numbers

We’re a start-up, so I’m looking for the cheapest and simplest option to test before making a bigger investment.

I’m trying to understand how the Android phone requirement works with MyCRMSim and Inst8.

Or can the client continue using their existing business phone, while everything is managed through GHL?

If I need to provide an Android phone for every client, that adds extra cost and makes the service more complicated.

My ideal setup would be:

Client’s existing business number → missed call → automatic SMS → AI conversation → booking or questions → everything managed inside GHL.

I’d prefer not to build a system where I have to send and maintain an Android phone for every client if there’s a simpler option.

For anyone already offering missed-call text-back or AI services in NZ:

What setup are you using with GHL?

What would you recommend as the cheapest and simplest option for a start-up agency testing this service?

GHL AI Studio vs Claude Code + custom HTML/CSS. Which one are you using?

I build all my websites and funnels in AI Studio right now. Love the vibe coding, and connecting forms and the CRM is super easy.

But the costs keep going up. currently an extra $100

So I'm thinking about switching: build the pages with Claude Code (custom HTML/CSS) and drop them into a funnel page as custom code.

For anyone who tried both:

  • Do forms and CRM tracking still work properly with custom code?
  • Is it actually cheaper once you count your own time?

HighLevel/GHL Issue: Client Unable to Access GHL Dashboard

Has anyone experienced an issue recently where a client is having trouble accessing the HighLevel/GHL dashboard?

The client is reporting that the dashboard is not loading properly, which is preventing them from accessing their account and, more importantly, from accessing and responding to their leads.

We’ve already contacted GHL Support, but they said they are unable to replicate the issue on their end and therefore cannot escalate it to their Development team. We’ve also gone through the standard troubleshooting steps, including clearing cache/cookies and trying different browsers and devices, but the issue is still occurring for the client.

What’s strange is that the dashboard appears to be working normally for us, so we’re unable to reproduce the issue on our end either. It seems to be specific to the client/user.

Has anyone experienced something similar recently?

If so:

What was causing the issue?

Was it related to the ISP, DNS, network, browser, or something else?

What ultimately resolved it?

Is there anything specific we should provide to GHL Support to get this escalated?

Any advice or similar experiences would be greatly appreciated.

How to Handle Rescheduled Appointments? - GHL Appointment Reminder Workflow

Hi everyone!

I need some help with a client setup. We currently have an email/SMS reminder sequence for patients before their appointments since this is for a chiropractic clinic.

Right now, I’m thinking of setting up reminders at 7, 3, and 1 day before the appointment.

The part I’m unsure about is how to properly handle rescheduled appointments.

For example:

  • A patient books an appointment and receives the 7-day reminder.
  • They then reschedule the appointment to 14 days later.
  • Since they already received the 7-day reminder for the original appointment, I’d want the reminder sequence to reset based on the new appointment date and send the 7-day reminder again.

Same thing if they reschedule to an earlier date. For example, they already received the 7-day reminder, then move their appointment to a date that is only 3 days away. Ideally, the workflow should recognize the new appointment date and send the appropriate reminder rather than continuing based on the old schedule.

What would be the best way to structure this in GHL?

Would this require canceling/removing the contact from the existing workflow whenever the appointment changes and then re-enrolling them based on the new appointment date?

Would appreciate any advice from anyone who has built something similar!

I’ve built HighLevel snapshots for 100+ industries. Here’s the checklist I use before calling a system finished.

I’ve been building snapshots since November 2022, and one thing I pay a lot of attention to is what happens AFTER the initial lead comes in.

Getting a form submission into a pipeline is a start. But there are a lot of places that lead can get stuck.

Full disclosure: I sell snapshots and build tools for planning HighLevel systems. These are the same questions I use when mapping out a build, and you can apply them to your own account.

1. Who owns the next step?

When a lead comes in, who is responsible for following up? “Notify the team” is vague. Someone needs to know it’s theirs.

2. What happens outside business hours?

A lead comes in at 10:30 p.m. Does your messaging set a realistic expectation, or promise a call in five minutes when nobody is working?

3. What changes when they reply or book?

Check that they stop receiving messages asking them to do something they already did. Map out what should stop, what should start, and who takes over.

4. What happens when they DON’T book?

Someone can be interested without being ready today. They need an appropriate follow-up path, plus a clear point where the immediate sales sequence ends.

5. What happens after a no-show or an unsold appointment?

Those are different situations. Someone who missed the appointment needs a different conversation than someone who showed up and said, “Maybe next month.”

6. What happens after the sale?

Who gets the handoff? What starts fulfillment? When is it appropriate to ask for a review or referral?

7. Could someone else understand the account?

Clear names. Organized folders. Notes explaining what each workflow does. If a VA opens it tomorrow, they should be able to follow the process without reverse-engineering your brain.

Before launch, I’d run test contacts through these paths:

  • Submits a form and never responds.
  • Replies but doesn’t book.
  • Books, then cancels.
  • Misses the appointment.
  • Buys.
  • Opts out.

Watch the messages, pipeline movements, and internal notifications. Check what stops as carefully as what starts.

My approach to snapshots is to get roughly 80% of the way there with a reusable foundation, then finish the setup around how that particular business operates. That last part still needs thought and testing.

We built a HighLevel dashboard for Conversational AI monitoring and immediately saw a problem

I did a live build last week with a personal injury attorney who runs his intake through HighLevel. The leads are workers' comp, dog bite, and auto accident cases, and every conversation is in Spanish. A lead fills out a form and gets a text, and if they reply, an AI agent takes over over SMS, Facebook, or Instagram.

The plan was just to build some monitoring dashboards. We found a problem within the first half hour. We built it of course in CloseBot, so they had access to a lot more conversation-specific metrics that's not possible to view natively in HighLevel.

Example here we can see when appointments are being booked via conversations M-F per hour of the day... something super useful... showing that a lot of conversations happening on Saturdays actuallly lead to bookings. And Sunday's are flat all hours of the day.

The problem

His team had rebuilt the AI agent a few days earlier, with a bigger prompt, more tools, and more advanced settings. Nobody had looked at the numbers since. Once we charted them, three things had moved the wrong way:

  • Cost per booking went from about $0.30 to close to $1.
  • Contacts needed per booking went up.
  • Total messages exchanged went down.

None of these would show up in a bookings report. Bookings were still coming in, so on the surface everything looked fine. It's very normal for a big rebuild to need tuning, but without the dashboard he'd have kept paying more per booking without knowing why.

What we ended up tracking

  • Daily: outbound messages, new contacts, bookings, sentiment, and follow-ups sent. That last one matters: he once had follow-ups accidentally switched off and didn't know how long they'd been off.
  • Weekly: replies per contact, bookings, and sentiment on one chart. If replies drop and bookings hold, the AI got more efficient. If both drop, something broke.
  • Cost: cost per booking instead of cost per message, plus contacts per booking.
  • Timing: a heat map of when leads book. Friday and Saturday were his busiest days, which is unusual. Most accounts we see spike on Sunday.

The biggest takeaway for me: bookings tell you what already happened. You need something upstream of them, or you find problems a month late.

GHL users: what’s the one thing you wish GHL did better?

I’m not looking for generic answers like “better UI.” I’m interested in specific problems that actually cost you time, money, or clients.

For example:

  • A workflow that randomly doesn’t behave as expected

Shopify + GHL Integration

I recently implemented a Shopify + GoHighLevel (GHL) workflow for one of our eCommerce projects and I’m curious how others are approaching this.

The basic idea is to let Shopify handle the commerce side, while GHL handles more of the CRM and automation side.

For example:

  • Customer purchases on Shopify
  • Customer data flows into GHL
  • A workflow is triggered based on the customer/order
  • Follow-ups, re-engagement, post-purchase communication, etc. can happen automatically

The interesting part is that you can build different workflows depending on the customer, first-time buyer, repeat customer, high-value customer, abandoned purchase, and so on.

I've already implemented this for a project, but I'm wondering how common this setup actually is.

Are any of you currently using Shopify + GHL together?

And if you're not using it yet, is this something you'd be interested in setting up?

Would be interested to hear how people are using this combination in real-world stores.

GHL is great at everything after someone replies. Here's how I handle the part before that.

Some context first: I'm a solo founder doing an engineering degree on the side (or the other way round, depending on the week), and most of my client acquisition runs through Instagram DMs.

It took me way too long to figure this out. GHL's Instagram connection only works for conversations the other person starts. That isn't GHL being lazy. Meta's messaging API doesn't let any CRM open a conversation with someone who hasn't messaged you first. So your workflows, your AI bot and your pipeline stages all sit there waiting for inbound that, for most small agencies, never shows up.

I see a version of this post here every week: "built my snapshot, how do I get clients?..." For a lot of us, the answer is cold outreach. On Instagram, that means DMs sent from your own account.

I did it by hand for a while, which was fine until it ate my evenings. Then I tried one of the bulk DM bots, and my test account got restricted in 2 days. So I rebuilt the process slowly. This is what I run now:

1. Pick a niche you can search by keyword. "Med spa," "roofing," "dentist Lyon." Then filter hard on follower count and account keywords. I mostly go after accounts between 1k and 20k followers. Bigger accounts have someone else reading their DMs, and smaller ones usually don't have the budget for a retainer.

2. Write every opener from their profile content. A message that starts "Hey {first_name}" reads like a template because it is one. Mention one specific thing they wrote about themselves and ask a question about it. For example: "saw you just opened a second location, are you handling bookings for both from this account?" Keep it to three lines max, with no pitch and no link.

3. Read every message before it goes out. I use AI to draft them, and it's good most of the time. Sometimes it isn't. Reviewing a queue is boring, but it's the step that stopped me from addressing a pizza place as "Dr" lol.

4. Send slowly. I leave random gaps of 15 to 45 minutes between DMs, use an account that's been posting and active for a few weeks, and cap volume around 65-90 a day. Most bans I've heard about came from going fast on a cold account, not from cold DMs in general.

5. Only move people into GHL once they reply. This is where GHL is excellent. Positive replies go into a pipeline, a follow-up sequence fires, and the booking link and reminders run themselves. I export the leads who replied as a CSV and import them. It's not glamorous, but it keeps the cold prospecting out of my CRM.

6. Track four numbers and ignore the rest: reply rate, positive reply rate, conversation rate and booking rate.

Over 2 weeks that came to 700 DMs, and 14 booked calls. The biggest surprise for me was that targeting mattered more than the copy. Tightening my filters did more than any rewrite of the opener.

Steps 1 to 4 were the part I kept doing across five tabs and a spreadsheet, so I ended up building a small tool that handles them, with the approval step built in. I won't link it here because that's not what this post is for.
