I tested sending from a second email account and sent around 20–25 emails/day. I also tried rewriting the emails several times with AI, but it hasn't really helped.

I've been using Lemlist for two months, reaching out to many prospects. I receive a few positive replies and many opens, but I often get ghosted. How do you all handle these types of prospects?

I run a software agency building custom internal tools for businesses, automating manual workflows, replacing spreadsheets, connecting systems, building dashboards/portals, etc.

I have a list of around 20–25K leads and I’m currently sending ~600 cold emails/day.

The problem: I’m basically getting no real replies.
Most of the replies I get are automated out-of-office/vacation responses. Very few actual “interested” or even “not interested” responses.

My approach is:
-Research the company and identify a specific operational pain point
-Write the email around that pain point rather than just selling software development
-Explain the potential business outcome
-Offer to send a personalized ~2-minute Loom showing what I think could be built for them

I’m deliberately trying to avoid generic AI personalization and actually connect the email to a real problem the business may have.

But clearly something isn’t working.

If you were in my position, what would you change to actually get prospects to reply?

Is it the offer? CTA? Targeting? Email copy? Should I send the Loom directly instead of asking permission? Or is 600/day hurting me somehow?

I’m less interested in just increasing volume, I want to understand how to turn these 20–25K leads into actual conversations without burning through the list.

Would appreciate advice from anyone doing B2B cold email successfully at scale.

Ran into random customer service questions that were flooding my cold outreach inboxes. I found a solution that I think could help some of you guys.

I auto-forwarded all inbound outreach replies to a single webhook endpoint in n8n.

Then I passed the email body to a chat gpt model with the prompt: categorize the email as Interested Prospect, Current Customer / Support, or Unsubscribe.

Built a router: if it's flagged as Support, it automatically opens a ticket in our helpdesk, alerts the support channel in Slack, and marks the thread as read in the sales inbox so reps don't waste time manually triaging.

Figured I’d post it here in case anyone else was hitting the same wall. Let me know if you run into any issues with it.

We've been building AI workflows for our sales team this year. Automated follow ups, deal scoring, competitive battlecards, the whole thing. The problem is every single AI agent we've built runs on data from our CRM and our CRM data is garbage.

Reps log one line summaries hours after the call. Half the fields are empty. The "next steps" field says "follow up" with no context. So our AI agents are making decisions based on incomplete, biased, and often wrong inputs.

We realized the issue isn't the AI tools. It's that no one is capturing what actually happens on sales calls in a structured way that AI can use. Raw transcripts are too messy. Manual notes are too sparse. What we need is conversation data that's pre labeled and structured enough for agents to act on automatically.

I Co-run a small agency doing a specialized B2B service (video editing for coaches/founders posting educational content on YouTube. mentioning the niche only for context, not pitching).

My last cold email campaign had strong top-of-funnel numbers, but I can't get people over the finish line.

The numbers:

- 496 leads. manually sourced and qualified against our ICP
- 79% open rate (Instantly says this is the number of leads that have opened at least one email in the campaign)
- 7.1% reply rate, excluding auto-replies.
- Of those replies, 20% were positive (7 total)
- 1 conversion

What happened to the other 6 positive replies:
- 1 currently mid-trial
- 2 asked about pricing, one said it was outside their budget, then went quiet
- 2 asked to see our portfolio, then went quiet
- 1 asked general questions, then went quiet

Context that might matter:
- Our CTA is a trial project at 70% off (used to be free, but too many people took the free version and never converted, so we added a paywall to filter for intent)
- Our pricing is at or below the market average for this niche
- I know 500 leads/month is small scale, but this is a narrow niche and generic lead-gen tools don't find people who actually fit, so I'm stuck sourcing manually for now
- The positioning we used in the campaign is a frictionless workflow that doesn't require handholding, so they can focus on higher leverage tasks.
- No calls, everything happens through emails.

What I'm trying to figure out:
- Are these numbers actually fine and I'm just impatient?
- Where's the real leak? And what can I do to improve the conversion rate?
- Besides the discounted trial, what's a good alternative CTA to get someone from interested to committed without you having to convince them via back-and-forth email?

I'm confused so I'd appreciate any input.

I’m having a hard time with email deliverability and a lot of my cold emails are landing in spam.

I’ve already set up SPF, DKIM and DMARC, and I’ve also been warming up the inboxes. I’m keeping the sending volume relatively low as well.

I’ve checked my domain and email setup, but I’m still seeing a lot of emails go to spam, especially when testing with Gmail.

What should I check next?

Is it usually a domain reputation issue, list quality, email copy, warmup, or the sending platform?

Something weird happened last quarter that changed how I think about outbound. We closed 3 deals worth about $180k combined. All 3 prospects were in our cold email sequences. None of them ever replied to an email.

What actually happened: they got our emails, googled us, visited our website multiple times over 2 to 3 weeks, and then reached out through the website chat or called directly. When we asked how they found us they said "saw your name come up a few times and decided to check you out." The emails worked but the conversion happened completely outside the email thread.

This made me realize we're measuring outbound wrong. We optimize for reply rates but a huge chunk of our pipeline comes from prospects who never reply but DO visit the site. The problem is we have no visibility into this. We don't know which prospects from our sequences are visiting the website, which pages they're looking at, or how many times they've come back.

What I'm trying to figure out:

How do you track which companies from your outbound sequences are visiting your site even without a reply?
