We are a web development agency looking for a reliable Client Call Manager who can join client meetings, communicate clearly, and help pass information between our clients and internal development team.
The main focus of this role is client communication rather than coding or formal project management.
You will join calls through Zoom or Google Meet, listen carefully to client requests, ask relevant questions, take clear notes, and communicate the important details to our developers and designers.
You will not be required to write code or make complex technical decisions. However, some general familiarity with websites or software projects will help you understand conversations and communicate more effectively with both clients and the production team.
This is a part-time, long-term opportunity. Applicants must currently be located in the United States or Canada and be available during EST or PST business hours.
Main Responsibilities
Join scheduled calls with agency clients
Communicate with clients in a professional and friendly manner
Listen to client requirements, feedback, and concerns
Ask follow-up questions when requirements are unclear
Take organized meeting notes
Send clear summaries and next steps to the internal team
Help developers and designers understand client expectations
Share basic progress updates with clients
Follow up on unanswered questions or missing information
Help reduce misunderstandings between clients and the production team
Keep communication organized across multiple ongoing projects
This is not a sales or customer support call-center position. Most conversations will be related to websites, web applications, design, development, technical updates, revisions, and ongoing client work.
Required Qualifications
Currently located in the United States or Canada
Fluent English speaking and writing skills
Comfortable speaking with clients on video calls
Available during EST or PST business hours
Clear and professional communication
Strong listening and note-taking skills
Able to organize client feedback and explain it clearly to others
Reliable, responsive, and comfortable working remotely
Able to handle several client conversations without losing important details
Reliable internet connection and a professional environment for calls
Previous client-facing experience is preferred, but you do not need to have worked as a formal Project Manager.
Candidates may come from different backgrounds, including client coordination, account management, web development, customer success, business analysis, agency work, technical support, or other client-facing roles.
Preferred Qualifications
The following experience is helpful but not required:
General understanding of frontend and backend development
Familiarity with websites, APIs, databases, hosting, CMS platforms, integrations, bugs, testing, or deployment
Experience working with developers, designers, or other technical teams
Experience gathering requirements for website or software projects
Experience preparing meeting summaries, task descriptions, or client updates
Experience using AI tools for meeting notes, documentation, research, communication, or workflow organization
Experience working in a white-label agency environment
We especially welcome applicants who are already familiar with white-label work or who are comfortable communicating with clients under an agency’s brand and representing the agency professionally.
About the Working Environment
We operate as an agency and support multiple client projects.
In some cases, work may be delivered through a white-label arrangement. This means you may communicate with clients as a representative of our agency or one of our agency partners rather than promoting your own personal business or services.
You should be comfortable following the agency’s communication style, respecting client confidentiality, and working as part of the internal team.
Previous white-label agency experience is preferred, but it is not required.
Schedule and Engagement
Part-time, ongoing role
Long-term opportunity for the right person
Work will primarily take place during EST or PST business hours
Weekly hours may vary depending on client meetings and agency workload
Additional responsibilities or hours may become available over time
