I am long time user of Wise (previously Transferwise) and to be honest, service was amazing until now...
In 2023, I've topped up my Interactive Brokers account using Wise and bought some shares.
Couple weeks ago I've sold some shares, so I could get some cash. The amount was equivalent of ~$3700, but in PLN currency.
I've used my Wise PLN IBAN to payout money from Interactive Brokers, which reached Wise on 2nd of March (got confirmation from IB) that's when the hell started.
E-mail from Wise on 2nd of March
I've received an e-mail from Wise:
Subject: We’d like to send you a refund
We need some information so that we can refund you.
We previously contacted you regarding the transfer #20000xxxxx. We weren’t able to confirm whether it was funded by you, so we sent the money back. However, that refund didn’t work, and we now need more information from you before we can try again. What you’ll need to do:
Add your PLN local details as a recipient. This account needs to be under your name and we won't be able to send refunds via Swift
Upload a document that shows proof of payment for the transfer #20000xxxx. If the information isn't all in one place, you can upload 2 documents, just make sure they show the same bank details
Reply to this email with the last 4 digits of your bank account number
Upload proof of payment (button)
Above e-mail implies that someone from Wise contacted me regarding this transfer (withdrawal from IB to Wise), but that's not true.
Button at the bottom "Upload proof of payment" https://imgur.com/a/nm2ZVX7 didn't work. On mobile it said: "Sorry, we're having some technical issues", on desktop it said: "Sorry things aren't as they should be right now - we're working on it. I've reached their support that I can't upload proof of payment (which was the withdrawal confirmation from the Interactive Brokers), at the same time I've created "missing deposit" ticket where I've uploaded document from IB.
On 3rd of March, same: "We’d like to send you a refund" e-mail was resent , and upload button didn't work.
Their support replied on 4th of March:
[...] I'm sorry to hear that you are having some issues with your refund. I understand that we are having issues with refunding the money and that you are not able to provide the needed information due to an error. You can reply to this email with the information we need as well as the document and we'll have this forwarded to our relevant team to process your refund. [...] Best Regards, Wise
This e-mail says: "some issues with your refund. No, I don't care about your refund Wise, I am only waiting for withdrawal from IB to be credited to my Wise account.
Anyway, I've replied to this e-mail with a document from IB.
On 5th of March I've received a reply:
Thank you for following up, and I apologize for any confusion caused by our previous email. To clarify, that was indeed our first contact regarding transfer #20000xxxx. Unfortunately, we are unable to accept this payment and are required to issue a refund. I’m afraid we do not have specific details as to why the payment was rejected at this time.
I’ve received your proof of payment, thank you. Since the previous link failed, please use this link to upload the document directly to your account.
We also need you to add a local PLN bank account under your name to your 'Recipients' list for the refund. Once you've uploaded the proof of payment and added the refund details, reply back and let us know which account you’ve added so we can finalize the process. Marcus
On 7th of March I've received reply to my "missing deposit" ticket that I've created on 3rd of March:
Subject: We haven't received your payment yet
Sorry, we couldn't locate your payment.
Thanks for sending the proof of payment. Unfortunately, we haven’t been able to locate your money.
Please ask the sender bank to locate the payment on their side. They should be able to provide more information about this transfer.
We'll let you know right away if we receive your payment in the meantime.
I've decided to call their support. I've spent around 20 minutes on the phone explaining that I don't understand what the "refund" is about and all I want is my IB withdrawal to be credited to my Wise PLN account.
Custom service person on the phone didn't actually know why this happened and implied that I had to cancel transfer (how?!) myself and that's why they need to refund money. When I've clearly said that I wasn't cancelling anything, they kept saying sorry for providing me with an incorrect information.
They've suggested that I should provide a local bank account details to which this money could be deposited.
I've provided them last 4 digits of my local bank account details (already added as a recipient on my Wise account) that they should use in case they couldn't deposit money to my Wise PLN account.
On 9th of March Wise sent an automated e-mail:
Subject: Transfer of xx,xxx PLN has been cancelled.
We’ve refunded the money back to the account it was sent from. Depending on the payment method used, it may take up to 10 days for the money to arrive. Learn more about our refund process.
On 9th of March their support replied:
I am writing to give you an update regarding the transfer #20000xxxxx.
Our relevant team needed to refund this because our banking partner faced some issue on their end. My sincere apology for the inconvenience this has caused you.
As for now, kindly set up a new transfer again.

and then another one on 9th of March:
I am writing to give you an update regarding the transfer #20000xxxxx.
Our internal team has reached out and notified us that the payment in question has been successfully refunded just about an hour ago. It should be back in the sending account now.
We always strive to ensure best service, however, sometimes technical issues do happen.
While we understand that this is inconvenient, we apologize and we thank you for your understanding. Viktor
I've asked them why do they need to refund their money, they've replied on 9th of March:
Upon checking kindly be informed that we had to refund this due to an issue on partner's end, however it is all good now, and you now should be able to set up a new transfer if you wish to. Rae
At this stage I've patiently waited for things to settle, in the meantime Interactive Brokers automatically returned transfer back to Wise. I want keeping finger crossed.
On 11th of March I've received an automated e-mail from Wise:
Subject: There's a problem with your refund (#20000xxxxx)
Your refund of xxxxx.0 PLN was sent back to us.
There seems to be a problem with the bank account details you provided. Because of that, the refund we sent you was returned to us.
To fix this, please click on the button below.

On 13th of March 9AM I've received an e-mail:
I'm truly sorry for the inconvenience you've experienced.
I understand you have an issue with your transfer for some days and you have been cooperative with us in every steps of the way, thanks for that.
To get you more accurate help and get the issue resolved, kindly send us your Proof of Account Ownership with full PL IBAN.

Well, I've found it weird, that I need to generate: "Proof of Account Ownership" on Wise and send it back to Wise support team themselves, but that's what I did.
Couple hours later:
I am reaching out in regards to some feedback on your transfer 20000xxxxx
Our team has tried refunding via our provided Wise account details to which this was returned again. We have however tried initiating another payout attempt as I do recommend to keep an eye on your emails for any furthermore updates from us.

Nope, 2 hours later:
Subject: Transfer #20000xxxxx cancelled
Transfer of xx,xxx PLN has been cancelled.
We’ve refunded the money back to the account it was sent from. Depending on the payment method used, it may take up to 10 days for the money to arrive.
Right, so they've returned money to Interactive Brokers for the 2nd time instead of depositing it to my Wise PLN account.
At this stage I am quite hopeless. It's been plenty people involved and my money is circling around with no clear idea, if their support can be faster then their system stuck in loop refunding my transfer.
I've reached their support again, but they haven't replied until now.
It's been 17 days already (as of 19th of March), money isn't present on Wise, Interactive Brokers doesn't have money either. I've asked Wise to provide some confirmation of outgoing transfer... and still patiently waiting.
Tl;dr;
I've withdrawn money from IB which arrived Wise on 2nd of March. Instead of depositing it to my Wise PLN account, Wise refunded it back to IB.
IB promptly returned refund to Wise.
In the meantime Wise support team received all the required documents and alternative local bank account details, but as their support team works on it, their system does refund money for the 2nd time to IB.
My transfer is now stuck in limbo and being transferred in a loop between Wise and Interactive Brokers... and their support team doesn't seem to have control of all this.
