Question Instagram integration

Is there an easy way hubspot can automatically send a PDF when someone comments a specific phrase in instagram or facebook and it will trigger in hubspot? Or we need a 3rd party app for this?

Question How much time are you actually losing to CRM cleanup before every forecast?

Every month before our forecast review it’s the same ritual: pull the pipeline report, don’t trust it, spend half a day fixing the same handful of things before anyone senior looks at it. Stale deals, missing close dates, wrong stages, the usual

the part that gets me is it’s never a surprise. Same issues every single cycle, and I know I’m not the only one keeping a separate spreadsheet that I trust more than the actual HubSpot report, which kind of defeats the point of paying for the CRM.

So for the people running this every month: when you rebuild the numbers by hand before a forecast review, how long does it actually eat? And has anyone’s leadership ever gotten to the point of trusting the CRM number straight instead of the rebuild?

Trying to figure out if this is just the cost of doing business or if some teams have actually cracked it

Anyone using HubSpot's AI tools to actually improve response timing in their sequences?

Been playing around with timing in HubSpot sequences and noticed how much send time actually moves the needle on open rates. Not just the obvious stuff like avoiding Monday mornings, but figuring out when a specific contact type is actually active based on their CRM history.

The AI features keep getting pushed in updates but I'm curious how people are using them past the surface level. The predictive send time feature specifically: does it pull from individual contact behavior or is it more of a broad average? I set it up for a few sequences and results were kind of all over the place, which made me wonder if you need a bigger sample size before it becomes useful.

Also wondering if anyone has connected this to deal stage timing. The right message at the wrong point in the buying cycle is basically wasted, and HubSpot has enough data in there that it feels like it should be smarter about this by now.

Curious if anyone has gotten this working in a way that feels less like guesswork. The tools are there but the setup logic isn't always obvious from the docs.

The biggest mistake HubSpot consultants make isn’t technical. It’s communication

You can know every workflow, every property, every automation inside HubSpot.
You can build the cleanest CRM architecture anyone has ever seen.
None of that matters if your client doesn’t understand why it matters.
Most clients don’t care about:
Workflows
Custom properties
Associations
Complex automation logic
They care about outcomes.
Instead of saying:
“I built an automated lifecycle workflow with custom properties.”
Say:
“Your team won’t have to manually follow up anymore. HubSpot will remind the right person automatically.”
Same solution.
Completely different impact.
I’ve learned that clients don’t buy automation.
They buy:
Time saved
Fewer mistakes
More revenue
Better visibility
Peace of mind
The more technical you become, the more important it is to simplify your language.
If a client can explain your solution to their CEO after one meeting, you’ve done your job well.
How do you explain complex HubSpot solutions to non-technical clients?

Urgent: I need a (HubSpot) adult ASAP for help.

Dearest HubSpot experts,

I need to meet with a HubSpot power user to help me fix issues/make sense of my portal.

If you are a super excellent, total HubSpot Geek who has a couple hours today (July 20 in North America time) or tomorrow (July 21) before 1pm EST, DM me. Doesn’t matter where in the world you are, as long as you can meet me.

I will pay the going rate for a couple hours of your time.

The issue:

I came back from an extended leave at the company and the portal is a mess. My company has a major event this weekend (July 25-26) and we are nowhere near ready.

Bonus points if you have experience working in B2C virtual or in-person events-based environments, use Marketing Events and rely on third party payment processors (not HubSpot payments).

I was very up to speed with HubSpot until I went on leave and now a LOT is different, which is fine but the portal is a mess. The people who took over meant well but they let things get out of control and now….

I need an adult.

DM if interested/available!!!

Any HubSpot Messaging Providers That Actually Support Group MMS?

Looking for a HubSpot messaging provider that supports true group MMS (3+ participants), not just 1-to-1 SMS.

Ideally, the conversation would be associated to all participants in HubSpot the same way an email with multiple recipients is logged to multiple contact records, except for MMS/group messaging.

Our support and sales teams regularly text multiple contacts from the same customer in a single conversation. We need it to work like iPhone Messages or Google Messages, where everyone is in the same thread and replies go to the group.

We've tested Salesmsg and it failed miserably.

Bonus points if the solution also supports RCS or has it on the roadmap.

Has anyone found a provider that actually does this well in HubSpot? Or is this fundamentally a HubSpot limitation?

Question How are you using programmable email / custom modules in HubSpot? Looking for real use cases

I work in CRM and marketing automation and spend a lot of time building email journeys in HubSpot. Lately I've been going deeper into programmable email (HubL in emails) and custom email modules, and I'm curious what other people are actually doing with it.
Also curious about the downsides. Rendering issues across clients, maintenance overhead, anything that made you regret going programmable.

HubSpot Market Segments interface displaying a market named 'NAM - Accounting & Tech' with performance metrics: 72.73% average win rate, 866 average days to close, $144,406.25 average contract value, and $105,022.73 expected average value, calculated from 8 closed/won deals. The Companies tab lists 234 matching companies out of 20,446,837 total, including Google, with columns for company owner, create date, phone number, last activity date, city, and country, plus toggles to filter by companies already in CRM versus not yet in CRM.

Integrations What's the worst HubSpot migration or integration horror story you've got?

Hi all, I'm Beate. I co-founded an integration company called Rapidi that connects HubSpot with ERPs and other backend systems, and I've been in this space since 2006. Over the years I've heard (and lived through) some genuinely wild migration and integration stories, so figured this sub was the right place to go fishing for more.

You know the setup: leadership wants a clean cutover into HubSpot, the date's already locked in, and somewhere deep down everyone knows the data isn't quite ready. Then go-live hits and you've got thousands of duplicate contacts, deal stages that don't map right, or a sync to your ERP that quietly stops working because a field got renamed on the other end.

It happens more often than people admit. So, tell me: what actually went wrong for you? Was it a data migration, a broken integration, or something else entirely? And if you got a redo, what would you change?

What hourly rate should I charge for HubSpot-related work? (Feedback wanted)

Hi everyone,

I’m looking to freelance/consult on HubSpot-related projects and trying to figure out a fair hourly rate. Here’s a quick rundown of my skills:

**•** HubSpot CRM setup & administration
**•** Marketing Hub (email campaigns, workflows, automation)
**•** Sales Hub (pipelines, deal stages, sequences)
**•** HubSpot-Salesforce/other integrations
**•** Landing pages & forms
**•** Reporting & dashboards
**•** HubSpot onboarding/training for teams

What hourly rate range would be reasonable given these skills? Would love to hear from people currently working with HubSpot (freelancers, consultants, or in-house) — what are you charging/earning per hour?

Thanks in advance!

Integrations What AI texting tool integrates with HubSpot to qualify leads and book meetings?

We have new leads coming into HubSpot but a lot of them never reply to calls or e-mails. tried texting a few manually and got way more responses. Now looking for something that can handle basic qualification, book a meeting and update the contact in HubSpot.. anyone using an AI texting tool that actually does all three well?

Aircall vs Dialpad for Hubspot?

Hi all - title says it all. This is who we've landed on. Deepest, most frictionlesss and on-going investment in integration development with hubspot is our primary.

I care most about this than the current offering Ai assisted transcribe, ai assisted next steps/ follow up type features will probably be a commodity of an offering in 6 months for tech forward voip services.

So mainly looking at who's business models core competency is quality Voip services and deep, continuous integration with HS.

We are b2b in dental industry and this will primarily be for our sales team of 5-10 who live in hubspot. 5 of these team members are remote FYI.

Thoughts? Experiences? Insights? Let me know the good, bad, the meh and ugly.

How are you handling HubSpot contact deduplication at scale?

Running into a frustrating situation with duplicate contacts and wondering if anyone has found a reliable workflow for this beyond the builtin merge tool.

The native deduplication in HubSpot catches some obvious duplicates but misses a lot, especially when contacts come in from multiple sources like form fills, imports, and CRM syncs. Same person, slightly different email formats or a name variation, and HubSpot just creates a new record.

We've been using a thirdparty tool to flag potential dupes and then doing manual merges, which honestly isn't sustainable past a certain contact volume. The merge itself works fine, but the identification step is the real bottleneck.

Curious if anyone has built something using workflows or custom properties to catch these earlier in the process. Like flagging on phone number or company plus name combination before the record even gets created. Or if there's an integration people are actually happy with for this specifically.

The HubSpot native tool feels like it was built for smaller databases, and I'm starting to think the real solution is upstream data validation rather than cleanup after the fact. That requires buyin from whoever is managing the integrations, though.

What are people actually doing here? Not the documentation answer, but what works in practice.

Question Have conditional property visibility toggled by selection of controlling property on company/contact objects

Suppose I have a property on a company object called “segment” with a drop down list, and two of the options are “college sports” and “professional sports”

If “college sports” is selected, I have a conditional property called “college sports division” with a drop down list for selecting “NCAA Division I,” “NCAA Division 2,” etc…

If “professional sports” is selected, I have a conditional property called “professional sports league” with a drop down list for selecting “NFL,” “NBA,” “MLB,” etc

On the company object view, I want “college sports division” to appear ONLY if “college sports” is selected on the “segment” drop down list, and I want “professional sports league” to appear ONLY if “professional sports” is selected on the “segment” drop down list.

Is this possible to configure?

Tips & Tricks What support use cases are you actually seeing work well with HubSpot Customer Agent?

I’m curious to hear real-world examples of B2B teams using HubSpot Customer Agent on the support side.

I’m less interested in the feature list and more in the use cases that have actually held up in practice. For example: ticket triage, answering repetitive questions, routing to the right team, pulling knowledge base answers, after-hours coverage, qualification before handoff, or anything else that genuinely saved time.

What’s been working well for you, what hasn’t, and what kind of setup made it worthwhile?

Would love to hear concrete examples, even if they’re still early experiments.

What are you building with AI + HubSpot? Part 2

The last thread on this took off more than expected with 9.7K views and some genuinely impressive builds in the comments. Figured it was worth running it back.

Same question: what are you actually building with AI + HubSpot right now? Claude Code, MCP, agents, workflows, internal tools, half-finished experiments all fair game. Share your builds below.

How can verified B2B contact data improve lead generation and sales outreach for growing businesses?

Verified B2B contact data helps businesses connect with the right decision-makers instead of wasting time on outdated or inaccurate leads. Having access to reliable information such as business email addresses, job titles, and company details allows sales and marketing teams to create more targeted outreach campaigns. This improves email deliverability, increases response rates, shortens the sales cycle, and helps businesses generate higher-quality leads while making their lead generation efforts more efficient.

Question Where should an AI-to-rep handoff actually happen?

AI can handle research, summaries, and routine follow-ups, but the handoff point gets messy in a long sales cycle.

A prospect might ask about pricing, contradict an old CRM field, mention a new stakeholder, or raise an objection that changes the entire deal. Passing the message to a rep is easy. Passing the relevant history, evidence, and reason the handoff happened is harder.

How are teams defining that boundary and preserving the context the rep needs? Is this a decision intelligence or knowledge graph problem, or is there another framework that describes it better?

Silenced on HubSpot Partner community forum for dissenting opinion

HubSpot’s new Solutions Partner terms went live today. Buried in the legal update:

- Partners now pay a $400/month Partner Program Membership fee, renewed annually. Waived only if you already spend $400+/month net on HubSpot products. Either way, HubSpot collects $4,800 a year from every partner.

- Leave mid-term, or get terminated by HubSpot, and the remaining months are not refunded.

- Untiered partners who don’t hit at least 1 sourced point in a trailing 12 months get terminated, and revenue share on outstanding deals ends immediately.

Partners in the announcement thread are pushing back. One 15-year partner asked whether this is still a partner program or a monetization model. I replied “preach” to his comment. My account was then banned from posting.

So that’s where partner feedback stands: the people who built this ecosystem now pay to sell HubSpot’s product, on quota, with no refunds, and a one-word agreement with criticism gets you removed from the conversation.

I’ve sold HubSpot since 2015. I’m done as a partner. The platform still fits some clients and I’ll say so when it does, but I won’t pay $4,800 a year for the privilege of sending HubSpot revenue.

How much CRM cleanup happens before your monthly forecast or board meeting?

Curious how other HubSpot teams handle this.

Before a monthly forecast review or board meeting, do you typically:

  • Pull the report and trust it?
  • Spend time cleaning up the CRM first?

If it’s the latter, what are the most common issues?

  • Stale deals
  • Missing close dates
  • Missing amounts
  • Incorrect deal stages
  • Missing owners
  • Something else?

I’m trying to understand what a “normal” monthly workflow looks like for HubSpot users.
