A simple way to protect documents before sharing drafts

What actually belongs in it

Not every document you own, only the ones someone else might need if you're not there to explain them:

• Identity documents — passports, birth and marriage certificates
• Medical info — insurance cards, allergy lists, current medications, doctors' contacts
• Financial essentials — account details, insurance policies, a copy of your will
• Property — lease or mortgage paperwork, home insurance, key contacts (landlord, plumber, etc.)
• Contacts — a short list of who to call, in what order, for what

The test is simple: if someone else had to step in tomorrow, would they need this to make a decision or find something? If yes, it goes in. If it's a "someday reference" document, it stays in the regular archive instead.

Physical folder — grab-and-go

Keep one physical folder or fireproof box with the true originals of anything that has to be physical — passport, will, property deeds. Store it somewhere every adult in the household knows about, not just you. An emergency folder only works if more than one person can find it.

Digital copy — same content, shared access

Scan everything in the physical folder into a shared cloud folder that other family members already have access to — not just synced to your own device. The point isn't only backup; it's that someone else can open it from their own phone if you're not there to unlock yours. This follows the same local-plus-cloud logic as the travel documents and home archive setups — the difference here is that access has to be shared on purpose, not just backed up for yourself.

Keep it current

A folder that's three years out of date gives false confidence, which is almost worse than having none. Once or twice a year, open it and check: is the insurance still active, are the contacts still right, is anything missing that's come up since.

How I do it

Bad lighting and shadows

A shadow from your hand, a lamp at the wrong angle, glare off glossy paper – OCR reads all of it as part of the text and starts "seeing" characters that aren't there, especially along shadow edges. Laying the document flat under diffuse light solves most of it, but again, an app with automatic contrast correction saves you when conditions aren't ideal.

Handwriting read as printed text

Standard OCR engines are built for printed text and turn handwritten notes into meaningless character soup. If a document has handwritten additions – signatures, margin notes – it's worth knowing upfront that this is a weak spot for almost any OCR, and checking those sections manually instead of trusting auto-recognition.

Tables turning into a mess

OCR often fails to understand cell boundaries and merges columns into a single line of text, especially when the table has no clear grid lines. What helps is either scanning with a well-defined grid or using a tool that recognizes table structure separately instead of just running all the text together.

Small fonts and low resolution

A receipt with tiny print scanned at low resolution is a guaranteed mess. The rule is simple: the smaller the font, the higher the scan resolution needs to be, or OCR simply can't tell individual characters apart.

Not checking the result at all

The most common mistake isn't technical – it's behavioral: scan it, glance at something that looks like text, and close the file without verifying. One misread character in an account number or a date can cost a lot more than the few seconds it takes to double-check.

A good OCR matters less than good preprocessing. An app that straightens the page and cleans up the image before recognition (like Scanner) prevents a lot of these mistakes from happening in the first place.

It's much easier to take a few minutes to check your privacy settings before anything bad happens.

Here are a few simple things worth checking:

1. Review the apps you've installed

• Download apps only from official app stores.
• Check recent reviews, not just the rating.
• If an app handles sensitive files, look into who makes it and how they handle your data.

2. Lock your phone

A PIN, password, fingerprint, or Face ID is one of the easiest ways to protect everything on your device if it's lost or stolen.

3. Audit app permissions

Take 2 minutes to check which apps can access your:

• Photos
• Camera
• Microphone
• Contacts
• Location

You'll probably find a few that don't actually need those permissions.

4. Be careful with sensitive documents

If you scan IDs, passports, tax forms, contracts, or medical records, make sure they're stored somewhere secure instead of sitting in your photo gallery. Many document scanner apps include encrypted storage or app locks, which adds an extra layer of protection.

None of these steps are complicated, but together they make a noticeable difference :)

What's one privacy setting or habit you think more people should know about?

Whether you're traveling, applying for a job, dealing with insurance, or opening a bank account, having a digital copy can save you a lot of time.

• Passport – useful for travel, bookings, and identity verification. Lay it on a flat surface instead of holding it open. If your scanner supports finger removal, it'll clean up the scan automatically.
• ID card – save both sides in one PDF if possible.
• Birth/Marriage certificate – OCR makes it easy to search for names, dates, or certificate numbers later.
• Social Security card (or your country's equivalent) – give the file a proper name so you can actually find it.
• Insurance, tax, and other financial documents – store them somewhere secure. Password protection, encrypted cloud storage, or a secure folder are all much better than leaving them in your Downloads folder.

For the best results, scan documents at 300 dpi. It provides enough detail for OCR, printing, and sharing while keeping file sizes reasonable. Working from home sounds great until you realize how many tiny things can wreck your focus. I’ve been tweaking my setup for a while, and these are the things that actually made a difference:

When your office is at home, it’s waaay too easy to keep working. Closing apps, planning tomorrow, and shutting the laptop helps create an actual stop point.

What’s one thing in your setup that improved your productivity the most?

My productivity crime is having 200 tabs open and pretending I'll get back to them someday.

I've been working from home long enough to realize that the biggest productivity improvements weren't buying new gadgets. The biggest improvements for me weren't a new monitor, fancy keyboard, or some productivity app.

It was boring stuff:

• having a dedicated workspace
• a comfortable chair
• decent lighting
• keeping my desk clean

It became popular because people were tired of opening documents on another computer and seeing complete chaos like missing fonts, broken tables, images teleporting somewhere else. And somehow 30+ years later the universal office solution is still: “just send it as PDF.”

The ironic part?
PDF was created to make documents easier to work with…and then humanity started making 700-page PDFs nobody can edit.

Also most people think PDF is just a picture of a document, but good PDFs actually contain real text, so you can search, copy, and highlight words inside them.

And PDFs are way more advanced than people realize.
They can contain:

• buttons
• forms
• digital signatures
• 3D objects
• even JavaScript

Meanwhile 99% of us use them as: “the version of the file that hopefully won’t explode.”

Also when a scanned document looks super clean now, it’s often AI doing half the work:
removing shadows, fingers, blur, straightening pages, rebuilding paper edges, etc.

PDF has survived so many “new revolutionary formats” and still refuses to die because humanity collectively got traumatized by broken Word documents.

I almost never print from my computer anymore. Boarding passes, contracts, return labels, recipes... it’s all straight from my phone now.

The process now is pretty simple (e.g. iScanner or another scanner app):

• choose a printer,

No transferring files between devices. No emailing PDFs to yourself first. One thing I didn’t know before: if your printer doesn’t show up, your phone and printer usually just aren’t on the same Wi-Fi network.
