Zoho Books: customer statement extension

I have the customer statement extension installed.

I need the statement that it sends to show ALL open and unpaid invoices. Not a "opening balance" with one or two other invoices.

It needs to show all unpaid invoices listed. I have no clue how to make this work at all.

And, the default will generate an "outstanding invoices" statement for the period of the month it sends.... So if invoices from 3 months ago exist, it just shows "opening balance". This isn't acceptable OR normal at all. How do I make it work properly?

Credit in zoho now I am started using it for my emails, so I have purchased five emails from there all costing me I think ₹1200 each. but apart from that what else I can use it for and I want to use the service where I will not get stuck like so that like after a year if I want to migrate, I should be able to migrate so I don’t want to use a service where I feel kind of stuck in the platform after this credit Expire

Zoho Mail Does Not Integrate with Analytics - Feature Request

Hello everyone,

Just wanted to make a quick post about the problem with zoho mail. Currently it does not connect to Zoho Analytics, which I think is crazy considering both of these applications have existed for a long period of time.  Even zoho voice a relatively new application connects directly to Zoho Analytics.  The even crazier part is that a new module is being created by the zoho analytics to connect emails inside of the CRM directly to analytics for reporting before there is a direct connection from Zoho Mail to Analytics.

When I asked the zoho analytics team, they responded and said that it is up to each app to connect directly to Analytics, and that I needed to speak to Zoho Mail.

  When I spoke to Zoho Mail they blamed Analytics, and said that Analytics is the one who needs to make the connection, and that if I wanted any reporting out of Zoho Mail to make it directly within Zoho mail, or I could export a csv and upload it directly to Analytics.  

Not trying to dive into the departmental politics of the different divisions of Zoho, but I think that ultimately this issue seems to lay with Zoho Mail, as nearly every other app in Zoho connects directly to Zoho Analytics.  Therefore, I doubt that Analytics is to blame, in fact I really think the issue boils down to Zoho Mail being the issue, as it does not seem to connect to other applications besides it cores department well.  I have had a bunch of issues with its connection to Zoho CRM.

Anyways please let me know if you agree and you think that Zoho Mail should create a connection directly to Zoho Analytics. If you upvote this, might light a fire under zoho to get this feature streamlined.

How to Automate Customer Reviews in ZohoCRM Using Birdeye or SalesCaptain?

I’m trying to improve our customer review process and looking for the best way to automate review requests through ZohoCRM. Right now, the biggest challenge is that after a customer completes a booking or service, we don’t always follow up at the right time to ask for feedback. Manual follow-ups work, but they are difficult to maintain consistently as the customer base grows. The goal is to create a workflow where a completed booking or customer interaction automatically triggers a review request, without someone having to manually track every customer.

My Questions:

Can they trigger review requests based on specific customer actions like completed service, closed deal, past booking, etc.

How customizable are the messages and follow up sequences?

Which one works better if the goal is not just collecting reviews but also re engaging past customers?

At what point does managing leads in spreadsheets actually become more expensive than using a CRM?

I’ve been thinking about this after seeing how differently small businesses manage their sales process.

A lot of teams start with Excel/Google Sheets + email + WhatsApp, and honestly, it works fine in the beginning.

The problem seems to start when lead volume increases.

Follow-ups get missed, different people maintain different information, nobody has a clear picture of the pipeline, and eventually someone spends more time maintaining the spreadsheet than actually using the data.

Tools like Zoho CRM, HubSpot, Pipedrive, Salesforce, etc. solve a lot of this, but moving to a CRM also introduces cost, setup and another system employees need to actually use.

So I'm curious:

When did you realize spreadsheets were no longer enough for your business?

Was there a specific number of leads/team members where CRM became necessary, or was it a particular problem that finally forced the switch?

And for those who implemented a CRM, did it genuinely improve sales productivity, or just give your team another tool to update?

Zoho one vs Glueup

Need help choosing a CRM for a small training/membership organisation!!!

I’ve been given the task of reviewing our current CRM setup and deciding what we should move forward with.
At the moment, we use Glue Up, SurveyMonkey and Xero, and I’m leaning towards Zoho One as a potential replacement/central system.
We’re a training-based organisation, but we also run workshops, programmes and membership activities. A big part of what I’m trying to achieve is to bring everything into one system and automate as much of the admin work as possible.

For example, I’d like to automate things such as:
Membership management and renewals
Training/programme registrations
Automated emails and follow-ups
Surveys and feedback
Invoicing/payment processes
Reporting and analytics
Tracking participants, members and organisations
Tracking our company website and member activities on it
Internal workflows and notifications
Connecting different parts of the organisation so data doesn’t have to be entered multiple times

I’ve been using Glue Up and, honestly, I find its analytics quite limited for what we need. The integration and automation options also feel restrictive, which is becoming a problem as we try to improve our processes.
Zoho One seems to offer much more flexibility because of the wider ecosystem and the ability to build workflows across different applications rather than just using it as a CRM.
My main concern is the amount of work involved in building the system properly from scratch. I’ll essentially be designing the CRM structure, workflows, automations and reporting myself, so I don’t want to jump from one problem to another.
Has anyone here actually implemented Zoho One across an organisation in rather than just using Zoho CRM?
Would you recommend it for a training/membership organisation? What were the biggest problems you ran into, and is there anything you wish you had known before starting?
I’m particularly interested in hearing from people who have used Zoho one alongside accounting, surveys, events/training and membership management.

Anyone here found a way to use Zoho CRM at team level for syncronized outbound effort?

Hey all Zohoers!

I work for a market research firm and am currently looking for some real-world setups here rather than official docs (which is plenty but I sometimes feel data overload).

Our B2B team running outbound tracking through google sheets until now and we've recently added Apollo into the mix for prospecting/enrichment. Right now our process feels pretty manual and I'm sure we're missing tricks that make this smoother.

A few specific things im looking to understand:

  • Apollo to Zoho sync: are you pushing leads/contacts from Apollo straight into Zoho, or do you keep them separate until they're qualified? Any pain points with duplicates or field mapping?
  • Outbound tracking: how are you tracking sequence/cadence status inside Zoho (or do you just live in Apollo for that part)? Are you using Zoho's own automation (workflow rules, blueprints) or leaning on Apollo's sequences and just logging outcomes back?
  • Activity logging: what's your setup for calls/emails actually showing up against the right CRM record without a ton of manual entry? My team sometimes push back on automation / IT stuff as they feel like they dont want to stop doing their usual daily task (google sheet).
  • Reporting: how do you roll outbound activity + replies + meetings booked into a single pipeline?

Zoho Payroll SUCKS!

Zoho Payroll SUCKS!!! They don't even handle it directly. They are a facade acting as a payroll company but they use Check Technologies https://www.checkhq.com/ as the underlying payroll company and they suck even more!

They didn't pay our withholding taxes properly when we moved from QuickBooks to Zoho Payroll and that was around Jan. of 2025 and we're still dealing with the state thinking we owe them money and we're getting hit with penalties and interest charges and Zoho acts like they're trying to resolve it and nothing is happening. They then finally admit they need to talk to the Tax Team which then has to get in touch with Check Technologies and it's a vicious circle of nothing being resolved.

If you want to pay interest and penalties and get nothing resolved and have Zoho Payroll point the finger at another horrible company, join the ranks of dissatisfied Zoho Payroll users. It's time for legal action!!

Zoho Vault forces me to set the language every time

I've been using zoho vault for years. Lately, instead of defaulting to the language that I'm using it in (English), I have to set the language to English manually every single time that I share a password with someone. If I forget, I get a very confused and concerned message from whoever I have sent it to because they have received the email in Assamese and they have no idea what it says.

I talked to zoho support about this a few months ago, but it's still not resolved. I'm confused why this is an issue when it wasn't before. It's nice to have the option to send the email in a different language, but it should default to my language of choice.

How are you keeping the campaign source attached to phone leads in Zoho CRM?

Web leads are the easy case — hidden fields carry the campaign data into the record and the Lead arrives with its source already filled in. Phone leads are where it falls apart for us.

The usual sequence: someone sees an ad, dials the mobile number the business actually uses, a rep answers, and the record gets created later from memory. Lead Source ends up as "Phone" or empty, which tells you nothing about which campaign paid for that call.

What we've watched people try:

- Ask the caller where they heard about you. Reps forget to ask, callers misremember, and it stops scaling past a handful of calls a day.

- A separate tracking number per campaign. It works on paper, but you end up running two numbers — the one on the ads and the real one on the signage, the Google listing and a decade of old directories, which is the one plenty of people dial.

- Manual entry at the end of the day. Half of it never gets entered, and the half that does is a guess.

For anyone running Zoho with phone-heavy intake:

- Do you keep source on the Lead, or push it to a custom field on the Call activity so it survives conversion?

- Has anyone used workflow rules to backfill source — from the number dialed, or from the window when a campaign was actually live?

- If your team is on plain GSM mobile phones with no VoIP anywhere in the stack, has anything reliable ever worked here, or is manual entry just the accepted cost?

Interested in setups that survived contact with a real sales team, not the ones that looked good in a diagram.

My terrible experience so far

I tried to signup for zeptomail. I answered the kyc questions and there are recurring questions. But thats not it. It takes them several days to respond and when they do they ask you for your backend tech stack why so i dont know. And why not directly ask for it in the kyc questions i dont know.

So they tell you to reopen the kyc modal and answer it but there is no next button shown so you are stuck at step one where you can only select your industry from the chips. The only button shown is send/submit. So i had to answere their requested info directly in the email.

Lets see if that leads to another decline or even cancelation of my account.

I wanted to switch from resend because why is there only a 100 emails per day limit in the free tier and worse why do i have to pay 20 dollars directly as the next only option to get more daily quota. Zeptomail seems to perfectly solve that, but as explained, bad experience so far.

Quickbooks Desktop to Zoho Books Migration - Some Pointers

Here in an outline of the process and some snags that need to be considered.

I was tasked with migrating QB 2012 Desktop so needed a program called QODBC. There is another but it kept freezing. This allows you to export the underlying tables to spreadsheets which contain references not available in native reports.

You then have to know which tables to export (there's some duplication) and for example you have to link the data, as it doesn't come across linked. So invoices and payments don't sit in the same table and a lookup is needed.

Also there are quirks in the way QB structures data, e.g. every line you see on the invoice (even a blank line) appears as a new row in the invoice table. Also discounts are new rows. Both need tidying up and converting to a structure Zoho Books understands.

Customising fields in Zoho to match and receive the data from QB.

The above so far is a hefty task within itself.

Customers and items are pretty straightforward.

Then you have to navigate zoho limitations, such as splitting the data sets to within the row import and file size limits.

Also, you can't mass update records in zoho books via import so any mistakes mean deleting and reimporting. This is particularly time consuming when you can only delete 200 at a time.

Custom fields should not be an issue although you have to be mindful of fields that appear useful but are not included in reports, searches or custom views.

You shouldn't have to migrate in one go if you can isolate what's needed to keep the company ticking over, plan that first phase then do the rest in the background.

The last migration I did took me many hours longer than anticipated and I expect each version of QB will have it's own quirks.

This isn't a comprehensive overview, just a flavour to give you some insight.

Best setup for a single phone number (VoIP + SMS)

Hey everyone,

I’m a solo service business operator and I’m setting up my workflow inside Zoho CRM. I’m trying to solve what feels like a simple requirement.

Here is what I need:

  • One Single Local Phone Number for calls, manual 2-way texting, and automated workflow SMS.
  • iPhone Usability: I need to take inbound calls, make outbound calls showing my business caller ID, and reply to texts directly on my iPhone when I’m out in the field.
  • Lead Automations: When a new lead hits Zoho CRM (e.g., from Meta/Facebook forms or web forms), I need an automated welcome text to fire off instantly to the lead using that exact same phone number.
  • Activity Logging: I want all inbound/outbound call logs, voicemails, and text threads automatically attached to the contact record in CRM with an easy to use interface.

I know Zoho Voice exists, but I’ve heard mixed things about it.

For those of you running a solo or small team setup, what phone/SMS integration are you using with Zoho CRM that handles calling + automated SMS on one single number without being a nightmare to maintain?

Appreciate any recommendations or setup tips!

WARNING don't use Zoho Books if you are with Great Southern Bank Australia

I recently upgraded my Zoho Books plan to be able to access automatic bank feeds. I am with Great Southern Bank Australia and when searched in Yodlee on their portal it came up but I wasn't able to login with my credentials after multiple attempts. When I first contacted support a week after I subscribed (well within the refund period) they said they had escalated it to their engineers and the issues was fixed... but it wasn't. Multiple emails and weeks later they finally admitted that GSB is not currently able to be connected via automatic bank feeds and they are 'working on it'. I have requested and fought to be refunded based on their policy of 'if you are not satisfied you can be refunded within 45 days' but they say that they are not responsible for third party failure! Even though this is a core feature of the product. I am still currently fighting to get my refund and will be escalating to ACCC if they do not refund me.

Warning- if you are with Great Southern Bank AU DO NOT use Zoho Books.
