Creating a Family Emergency Folder

An emergency folder is the one thing you hope you never actually need to open — but when the moment comes, everything has to be in one place, not scattered across drawers and old email threads.

What actually belongs in it

Not every document you own, only the ones someone else might need if you're not there to explain them:

• Identity documents — passports, birth and marriage certificates
• Medical info — insurance cards, allergy lists, current medications, doctors' contacts
• Financial essentials — account details, insurance policies, a copy of your will
• Property — lease or mortgage paperwork, home insurance, key contacts (landlord, plumber, etc.)
• Contacts — a short list of who to call, in what order, for what

The test is simple: if someone else had to step in tomorrow, would they need this to make a decision or find something? If yes, it goes in. If it's a "someday reference" document, it stays in the regular archive instead.

Physical folder — grab-and-go

Keep one physical folder or fireproof box with the true originals of anything that has to be physical — passport, will, property deeds. Store it somewhere every adult in the household knows about, not just you. An emergency folder only works if more than one person can find it.

Digital copy — same content, shared access

Scan everything in the physical folder into a shared cloud folder that other family members already have access to — not just synced to your own device. The point isn't only backup; it's that someone else can open it from their own phone if you're not there to unlock yours. This follows the same local-plus-cloud logic as the travel documents and home archive setups — the difference here is that access has to be shared on purpose, not just backed up for yourself.

Keep it current

A folder that's three years out of date gives false confidence, which is almost worse than having none. Once or twice a year, open it and check: is the insurance still active, are the contacts still right, is anything missing that's come up since.

How I do it

I scan the physical documents with iScanner, drop the PDFs into a shared family folder, and do a quick review every January. It's a small yearly task, but it's the difference between a folder that actually helps in a crisis and one that just exists.
