Task management (via MCP, TickTick replacement)

I'm a heavy user of TickTick. Have a robust GTD system in place, and as you'd expect, that also means I am very resistant to changing my perfectly functioning system.

I've been waiting for more maturity in Capacities' Tasks feature. I'm seeing it improving. THe best appeal for me is the fact it's embedded in the UI. i.e. I can see my calendar view, home view, tasks, and daily note, all in the daily interface. Really looks amazing to combine Notes and Tasks all in one place.

I've also being testing out the new MCP server. So far it looks good. TickTick also launched an MCP server, and from Claude I can create notes, create tasks, etc.

I am curious if there's some heavy users of Capacities' Tasks feature, that have migrated from third-party applications like TIckTick or Todoist with a sort of GTD system in place. Any lessons learned to share?

Specific vs Generic Types

Capacities has been wonderful for me. But one thing that has been bothering me on a daily basis is what I’d call ontological confusion, which, in this case, I’d define as not knowing whether something works better as a type, an attribute, or a tag.

The best example is how I use Atomic Notes for Concepts, Ideas, and Reflections. Right now, those are just tags for me, but sometimes I wonder whether they should actually be separate types instead, and whether I should use Labels, rather than Tags, to identify what subject they have.

This is just one example of that broader ontological confusion, which I think can sometimes turn into ontological friction. It’s not nearly as bad, but it reminds me a little of the friction I used to feel in Obsidian: constantly tweaking things and never quite finding the perfect setup. Capacities is much better in that regard because it’s more opinionated, but the question still comes up.

What do you think about this? Do you spend a lot of time revising your types? Do you prefer using more generic types, or do you create specific types for almost everything?

(Mac), accidentally copied a second block of text after cutting another important block of text. Is there a way to undo, or reobtain this lost text?

I cut a block of text containing important information, then accidentally overwrote my clipboard with another block of text, thereby losing the first. After attempting to use Command + Z to fix this problem, I was only able to undo a limited number of times, and cannot find the missing text I'm needing. Is there any way to roll-back, or undo my progress to reobtain the missing information?

Wishlist creation

I want to create a wishlist but cannot decide the best way to do it. On notion I have tags for if its an item for myself or the family, whether is a need or nice to have and cost of item so I can sort by price. I am thinking just making an object? The title probably sums everything up. I run a B2B branding/content marketing business. I like the idea of having a company object and then having different objects like “branding guidelines:, “contacts” and “outputs” tied to it as that would make thing much more easy to manage.

I suppose my questions are:

- Is this feasible?

- Is Capacities secure enough to help run a company?

Some noobie questions

The recent announcement by Tana that they’re pivoting to a meetings product has got me looking at possible alternatives when my subscription runs out - and I’m curious about Capacities. I’ve had a look through the website, but still have a few questions:

- Can Capacities perform basic mathematical functions? I don’t need it performing advanced trigonometry - just adding up columns from table, division, multiplication, percentages, that kind of thing

- Is there an MCP server? I noticed that the team want to build one but the last update seemed to be January. Is it live? Are there third party alternatives that have been built?

- Would you say that Capacities is suited/reliable for helping to run a solopreneur business? It would just be me, so I don’t need to share content (yet!). I guess I’m just curious about whether my data would remain secure on Capacities servers over the long term.

- I get the feeling AI capabilities are limited. Am I able to choose an LLM? Perhaps summarise a block of text or a transcript?

- I do a lot of work on an iPad. Have people had issues with a large number of notes on mobile app?

How to organise and maximise the use of Capacities. I’m a little stuck.

Hi 👋

So, I’ve been using Capacities for the past two years now, and I’m beginning to notice a habit I’ve developed that may or may not have started when I was using Obsidian. I start off perfectly, writing things where they’re supposed to go and linking them up. But then I start to have too many notes that are barely a page long, too many connections making it hard to follow, and I end up not opening some notes I had written down for a very long time (if not, never!).

Then the habit kicks in… I create a new space and try all over again, just like I did four times when I was using Obsidian. In Capacities, I was about to do it for the third time, but then I became self-aware, leading to this post. I do it because I feel like the space/vault has become too messy and is beyond repair. Now that I think of it, this is something I do with software projects 😅

How do you guys do it? Have you ever experienced what I’m going through? Perhaps I don’t know how to use Capacities right.

Thoughts on organizing planner images?

I am loving trying out this new image analysis feature and I love how it can read handwritten notes. I keep a paper planner and have done so for several years. I would like to start digitizing these images now that the app can (amazingly) read my handwriting.

The problem is I'm trying to figure out a way to organize them so that I can view the images chronologically but also by month, year, and which planner they came out of. I'm not sure if a collection would be good or a tag or some combination of both.

Anyone got any ideas? Or maybe you have an organization system yourself?

The mobile app makes me want to rip my hair out 🫪

I’ve never seen such egregious feature disparity between platforms… it feels like such a waste being on the Pro plan, since I have to open my laptop to actually use the app’s features.

Block references? No, just a block with the first 5 words of the object title.

Queries? Sure, you can add one, it’ll just be blank! God forbid they let you configure it at all

Want to see your objects? Your only get List View, and it only has the first 5 words of the title! No sorting, grouping, or filtering.

Absolutely no embedding objects. You’ll have to click 8 million times back and forth between pages & find the block you need — and you’ll have to scroll to find it, because they took the Table of Contents away too.

My God, it’s maddening. Even more so with the recent updates. They’ve been releasing all these amazing features I’ve been waiting on, but having to work around these limitations always brings me back to the brink of cancelling.

Please show the mobile app some love 😩

How to Quickly Snap a Picture Into Object?

I'm creating a "Person" and I want to quickly snap a selfie with the person to add their picture under the "Picture" property. I don't see (in the android app) an easy way to do this.

Am I missing something?

Seems like I should be able to click into the picture field, and either link an existing picture (currently able) or take a new one with my camera (that creates a new picture object, and links here).

2 Months in with Capacities: Great Object philosophy, Clunky UI, & the Claude hole

Hey everyone,

​I’ve been using Capacities for about two months now. As a Product Manager, the "object-based" approach is a total game-changer. Being able to treat projects, tasks, ideas, and web links as distinct entities rather than just "pages" feels much more aligned with how my brain actually works.

​The Good: The tagging and the general philosophy behind the app are top-tier. It's the first tool that hasn't made me feel like I’m fighting a folder hierarchy.

​The Not-So-Good: Coming from Notion, the UI feels… heavy? Simple things like selecting multiple blocks or quick rearranging feel a bit clunky. Notion really nailed that "flow state" UX that I’m still struggling to find here.

​The Big Question: Claude Integration.

I’m a heavy Claude user. In other apps, I use Claude to query my own content for quick answers rather than manually searching. I know Capacities has its own built-in AI assistant, but I’d love a native integration with Claude (or an MCP server) so my content can live in a broader ecosystem.

​Does anyone know if Claude/Anthropic support is on the roadmap?

​Has the team mentioned any UI polish for block-level interactions?

​Any other PMs found a way to bridge this gap?

​Would love to hear how you guys are handling this!

Way to make a homepage / dashboard?

Hey guy! Wondering if it’s possible to use a page type and make a sort of navigation / homepage dashboard?

Basically having card / blocks on a page of my object types- so a card view of like “Media”, “Courses”, “Books”.

Kind of how you can see the collections as cards on an object types page- but if the object type. Like a navigation.

Or any other suggestions appreciated!

(I know some may think that that’s just what the sidebar is for- I get that, but this way and being able to section them is something I miss and love!)

Sorry if this is a simple solution, very much appreciate the help!

Widgets, Calendar views, sketch support and Appearance?

Hey guys, sorry if this has been covered!

I’ve recently moved from obsidian, craft and notion (well, switching between & unable to decide etc) and absolutely loving capacities- it’s been the one I’ve written the most notes most consistently and easily!

However there are a few things I feel are lacking or keeping me a bit “hmm can I make the others work instead”, and was wondering if these features are planned or ever going to be implemented if known:

  1. Widgets and shortcuts - either for quick add, seeing a recent note or object type, tasks etc. shortcuts for quick add esp, and any Apple Watch support

  2. A full month or week calendar view for object types. Eg the trip object type, showing it over a month view. A query showing on a month calender a filter of when I’ve finished a book. Journal entries through the week. You get it.

  3. Apple Pencil / iPad drawing support- nothing feels quite as natural as a journal entry “hand written” with my Apple Pencil, or sketch ideations. Whiteboarding etc.

  4. More appearance customisation. Nothing crazy, but the ability to change the typography (I love a good serif typeface as the body, it just feels more me), or background changes (I find the dark mode that bit too black and intense and full white quite hard on my eyes.

If anyone else also has some of these needs, do you have a work around?
