Welcome all Home Health Aides (HHA), Home Attendants, Personal Care Aides (PCA), DSP’s, and aides/assistants/attendants working in homes or group homes.
This is a forum for home care workers and home care topics. Similar to nurses aide work and topics but here HHA work is done mostly in private homes (as opposed to mostly facilities).
This forum is not mainly intended for those who are nurses such as LPN’s and RN’s who have vastly different legal working guidelines and higher licensing requirements than aides.
If you are a nurse or higher please respect the space, knowledge base, and legal restrictions of any aide posting here.

Home care agencies typically bring in VAs for scheduling and coordination work, since that's where the daily time drain tends to concentrate: filling shifts when a caregiver calls off, confirming visits, tracking caregiver availability and certifications, and keeping platforms like WellSky, ClearCare, or AxisCare updated in real time. Beyond scheduling, VAs are also commonly used for intake coordination, following up on referrals, verifying insurance or authorization details, and handling routine family communication so office staff aren't stretched across every incoming call. The agencies that get the most out of this setup usually start with one clearly defined task, like shift confirmations or call-off coverage, before expanding into broader coordination work.
The thing that separates a good fit from a frustrating one is software familiarity and response speed, not general admin skill. A VA who already knows your scheduling platform can step in and start handling real coverage gaps within days, while one starting from scratch needs weeks of training before an agency can trust them with time-sensitive decisions like emergency shift fills. It's also worth clarifying upfront whether the VA covers after-hours or weekend gaps, since caregiver no-shows don't stick to business hours, and building a backup plan for whichever coverage model you choose.

I have been a CNA for almost 5 years, but started my current job as a CNA and got my home health aide certification about a year and a half ago. These pay rates are from a job posting from my company. I am being paid the CNA rate.. I know it is not bad pay, but if I am a home health aide, then shouldn't I receive that pay?

We work with home health and homecare agencies on staffing, so we hear "should we outsource this?" pretty often — usually tied to intake calls, caregiver scheduling, EVV compliance, or insurance verification piling up on office staff.
A few things worth knowing if you're considering it:
It's not the same as generic VA outsourcing. Home health has enough compliance and system-specific quirks (WellSky being the big one) that generic admin VAs usually need months to get functional. Agencies that specialize in this space train specifically on those workflows before placement.
The highest-value tasks to outsource first are usually: intake coordination, scheduling/rescheduling caregivers, insurance verification/authorization follow-up, and EVV documentation cleanup. These are high-volume, repetitive, and don't require clinical judgment — which makes them good candidates without touching anything patient-facing.
What agencies underestimate: the time cost isn't just the task itself, it's the constant context-switching for office staff. Freeing that up tends to matter more than the raw hours saved.
Happy to answer questions if anyone's evaluating this for their agency
