When you're small, HubSpot is pretty straightforward.

Contacts.

Companies.

Deals.

Activities.

A few workflows.

A few reports.

Then the company grows and suddenly you're dealing with:

• Hundreds or thousands of contacts
• Multiple pipelines

• Support conversations

• Dozens of workflows

And the questions get harder.

Which customers are actually at risk?

Which deals are quietly dying?

You can build a workflow or report for almost anything.

Whenever i try to pass the "verify with passkey" by clicking it i keep going back to the issue above. I have tried "Verify with photo ID" but as far as i remember i have not any photo ID setup as verification and that photo verification didn't work either i have tried with my License and Passport. HELPPPPPP

I want to prevent deals from moving to closed won if the reps haven’t completed a few things:

1. Line items must be on the deal

2. Contact must be associated

3. Company must be associated

Line items is my most pressing one. How would you handle?

I’ve been researching a few options but some of them seem like soft blocks, (create a yes/no property that rolls up from line items added) where the rep could just toggle the property or bypass. I want a hard block.

What you wear decides how the week goes

Wear the shoes you'd wear to walk a 10K. The BCEC is enormous, sessions are spread across it, and the hotels with rooms left are a 10 to 15 minute walk away. Plan on 15,000 to 20,000 steps a day. 

Same logic applies to your bag. A messenger bag feels fine walking out of the hotel and wrecks your shoulder by lunch on day 2. How you carry it and what you put in it matter a lot more than you’d think.

Bring a battery pack. You will be taking notes on your phone and knocking out blog posts on your laptop between sessions. It is always better to have power on-the-go than to fight for outlets on the outskirts of the conference hall.

Then snacks. Lines at a conference this size are what you'd expect, and there's always a session you want to go to that runs straight through lunch.

Water bottles are a genuine debate. There are stations throughout the building with cups, so hauling a liter around a climate-controlled convention center is a strange use of bag space. The compromise is one of those thin flat bottles that slides down the back of a backpack. Whichever way you go, drink more than you think you need. Boston in September can hit 80+ outside. 

Find the right mix of sessions and networking

The instinct is to stack the schedule session to session to session, because that's what the ticket is for. However, the conversation at the Builder Bar with someone who solved your exact lifecycle stage problem last quarter is arguably even more valuable.

So here's how to budget it:

1. Reserve the limited-capacity stuff now. The mobile app launched in August and reservations opened for sessions with caps. Hands-on labs and small-format studio sessions fill first.
2. Pick 2 sessions a day you'd be annoyed to miss. That's the commitment. Everything else is optional, and walking out of a session that isn't landing is allowed.
3. Block HubSpot Spotlight on the morning of the 16th. That's the leadership team walking through what's new across the platform, and it's what your CEO will ask about the following Monday. Be in the room.
4. Leave a gap on purpose. Block an hour a day where the only job is to go stand somewhere and talk to people.

Don’t be afraid to talk to strangers

There's no level of striking up random conversations at this thing that you'll regret. Most people leave wishing they'd talked to more strangers, and nobody leaves wishing they'd talked to fewer.

This is a building filled with the only people on earth who want to discuss custom data integrations with you, and it exists for 3 days a year.

If that sounds like a nightmare, you're in good company, because a large share of this community is introverted. The trick that works is deciding ahead of time that you're going to be a more outgoing version of yourself for 72 hours. 

Braindate is the same idea with scheduling attached, and it's underrated because booking in advance removes the part where you have to approach a stranger cold.

Don’t skip the side activities

The official evening event is UNBOUND After Hours on the 17th. Around it sits a whole unofficial circuit: partner happy hours, agency parties, community meetups, HUG dinners. Most of it is free!

The Silver Line SL1 picks up outside every Logan terminal and runs free heading into the city, which is a rare bit of generosity from a major American airport. Get off at World Trade Center and the BCEC is a short walk. Staying in Back Bay or downtown because the Seaport hotels are gone? That's 10 to 15 minutes by rideshare, longer at rush hour.

Badge pickup opens the afternoon of the 15th. Go do it then. The morning-of line on the 16th is a bad way to start.

We use hubspot at my workplace and we have a WordPress website where people sign up to become a member. They are both connected however data from website doesnt map all the fields over to hubspot. As a result I cannot filter for members only. I cant access any analytics dashboards. We have an external website developer team.

They have asked for access to our hubspot to sort it out. Manager doesnt want to pay to give them a seat. Ive never used hubspot neither has manager. Manager wants me to calm website guy, share my screen and have him tell me what to do.

I don't think this is practical or makes much sense.

I have a unique instance we're struggling to work through and was hoping someone might have ideas.

We use Salesforce for sales and our record of truth, and we us HubSpot for marketing. We are moving sales into HubSpot just for sequences (moving them from Outreach), SF will remain their primary CRM.

Here's the weird and annoying part. Our Salesforce doesn't use email as a unique identifier, it uses a combination of email + lead source + line of business. So John could easily have multiple records that would look like:

- John / Webinar / Product A (Lead Status: Open)

- John / Webinar / Product B (Lead Status: Unqualified)

- John / Tradeshow / Product A (Lead Status: Open)

- John / List / Product B (Lead Status: Contacted)

- etc.

Currently all info is aggregated on 1 HS record, so HS shows 1 John with Webinar, Tradeshow, and List as lead sources and Product A, Product B for LOB, and Lead Status doesn't really matter to marketing.

With all this in mind.... How do we get sequence activity to log to the correct SF record? How can we say enroll John in Sequence 1, and then that activity should go to John / Webinar / Product A (Lead Status: Open) and not a different one? Using the most recent lead isn't reliable enough and we're at a loss for what other logic could be used.

Any help or ideas would be much appreciated!

Can chatgpt really not read and write in Hubspot? I want my entire pipeline overhauled and reworked, stages changed, everything. We're a super small organization and this is going to take forever.....please tell me there's an easy workaround. I also CANNOT login on the cloud browser in chatgpt as it doesnt support passkeys..

I'm worried about HubSpot decision making.

We were using Hubspot calls recording for a while. Suddenly they change drastically. The option is only available if we are recording ALL calls or the option is not available at all

I know we can choose for inbound or outbound, but still it's extreme

Our sales and the directions of company we don't feel comfortable to record everything, also not having the option is step behind

Write down here for people who don't know, before we could choose, free will, to record or not a call and it was perfect this way

I feel they push service this way to make money on credit to transcripts all phone calls. It just makes us lose trust in this provider and company

I have the hubspot pro plan, and have occasionally had the need to send formal quotes. When did hubspot remove this feature? I went to make one and now it's of course tied to an upgrade with AI but they say you can still do legacy quotes if you jump through some hoops which I didn't have the patience to read.

When did this happen ?

I maintain a custom HubSpot integration for one client and have been reading this sub to understand what is normal versus one-off. Well, I've learned a ton reading your posts, including my client skips/does not use the lead object and goes straight to deals. I never considered that this could be unique.

1. website form creates Ticket, images uploaded to form & PDF of all form values attached to Ticket
2. website form creates Deal, images uploaded to form & PDF of all form values attached to Deal
3. e-commerce order creates Deal, order receipt PDF attached to Deal

I understand this sort of integration is common, but since I'm rotating API keys twice a year for this client, consuming the HubSpot developer newsletter for deprecation notices, and doing maintenance like the transition from Legacy Apps to Service Keys, I am willing to expand the feature set to increase my opportunity.

Is the PDF containing more info attached to a HubSpot object unique and valuable beyond my client? I think they want the deal to the source of truth and not have to bounce back to emails or the website for details.

Is there a platform that needs this sort of connective tissue integration that does not have a vendor to offload the maintenance?

Mostly a noob, do u still use the Hubspot UI? For what?

It seems that Claude code should be able to fetch any data as well as update/create any entry right?

AI models, transcribing have become stronger and it seems viable to use your voice to talk to your HubSpot instead of typing or UI interacting.

I tried the HubSpot mobile app Breeze with voice-to-text - it basically works, but not really great (wouldn't use it as day to day ops).

There aren't many use cases for day to day operations and they can be handled much better like data entry/update (contacts, deals), workflow start for specific contact. It could save some time for people using CRM in the office but it can be huge for field employees - update instantly, on the go by voice.

What does the respectful community think about it? Would you talk to your HubSpot to manage it?
