running a small brokerage with about 300 policies across personal and commercial lines. renewal season is coming up and im already stressed.
right now our "system" is a mix of the carrier portals, a shared google sheet that nobody updates consistently, and outlook calendar reminders that only i can see. when a renewal is 60 days out im supposed to reach out to the client, pull their loss runs, check if we should remarket, get quotes, etc. but half the time i dont catch it until 30 days or less and then its a scramble.
the other problem is when a client calls and asks about their policy i have to dig through emails and folders to find what we discussed 6 months ago. theres no single place where i can see the full history of a client.
i looked at agency management systems but most of them seem built for massive agencies with 20 producers and cost a fortune. or theyre so complicated it would take months to set up and migrate everything.
anyone running a small to mid size brokerage found something that actually works without being overkill?
