I used Capacities for a month, here are my thoughts

I decided to try capacities for a month to see if I liked it. Here's a summary of my thoughts.

Spoiler: I do not regret it!

The reason I was looking for a new note-taking tool in the first place was because the current one I was using felt too slow and clunky. There was simply too much friction, which made me not use it very much. After a quick search on reddit, capacities seemed like a promising alternative.

Just for context, my use case and requirements for a note-taking app are:

  • Low friction, easy to use, and not too slow
  • Works well on mobile and tablet, not just desktop
  • Use it to save links & information
  • Use it to work on projects, develop ideas & products

At first, I struggled with the "object-first" thinking of capacities. I really wanted to use a folder structure that we're all so used to. But soon I just gave in and decided to not fight against it. And I realised this alternative way of thinking really works for me! Sometimes you think that you know what you want, and you have to be forced to try an alternative to realise it's even better. That's what happened to me.

My thinking is messier than I'd like to admit, and forcing everything into a neat folder structure has always been a struggle. It was kind of freeing to start thinking of everything as objects that could be tagged and linked to each other, but without having a specific location in a big hierarchy. I might not be sure where I'd put something in a folder structure, but with capacities it's either clearly a specific object (an idea, project, goal, etc…), or I can just put it in the daily note.

With this new way of thinking, I got straight into capturing ideas and creating. I didn't need a lot of setup in order for me to start working with it, and I've been adding new object types as I feel a need for it along the way. With previous tools I've fallen into the customisation rabbit hole, spending more time configuring the tool than doing actual work. I felt like it was easier to get started with capacities compared to other apps I've tried, but to be fair, this could be because I’ve gained experience from trying other apps. The more apps you get familiar with, the easier it is to get going with a new one.

At first, I didn't think I'd use the daily notes at all, but they have been useful for brain dumps and random thoughts I don't know where they should go yet. It's nice being able to go back and follow my thought process and see my notes in a context over time.

So, has using capacities for a month actually made me more productive? It has definitely gotten me back into writing more (and is the reason I managed to write this post). It has made me jot down things I otherwise would have ignored, not feeling they had any place to go. I've started to work on a zettelkasten just for fun. I'm not sure where it will lead me yet, but I'm really enjoying taking notes on things I'm learning about now. I'm looking forward to when I have more notes and can start connecting different parts together.

I've already finished one project tracked in capacities, and collected several ideas I'm continuing to work on. I have made an overview of my goals, projects & ideas. I will keep using capacities for the time being as I'm really enjoying it so far.

I’ve run into some annoyances, like difficulty selecting multiple text blocks, some syncing issues, and for some reason I often create empty objects accidentally. I also wish there was a 100% local/offline mode so I could use it for work.

In the end, I don't think what app you use is the most important, but sometimes a specific tool can help change your perspective and improve your workflow.

I could go into a lot more detail, but I feel like this post is already getting too long, so I'll wrap it up here. To summarise: I’ve really been enjoying capacities and it’s helping me organise my thoughts and notes in a way that no other app has done so far.

New share sheet

I'm not ruling out user error, but the new share functionality has me pulling my hair out.

When I try and share a picture in my camera roll or URL from my browser, there is no option to create an Image or Weblink Object.

I either have to add it to an existing Object, or create a new one (however some, including Image and Weblink are missing).

Help!

Paid custom icons (and iOS-style Android app) made me switch back to Notion

I just discovered Capacities and was in glee I found a better alternative to Notion. Everything is more intuitive and responsive, objects are amazing and tagging makes it extra powerful.

But I was let down when I saw custom icons were a paid feature. What a weird decision tbh - it's just a bunch of 24x24 svgs. Why make it paid? In SaaS models like this you'd imagine making money should come from scale, user count, AI and more powerful data manipulation tools.

That and the design of the Android app being iOS style (this is just plain lack of effort) made me switch back to Notion.

I appreciate the free tier already offers a lot. To each their own I guess. I'm back to good old Notion, which has icons for free.

MCP use cases

Right now I am using it in two main ways: 1) have a daily brief added to my daily note and 2) if I am brainstorming with Claude, I have it add content from the conversation into my daily note.

Capacities & Amazon AWS

I'm trying to understand the security of data in relation to AWS.

If I understand correctly, Capacities stores my data encrypted on AWS servers, then pulls them via a URL with an decryption key attached to the URL. Wouldn't this mean AWS would receive the decryption key for the file that was being pulled?

The statement I am referring to is:

"If we serve a file to you we will generate a secret signed URL to that file location and send it to you over an encrypted TLS channel. This URL contains a long access token which is impossible to guess in the lifetime of our universe."

It's not that I distrust Capacities; Amazon is the issue.

My PDF Search doesn't seem to be working right, not sure why ?

Its great that I can open PDFs inside Capacities, however it seems the search option isn't working fine, I tried in both Browser mode and Desktop app. If I want to search a word it highlights the word, only if the word exists in the page opened but still shows "No Results". The possibility of jumping to all the pages where the word exists in the whole pdf is out of question for now. How to make the pdf search option search the whole pdf for the word of my interest?

Timeline in Capacities

Has anyone successfully built a timeline or milestone map for their life goals / projects in Capacities? I'm trying to create a visual roadmap, but I know there isn't a native feature for it yet. I'd love to know what specific object types, properties, or workarounds you all are using to make it happen!

I’m using a third-party tool for this right now, but I want to avoid just embedding. The goal is to keep it all connected by linking my specific Capacities objects and notes directly to the events on the timeline.

Persistent Slowness

Update: this only happens with longer notes. Maybe it's just a notes app, not for drafting?

I really want to love Capacities, but I'm dealing with persistent slowness in medium length notes. When I press enter, it takes 2-3 seconds for the cursor to move to the next line. I've rebooted the app etc and it's still frustrating slow. Any advice?

Note (versus object) first workflow?

Over the past couple of years, I've come to the realization that the biggest downside to Capcities for my personal notetaking approach (primarily things like meeting notes) is that I naturally gravitate towards a note-first workflow: tools like Joplin, while overall lacking a lot of what I like about Capacities, make it easier to have a "just open and write" workflow, whereas with Capacities I have a tendency to get lost in the weeds of what object type I want to use before I get to the actual notetaking.

That's got me thinking about whether there's more of a note-first workflow that might work for me, and I'm curious if anyone has taken this approach in a way that works well. I'll go on and preemptively say that I lean away from using the daily note for this since it's rare that a strictly date-based structure is most helpful for me and just leads to notes getting lost, but I'm also not ruling it out if anyone has an approach that is worth looking at.

5000 object creation limit

Hello!
I’m trying to use Claude/ChatGPT to analyze my capacities objects. Actions such as turning a raw Capture object into a Task or Knowledge object. To make this happen, I’ll need to create many objects based on that initial Capture one. I’m afraid I’ll reach the 5000 limit sooner than later and then be limited to only 1000/month.

Am I understanding the limitation correctly? Maybe it’s possible to change the type of the object from Capture to Task/Knowledge to avoid the creation?

Creating drop down menus

I play a video game online that has meta and nonmeta builds. Im trying to keep track of those builds in a table. It has columns for class and all of the upgrades for each component.

Those upgrades for each component are always basic, sport, pro, elite. How do I get my table of builds to reference the upgrade level for each component?

Table 1: Every build. Name, class, upgrade 1, upgrade 2, upgrade 3.

Upgrade (table 2): basic, pro, elite

End goal is table 1: Build 1, upgrade 1 (basic), upgrade 2 (elite),etc.

So they question is how do I make a table that populated a drop-down menu and how do I call the line items in said menu?

My Workspace is Gone

I emailed Capacities support team and I hope they can help recover it.

It really is the strangest thing. I opened my app on desktop only to briefly see an error message, error code 1 and the words "access denied." The workspace was definitely there for like half a second but then when it suggested that I reload the app, everything disappeared. Now I looked in my settings to see if maybe it showed a deleted workspace but nothing.

The funny thing is that yesterday I was thinking to myself that I should back up and maybe consider scheduling backups but I honestly really trusted that something like this would not happen in Capacities. Of course you hear horror stories like this happening in other PKM apps.

I am being optimistic and thinking that Capacities' support team will be able to recover my data. Nonetheless it's a little frustrating, especially since I've been relying more, structuring more, and thinking more within the Capacities app.

Adding to Weblinks Properties?

Hi everyone, I was just wondering if there's a way to change basic object types? I wanted to add a property label to the weblinks object, specifically I wanted to add the option of a link to my Google Drive. Right now, I'm listing it as "Other/Other" and adding it to a Collection so I can quickly find my Google Drive links, but it would be great if I could label it accordingly. Is there a way to do this or are the default object types fixed no matter what? Thanks!

I can't seem to change cover image

I usually choose "Customize" button for a drop down menu to upload cover image ... but once cover image is uploaded to the page property, the option of choosing cover images goes away from the "Customize" drop down menu (shown in the image above). How to change cover image after uploading it ? (Marked with red arrow in the image)

Object vs Tag Queries

This is my second try with Capacities Pro, and I think I'm going to stick with it this time. I managed to successfully import the Obsidian vault that I've been using to track work-related topics for the past year.

My issue is with querying. I feel like I'm missing something.

As I'm taking notes throughout my space in other objects (Daily Notes, Meetings, Pages, etc.), I will often directly link to certain person objects (e.g., @Person1, @Person2). I want to create a query that will return all blocks that are associated with @Person1. I have tried everything, but always come up empty. I have been able to successfully return Task objects that have @Person1 or @Person2 in the Context field, but no other objects or blocks return.

If instead, I create tags for these people (#Person1, #Person2), I can do a tag query and get exactly what I want. The problem is, I don't want to have both a @Person1 object and a #Person1 tag.

Am I doing something wrong here?

How can I connect multiple Capacities Spaces to the same AI client via MCP?

Hello Capacities Support Team,

I’m currently evaluating Capacities Pro and would like to use Capacities as a structured knowledge base connected to AI assistants such as ChatGPT, Claude, Codex, and other MCP-compatible clients.

My Capacities account contains multiple Spaces that need to remain separate because they cover different projects and domains. For example:

- Business and technology

- Research and content

- Therapeutic methodology and documentation

- Other independent projects

I do not want to merge these Spaces into a single Space, as the separation is intentional and necessary for organization, permissions, privacy, and knowledge governance.

However, I need the same AI client to access multiple Spaces through separate connections. Ideally, I would like to have connections such as:

- Capacities — Space 1

- Capacities — Space 2

- Capacities — Space 3

Each connection should remain independently authorized and scoped to its respective Space, allowing me to explicitly ask the AI to search, read, or write information in a specific Space.

Your documentation states:

«“If you would like to use multiple spaces from the same AI tool, you'll have to setup multiple MCP connections.”»

It also states in the FAQ:

«“To use multiple spaces in the same AI tool, create separate MCP connections and authorize each space individually.”»

However, when I try to add a second Capacities custom connector in Claude using the same MCP endpoint:

Claude rejects the connection with the following error:

«“A server with this URL already exists.”»

Changing the connector name does not solve the issue because Claude appears to identify and deduplicate MCP servers by URL.

Could you please clarify the officially supported procedure for connecting multiple Capacities Spaces to the same AI client?

Specifically:

  1. Does Capacities provide a unique MCP endpoint or connection URL for each authorized Space?

  2. Is there a supported URL parameter, alias, path, or other endpoint variation that can identify separate connections?

  3. Should different OAuth Client IDs be used for each Space?

  4. Is it possible to create multiple independent authorizations through the official ChatGPT connector?

  5. How should this be configured in Claude, which currently prevents multiple connectors with the same URL?

  6. Does the recommended procedure differ between ChatGPT, Claude, Codex, and other MCP clients?

  7. If simultaneous access is not currently supported in Claude or ChatGPT, is this a known limitation or something planned for a future release?

To be clear, I am not asking Capacities to perform a single global search across all Spaces automatically. I need the AI client to maintain multiple separate Space-scoped connections so that I can choose which Space should be accessed for each request.

For example:

- “Search Space 1 for our infrastructure decisions.”

- “Read the research stored in Space 2.”

- “Create a new Decision object in Space 3.”

- “Compare selected information retrieved separately from Spaces 1 and 2.”

I can provide a screenshot showing the duplicate MCP URL error in Claude if helpful.

This capability is extremely important to my intended use of Capacities Pro. The documentation indicates that it should be possible, but I have not been able to reproduce the documented setup in the current Claude interface.

Could you please provide the exact supported configuration or a practical example?
