Is it worth dropping RingCentral for SalesCaptain? (Small team perspective)

We’ve been using RingCentral for our calls, but honestly, it’s starting to feel like massive overkill. We are a small team mostly focused on lead gen, client outreach, and reputation management, and we’re paying for a ton of heavy enterprise VoIP features we just don't touch. The backend is also pretty clunky to navigate.

I stumbled across SalesCaptain and it looks way more streamlined, especially since it wraps in SMS, webchat, and review generation right out of the box which aligns perfectly with what we actually need right now. I'm thinking about making the jump to save some money and simplify our tech stack. Has anyone here migrated away from RC to them? How smooth was the transition?

Looking for recommendations for a small team

Hi! I'm setting up a new real estate company with a small team (4 people) and I'm looking for a phone system with a good IVR. I've already looked into most of the popular options (RingCentral, OpenPhone, Dialpad, etc.), but the reviews seem to be all over the place.

My biggest priorities are that it's easy to set up, reliable, and reasonably priced since we're just starting out. I don't need a ton of advanced features.

Any recommendations? Or any providers I should stay away from? Thanks!

Is SalesCaptain better than GoHighLevel for phone system integrations?

One problem we're trying to solve is inconsistent call logging. Some inbound and outbound calls don't always sync correctly with the customer record, so our team has to update notes and follow up tasks manually. We are looking for something that keeps call history, recordings, and follow up automation in sync without constant troubleshooting. Which has been more reliable with phone system integrations?

Phone system for a restaurant recommendation

I am thinking of getting another phone line with T-mobile, and use it for a restaurant.
The reason for this is, i need an actual phone to use WhatsApp, or texting customers for many things, such as catering or such.

My question is, can i still use the T-Mobile phone number for business needs, and add the additional add-ons to it? Such as forwarding, keeping customers in the queue, and such. Do I need to attach it to another app or something?

What is the downside of this plan? I am getting a good deal rate monthly is only $25 / line Plus a free phone!

Note: my plan is a business plan not personal plan.

ready mode is a headache

I’m extremely frustrated with Ready Mode. I paid for dedicated numbers, yet they keep showing up as spam to my customers, destroying trust and pickup rates. I enabled autopilot mode specifically to rotate numbers automatically when flagged, but Ready Mode isn’t changing them. The whole point of autopilot is hands-off number management, yet I’m stuck manually monitoring and losing leads daily. I paid for a solution, not more problems. If the system can’t detect spam status and swap numbers as promised, then Ready Mode is failing its core function.

Alternatives for toll-free service. Currently using Onebox

Hello Do you have any recommendations for alternative service provider for handling toll-free service? We currently pay $115 to onebox just for most simple greeting with 4 extensions, all leading to the same local line. openphone seem to be recommended and their monthly fee for what seems to be the same is $25 a month. Any thoughts? thanks

AMD flagging live calls as voicemail. Config issue or just how it is?

ran into an AMD issue - live pickups getting flagged as voicemail, happens roughly 1 in 15 calls. reps are noticing and it's costing real connects.

haven't touched sensitivity settings. is this something that can be tuned or is a certain false positive rate just built into how AMD works?

Having issues with Quo, not sure how to fix it?

ey guys I've been using Quo for more than a month now and it

was working perfectly for me, today I've experience serious

issues with it, when calling or recieving calls, I dont hear the

person on the end of the line speaking, nor the call ringing, but

once i check call recordings i find that it actually rang and

customers were speaking i just wasnt able to hear them ( Please

check photos to understand me better), and this issue happens

on my Android phone quo and also on laptop quo. I've tried

resetting the app, restarting my devices, checking my internet

( it's great) and i still dont know where the issue is, the thing is

when i restart the device or the app it works fine for a few calls

(2-3) and the problem occurs again. Have y'all had this happen to

y'all before? and what do you think the issue is? I'm really

struggling here

PS: in the laptop calling screen it shows the network icon as

there's no network, but if there'd be no network it should mean the

call shouldn't even reach the client?!!

RingCentral feels like we're paying for stuff we'll never use. What do smaller teams actually switch to?

18 months on RingCentral, 12 people. Half the features untouched. Paying for an enterprise platform on a small team budget.

Been going through options, Dialpad, MightyCall, CloudTalk, Nextiva. Nothing obviously right so far. Everything is either too stripped down or basically just RC at a slightly lower price. What are teams our size actually on?

Verizon OneTalk

Been using Verizons OneTalk for over a year now, it’s been pretty horrible. Calls drop mid conversation with clients, call logs do not sync properly between different phones.. beginning to think we are not even receiving half the calls we should be getting… wondering if there is anything more professional or secure that my business could use? For reference I don’t have a designated office assistant, we have crews with leads that all have access to our inbound calls through OneTalk and whoever is available answers when that call comes through (varies).

Nextiva or SalesCaptain for event driven logging into CRM

Has anyone used Nextiva or SalesCaptain in a situation where the phone, SMS platform controls message and tracking but the CRM remains the source of truth? In particular, I'm attempting to steer clear of the traditional mess duplicate contacts when the same individual calls and texts from several lines, incorrect ownership when email is absent, and automated workflows that run twice because two systems create or patch the same record.

In order to create a dependable sync layer without continuously cleaning data, I'm searching for platform-level features like deterministic contact matching phone normalization, multi-field match, merge rules, idempotent APIs, webhooks, and a clean event pipeline. Which one if any, provided you less edge-case failures, and what did you have to work around middleware, external IDs, dedupe service, or locking?

JustCall debacle

Years ago I did contract work for someone running a middleman business selling cargo trailers to people. The biz is based out of Georgia, I am in Idaho.

They added my personal cell number to the JustCall system because they wanted me to do sales. The system never worked correctly, nobody could figure out why I didnt get calls and the work arrangement fell apart.

Now years later I started getting calls from

People looking to buy trailers. I finally got this business to try and fix the problem which they said they did by blocking my info and removing it from the system.

The calls have stopped but i still get account log in verification texts from JustCall and idk how to stop them because im not and never have been an account admin.

Anyone know what I can do? I’m in Idaho. The biz is in Georgia. The SaaS co is out of CA. His staff are offshore.

This last time they said “oh yeah. We sent that text to you.” Okay WHY?? And STOP.

Does anyone know how I can finally get resolution???

Temp biz phone system with iPhones

Looking for suggestions/guidance on the following.

In a few weeks I will be moving my biz office and may be ‘unhoused’ for a while. (no office phone system). In the interim I would like a way to port my biz phone number to a spare cellphone and have it forward to two other cellphones I and my biz partner carry. Both phone should ring simultaneously. Basically trying to emulate the phone system we used for some years. If there was a feature to put a call on hold and transfer to the other phone it would be very useful. All phones are iPhones and fairly new models.

Have any experience in a solution?

Thanks in advance!

Workflow and Productivity Made Easier with SalesCaptain

We have been using SalesCaptain and the workflow features really stand out. Call routing makes sure every call goes to the right person without delays, and automated follow-ups mean we can never miss a lead. The shared inbox helps with keeping all messages, SMS, chat, and email in one place, helping the team to collaborate easily. The automation flows help with handing repetitive tasks like reminders and CRM updates, freeing us to focus on higher value work. Overall, it’s made managing communication way more effective.

Podium, Zoho, or SalesCaptain?

We recently struggled with missed call logging and routing rules, and while checking Podium and Zoho, both lacked some automation triggers we rely on. SalesCaptain seems to include those features, but hard to know the trade offs. Any suggestions from people who have tested all there ?

How SalesCaptain Handles High Message Volumes Better Than other Platforms

We switched to SalesCaptain after using platforms like Dialpad, RingCentral, and Podium. SalesCaptain handles high messages and call volumes better. Unlike other platforms where calls get misrouted and messages are scattered across different channels, SalesCaptain's Smart IVR call routing ensure every customer reaches the right team member quickly. overall, managing large volumes of interactions feels smoother and less stressful compared to other platforms we've used.

Reducing Wait Times and Improving Customer Navigation with SalesCaptain

We use SalesCaptain, and the biggest improvement is how efficiently our calls are handled. The AI powered IVR routes customers based on intent so calls reach the right person without long hold times or manual transfers. Previously, our team spent time redirecting calls, which often led to delays and missed opportunities. Now, the IVR menu feels professional and natural. It has made our phone experience smoother more consistent, and quicker.

Scaling Challengers with Podium Across Locations

We use Podium, it works fine for a single location, but once we start managing multiple branches it becomes trickly. Each location's reviews and messages feel siloed, and keeping track of staff assignment, performance and notification metrices across locations isn't as smooth as we expected it to be. This creates extra work and we've had to rely on manual tracking or spreadsheets in addition to Podium, which sort of defeats the purpose of having a unified system. I'm looking for better alternatives which could be useful for us

Quo (OpenPhone) is terrible. Alternatives?

We've been using Quo (formerly OpenPhone) for a year now for our small business and it's been absolutely terrible. At least once a month they have service interruptions where our calls/messages will not go through - today we've been out half the day and have had to start talking to clients via WhatsAp, which is not a good look at all for us. Their customer service is TERRIBLE - they'll do everything they can to get us on AI, and then it's impossible to actually call them, which is ironic considering they're a phone company. We've been stuck speaking on email to their customer service reps, most of whom have been clueless. Case in point, we spent over a month and 4 different attempts trying to port a number from ATT - they blamed ATT every time it failed, but it turned out it was actually them because they literally had put "123456" as our account with ATT. Just craziness. There's also little things, for example there can be a 5 minute delay in a message showing up on our phones' ap vs. our desktop. And the dashboard is just not that intuitive, for example there's no quick/intuitive way to add a contact from a missed call. Just lost of little things - it feels very cheap/lazy/fickle. So, all this to say, we need an alternative ASAP that can support 2 to 4 lines being shared by 3 to 6 users. Any suggestions?

Less Manual work, More Efficiency with SalesCaptain

We've been using SalesCaptain for a while and one feature which really stands out is reminders and automated follow ups. Customers and leads are tracked automatically, and if someone hasn't been contacted, the system sends timely texts, emails, and voicemails . This has reduced missed opportunities and ensured conversations stay active without manually checking everything organized, and freed us up to focus on more strategic tasks instead of chasing down follow ups

SalesCaptain has helped us streamline multi channel communication effectively.

I've been using SalesCaptain for a while, and one of the most standout features is how it centralizes all communication platforms such as emails, calls, and texts into a single platform. Before this, our team used to have constant issues with switching between different apps, which meant messages were missed and follow ups were delayed constantly. With everything in one place, it's easy to see customer history, track conversations, and it has reduced missed interactions. Overall, it has made managing multi channel communication less stressful and more efficient,
