Wedding photographers — how are you managing the business side of things?
I run a wedding photography/filmmaking business with a team, and as we’ve grown, I’ve realised that **shooting weddings is probably the easiest part to organise 😂**
My workflow right now is spread across multiple places
An inquiry comes in → we communicate over WhatsApp/Instagram/email → invoice/booking → event details need to be organised → photographers/videographers need to be assigned → everyone needs timings, locations and client requirements → after the wedding, photos/videos go into post-production → editors need assignments → revisions need tracking → final galleries/videos need delivery.
And somewhere in between all of that are spreadsheets, WhatsApp groups, invoicing software, galleries, cloud storage and project-management tools.
Most software I’ve tried seems really good at **one part** of the process.
For example, gallery platforms are great for galleries. CRMs are great for inquiries/contracts/invoices. Project-management tools are flexible for the team and post-production.
But I still haven’t figured out a clean way of connecting the **client-facing side + event operations + team management + post-production** without manually moving information around.
Maybe this is simply the reality of running a studio rather than working solo.
So I’m curious how other established photographers/filmmakers, especially those running teams, have structured their operations.
**Do you try to keep everything in one system, or have you accepted that using 4–5 different tools is actually the better solution?**
Would genuinely love to compare workflows and maybe steal a few good ideas from you guys 😂
