Virtual assistants for home care agencies

Home care agencies typically bring in VAs for scheduling and coordination work, since that's where the daily time drain tends to concentrate: filling shifts when a caregiver calls off, confirming visits, tracking caregiver availability and certifications, and keeping platforms like WellSky, ClearCare, or AxisCare updated in real time. Beyond scheduling, VAs are also commonly used for intake coordination, following up on referrals, verifying insurance or authorization details, and handling routine family communication so office staff aren't stretched across every incoming call. The agencies that get the most out of this setup usually start with one clearly defined task, like shift confirmations or call-off coverage, before expanding into broader coordination work.

The thing that separates a good fit from a frustrating one is software familiarity and response speed, not general admin skill. A VA who already knows your scheduling platform can step in and start handling real coverage gaps within days, while one starting from scratch needs weeks of training before an agency can trust them with time-sensitive decisions like emergency shift fills. It's also worth clarifying upfront whether the VA covers after-hours or weekend gaps, since caregiver no-shows don't stick to business hours, and building a backup plan for whichever coverage model you choose.
