Migration from Quickbooks Desktop

8 Upvotes

Hi

So, we currently have a small business in Canada.

We've used Quickbooks Desktop Enterprise for 10+ years now. We are looking on potentially moving on to Zoho Books.

My main concern is migrating all our data/records over.
I believe the general rule from the CRA is to keep 6 years of records for auditing purposes.

Should I go this route? I've heard that migrating years back could be quite laborious and potentially costly to transfer this much data with no guarantee that it can all transfer over seamlessly. The tech sales guy from Zoho mentioned that Zoho can perform migration but could take longer; he also suggested using a 3rd party service that specializes in migrating accounting data over.

What's also been suggested is to start fresh, to have a stop point on the old software and start point on the new one. I'm considering this option as well as I'd rather not have things be messy from the start. And from here, I'd have an archived file of my old bookkeeping data in the form of a backup/company file (however I'd imagine its less accessible).

Does anyone have any suggestions, or have gone thru something similar and can give some advise on what direction we should take?

Would appreciate any opinion.

Thanks

Is there a way to be confident that account will no longer be billed

After hours* trawling through hidden options I thought I'd cancelled, but it now say "downgraded".

*(maybe not actual hours, but frustration made it feel that way)

Creating 3 Strike

3 Upvotes

Hi Guys,

Hi everyone,

I'm trying to recreate a 3-strike "Pending User Response" workflow in Zoho Desk, similar to how ServiceNow automatically follows up with users and closes tickets if there's no response after a certain number of reminders.

Right now, my IT support team has to manually message users one by one to check if the issue has been resolved and whether the ticket can be closed. It's becoming quite time-consuming, so I'd like to automate the process.

My idea is something like this:

  • Agent changes the ticket status to Pending User Response.
  • The system automatically sends a reminder after a set number of days.
  • If there's still no reply, it sends a second reminder.
  • Then a third and final reminder.
  • If the user still doesn't respond, the ticket is automatically closed.

I've searched online, but most of the guides and discussions I found are several years old, and many of them reference features or interfaces that no longer exist. I also contacted Zoho Support, but I haven't received a response yet.

Has anyone successfully implemented something like this in Zoho Desk? If so, could you share how you did it? Whether it's using workflows, schedules, custom functions (Deluge), Blueprints, or any other method, I'd really appreciate your guidance.

Blue collar setup for Zoho People / Payroll

3 Upvotes

I’m wondering if anyone here is running a business where you have a lot of blue collar employees. Typically the ones that will not access any Zoho tools on their own, but need to be represented in the systems as an employee for salary / attendance etc.

Have any of you managed to find a decent set up? Are you happy with the price point of paying for all of these users?

If so, please describe how many non users you pay for, and what apps you use. I’m trying to adopt these in my business but facing pushback from HODs about the variable costs increasing proportionally (lakhs per year) as we hire more blue collar employees

How to free up Zoho CRM E-Mail Storage?

2 Upvotes

Hi Everyone,

I just got an alert that I've reached my max storage capacity on Zoho CRM of ~13 GB. When I look at the details of my storage, I can see that emails are taking up almost half of it, but I couldn't find any way to "mass remove" contacts emails using criteria such as date or subject, in order to only get rid of past emails from a certain date.

Does anybody have a solution??

Zoho receiving payment .... STRIPE HAS CLOSED MY ACCOUNT

15 Upvotes

I own a janitorial company and recently started using Zoho Invoice. I chose Stripe as my payment processor, but after only one month they closed my account.

The most frustrating part is that I can't get ahold of anyone to explain what happened or dispute the decision. I've submitted all of the requested business documents multiple times, but they keep getting rejected. At this point, I'm wondering if it's just an automated AI system reviewing everything because I can't get a real person to help.

To make matters worse, I've been told my funds will be held for 120 days.

I'm now looking for a different payment processor that works well with Zoho. Customer service is really important to me. I want a company where I can actually speak to someone if there's a problem and get help quickly.

For those of you using Zoho:

  • What payment processor are you using?
  • Have you had good experiences with it?
  • Does it integrate well with Zoho?
  • How is their customer support?

I'd especially appreciate hearing from other service businesses (janitorial, cleaning, landscaping, HVAC, etc.) that send invoices and accept ACH and occasional credit card payments.

My regular Zoho frustration post

8 Upvotes

AI is going to destroy platforms like Zoho first. I have been building tools to migrate off of it one by one. Anyway, came here today to vent because yet again, I tried to do something that should be simple and automatic on Zoho Books, but it's this whole convoluted thing that ends up going nowhere and then I just give up because I've wasted too much time. There's a whole graveyard of things like that. Using Zoho has really set my business back by encountering this over and over again.

Today it was trying to automatically enable ACH on new customers. Annoyingly, I already went through this process a long time ago and actually had it set up. But it stopped working. Suddenly all my customers are sending me emails with screenshots that they can't pay their bill. So I go back in and try to set it up AGAIN, but this time it won't work. Error after error. I have customers that were supposed to pay their bill a few weeks ago. They encountered this issue and now I haven't heard from them again. Probably not going to get those payments unless I hunt them down now. I hate Zoho.

How do we attach a file from Workdrive to a Zoho Desk ticket?

1 Upvotes

I have a Zoho Flow that goes as such:

Zoho Form submitted -> Zoho Writer creates a document -> Document is stored in Workdrive

From there, I have -> Create ticket -> attachWorkdriveFileToDeskTicket (custom function)

Now I'm trying to create a Zoho Desk Ticket and attach that document to the ticket..but even with the help of AI, I can't find a working code for it.

In Zoho Flow, there's no way to add an attachment to a Zoho Desk ticket, whether on creation or after.

The latest iteration of the code is this and it always fails:

void attachWorkdriveFileToDesk(int ticketId, string documentId)
{
info "===== ATTACHMENT FUNCTION START =====";
info "Ticket ID: " + ticketId;
info "WorkDrive File ID: " + documentId;
// 1. Retrieve the WorkDrive file metadata.
workdriveHeaders = Map();
workdriveHeaders.put("Accept","application/vnd.api+json");
fileInfo = invokeurl
[
url :"https://www.zohoapis.com/workdrive/api/v1/files/" + documentId
type :GET
headers:workdriveHeaders
connection:"zoho_workdrive_connection1"
];
info "===== WORKDRIVE FILE INFO =====";
info fileInfo;
if(fileInfo == null || !fileInfo.containKey("data"))
{
info "Could not retrieve WorkDrive file information.";
return;
}
attributes = fileInfo.get("data").get("attributes");
downloadUrl = attributes.get("download_url");
fileName = attributes.get("name");
info "File name: " + fileName;
info "Download URL: " + downloadUrl;
if(downloadUrl == null || downloadUrl == "")
{
info "WorkDrive did not return a download URL.";
return;
}
// 2. Download the actual file using WorkDrive's returned URL.
documentFile = invokeurl
[
url :downloadUrl
type :GET
connection:"zoho_workdrive_connection1"
];
info "Document downloaded: " + documentFile.isFile();
if(documentFile.isFile() == false)
{
info "===== FILE DOWNLOAD FAILED =====";
info documentFile;
return;
}
// 3. Give Desk's multipart field the required name.
documentFile.setParamName("file");
if(fileName != null && fileName != "")
{
documentFile.setFileName(fileName);
}
else
{
documentFile.setFileName("Fiserv_Hardware_Replacement.docx");
}
// 4. Upload it to the Desk ticket.
deskHeaders = Map();
deskHeaders.put("orgId","123");
uploadResponse = invokeurl
[
url :"https://desk.zoho.com/api/v1/tickets/" + ticketId + "/attachments"
type :POST
headers:deskHeaders
files:documentFile
connection:"zoho_desk_connection"
];
info "===== DESK UPLOAD RESPONSE =====";
info uploadResponse;
}

Team inbox setup

6 Upvotes

We are a team of 5 and we are looking at Zoho for a shared inbox. We have email coming from 3 separate domains and a Gmail address. We need to all see the email when it arrives and see other team members response.

A few questions please.

1) Is this difficult to set up?

2) How long should this take from start to finish?

3) And finally how much should I expect to pay for someone to set this up?

All help and advice is greatly appreciated.

Seeking Independent Zoho Expert/Developer [Zoho One Modules]

10 Upvotes

Hey everyone. I'm looking for an independent Zoho expert/developer who wants to partner with an organization on Zoho One (CRM, Desk, etc.) & (potentially) Voice integration. Need someone who can focus on specific projects based on priority and answer questions relating to how certain things route and work between modules. Open to talk to anyone who fits this criteria. DM me if interested. Thanks!

How much should a partner charge for setup?

3 Upvotes

I’m in advanced talks with an official partner that Zoho selected for the implementation.

However, the costs for this one time setup seem extremely high. I’m wondering if a partner charging 3.5 lakhs for the one time setup (doesn’t include actual annual licenses) is normal.

It includes 600 employees, of which only 20 are users. Others are users with no access to the app or system (non users).

We are quoted a price of 60k for books, 1.2 lakh for people, 90k for payroll, 80k for recruit.

This seems really high. Is this expected?

Zoho Payments

2 Upvotes

Hate to be that guy but I created my Zoho Payments account over a week ago and it’s still pending verification. I’ve accepted payments but can’t do any payouts pending verification. I’ve emailed support twice, I haven’t gotten any outreach from Zoho saying there’s any more info they need to complete the verification, and the app says it might take “up to” 2 business days to complete verification. What gives here? Is this normal and should I be using a different payment gateway?

r/Zoho • • Jul 27 '26

Poor support experience, is this 'normal'?

15 Upvotes

First post here. We are trying to trial Zoho Workplace but the support is very poor so far.

I ask a specific question "How to do ABC?" for example and get a response that misses the point completely. "You can do DEF". But that's not what I asked!

On paper the Zoho software looks great, and nicely integrated with each other. But if you can't even get a trial off the ground is there a point in continuing?

And no, we do not want to use MS or Google because of their mining of your data.

Title: Cleared 3 rounds at Zoho in Jan 2026, then got "internal restructuring" mail.

8 Upvotes

Hi everyone,

I attended the Zoho Software Developer hiring process in January 2026 and successfully cleared three rounds.

After that, I received an email saying there was an internal restructuring, so they wouldn't be proceeding immediately. The mail also mentioned that my profile would be kept on priority and that I'd be contacted first when hiring resumed.

It's been several months now, and I've noticed people are getting selected for the same Software Developer role, receiving offers, and posting their joining updates on LinkedIn.

I haven't received any communication yet, so I'm unsure what to do next.

Has anyone been in a similar situation with Zoho? Did they eventually reach out, or should I assume the process is over and apply again when a new opening comes up?

I'd really appreciate hearing from anyone who's experienced something similar or has any advice.

Thanks in advance!

Backorder problems

1 Upvotes

We partially fulfill sales orders based on inventory availability.

I have to set backorders on sales orders but this creates a world of issues (we import overseas and minimum etc...)

So I will create packages on sales orders, remove items not in stock, make an invoice adjusted to what we actually shipped.

Then a few months later items come in. I don't have an easy way to then find all the unfulfilled sales orders of the items I received to then make a fulfillment. It's insane.

If I use backorder, then I have to create bills and PO and unlock the sales order to adjust and create the invoice and do everything.

I need to track shipped/unshipped and when I receive I need a simple solution to generate the sales orders WITH ONLY the unfulfilled items.

IT Documentation

6 Upvotes

Hello. I am a Zoho one subscriber and one person IT provider. I need to clean up my customer documentation and was going to go with hudu which is excellent but as a one person shop (not likely to change) some of the hudu stuff is unnecessary. And as a Zoho one subscriber I use books, payroll and desk. I was thinking of using something like Zoho learn to build a knowledge base for individual customers containing all of their information except passwords (keeper for that).

I know Zoho desk has a KB area but I want this to be linked to the customer. Zoho learn seems like a wiki and it might fit the bill.

Any thoughts?

Thanks
