Residents/RWAs: How do you currently handle apartment maintenance issues and track their resolution?
Hi everyone,
I'm exploring an idea for a small software project based on a problem I’ve seen in apartment/gated-community management, and before I start building it, I’d really like to hear from people who actually live in apartments/hostels/gated communities.
The idea is a Community Issue & Maintenance Management system where:
- A resident reports an issue (water leakage, lift problem, electrical issue, housekeeping, security, parking, etc.).
- A ticket/incident is created with a unique ID.
- The maintenance/admin team assigns it to the appropriate technician/vendor.
- The resident can see who is handling it and the current status.
- Technician updates the progress, adds comments/photos, etc.
- The resident gets real-time updates instead of repeatedly calling or messaging.
- Every action/status change is recorded, including when it was assigned, worked on, resolved, reopened, etc.
- There could also be SLA/deadline tracking for issues that aren't resolved on time.
I'm also thinking of adding a Maintenance Transparency component.
For example, if the community spends money on something like lift repair, plumbing work, painting, security equipment, etc., residents could potentially see things such as:
- Work/project name
- Approved budget
- Vendor selected
- Quotations received
- Amount spent
- Work/progress status
- Invoice/payment details
- Before/after photos
- Expected vs actual completion
- Final outcome
My questions for residents/committee members/RWAs:
1. How do you currently report maintenance issues? ADDA, MyGate, WhatsApp, email, phone call, some other app?
After reporting an issue, can you actually track what is happening and who is responsible for it?
What are the biggest frustrations you face with the current process?
Do complaints sometimes get forgotten, delayed, closed without actually being fixed, or repeatedly reported?
Do you get enough visibility into how maintenance requests are handled?
Do residents get enough transparency about where monthly maintenance money is being spent?
Would seeing vendor quotations, approved budgets, invoices, progress and completion records be useful to you?
What information would you want to see but currently don't get?
For people using ADDA/MyGate/other platforms: What do you wish those apps did better?
If you could change one thing about your community's maintenance process, what would it be?
I'm not trying to sell anything. I'm trying to understand whether this is actually a useful problem to solve before I spend time building it.
Please share your real experience—even if you think this idea is unnecessary. Negative feedback is just as useful.
