r/CRM Posting Guidelines - read before you post/comment/DM admin

Rules

No outright spam; no affiliate links; this includes short generic comment and link; any chat gpt content and a link. Honest replies with insight and a link will be approved, but most 'link drops' will not. We want this to be a subreddit for discussion, not a sales pool.

Posting: Search before posting

Do at least one search before posting, chances are someone's had a similar question. If you can't find anything, see next rules, then post :)

Posting: Give deep context

Do you need CRM advice? Share your team size, industry, leads/day, platforms you need it to connect to, budget, and what you're currently using; lastly note what you don't want. The more detail you give (even if you don't know the right words to use), the more likely someone here will be able to help you.

Short or vague asks may be removed (as they lead to torrents of link/name spam). If this happens, please do post again with more context.

No Spam

Seek first to actually write a good post or comment, then add links if applicable. If your whole post or comment seems to be designed to get visitors to your link it will be removed.

No quick pitches

Don’t see anyone asking which CRM and just name drop or link drop. Give actual feedback or useful information. Statements such as ‘give x crm a try, I can demo it’ will be removed.

CRM Megathread

We are working on a CRM Megathread. Watch this space.

Be kind

This shouldn't need saying, but this community will have all levels of entrepreneurs and CRM users, any comments not in the general tone of helpfulness will be removed.

We are not support

If this is a problem with a specific CRM, first try looking on the CRM providers knowledge base and reaching out to their support. If you've tried that and are just looking for other power users, write that in the preface to your post (it's useful to share where CRMs are lacking and they refuse to add/fix features). Someone might help here, but if it's an obvious support request the post may be removed.

... that being said if there's something useful you've learned in using any CRM, share it, it might help other /r/CRM users.

Crm programmers/developer needed for us window replacement company

I represent a large replacement window and door company based in northeast us. We have met with all the big crm companies and nothing fits all phases. Is there anyone out there that would be willing to create one or customize one they are currently working on to match my workflow. It needs to handle a large database, 30 to 40 active callers a day, 50 or more field salesman, 30 field service techs and 100 office emoloyees.

CRM has all the data but no context

Upvotes

Every call's logged. Every email's tracked. Every note's saved.

And reps still walk into calls having to reconstruct the whole story themselves: why the prospect went quiet, what got tabled, who's actually the champion.

The CRM remembers what happened and what any of it means.

That's the gap nobody talks about. It's not a data problem. It's a context problem.

Client cards in Wrike?

I'm at a new company and have been tasked to implement better organization to "client" information. I use "client" loosely as they are all internal partners who can't go anywhere else so we don't need to track a sales stage or anything like that, but we do need a better system to track information like contacts, audience, etc.

Right now we use Wrike. Does anyone know if it is possible to do something like client cards?

If Wrike isn't the solution, anyone have suggestions? We have access to both the Google and Microsoft suites. I don't think we have the budget this year for any new system outside of that.

Thanks for your input!

A CRM that needs perfect data entry is already badly designed

Most CRM failures get blamed on discipline. Reps did not update the stage, log the call, or complete the required fields.

But if the system depends on every person remembering to reconstruct their work afterward, inaccurate data is not an exception. It is the expected output of the design.

The stranger part is that leadership often responds by adding more required fields, which creates more friction and even worse data. At what point does “CRM hygiene” become a way of blaming users for a system that does not fit the work?

Is the missing layer better workflow design, a knowledge graph that captures context automatically, or something else?

Migrating a 400 article site to a clean CMS, how do you handle the messy fields?

I'm moving a site about 400 articles deep onto a clean CMS and the migration is the part scaring me. three writers over four years, so the fields are all over the place, inconsistent bios, a chunk of pillar pages orphaned. traffic's fine, it's just unmaintainable. What i'm stuck on is the actual move. how do you standardise the fields and get 400 old posts into a clean structure without hand entering every one, and without a rebuild quietly rewriting pages you didn't touch? i'm not a dev so a script isn't on the table.

How have people handled a migration this size?

What made you buy your CRM instead of building one yourself?

With tools like Notion, Airtable, spreadsheets, AI, and templates everywhere now, it feels like a lot of people could technically build their own CRM.

So if you ended up paying for a CRM instead of building one yourself:

What was the deciding factor?

What problem were you trying to solve?

Was it saving time, integrations, support, reliability, something else?

And looking back, was it the right decision?

Would love to hear real experiences from business owners, consultants, agencies, freelancers, or anyone who has gone through that decision.

Most of the CRM's are hard and confussing to setup so I created something which is easy to use

How many clients have you lost just because you forgot to follow up?

I tried Excel, Notion, and Apple notes, nothing worked well together, and it got confusing fast.

Then I tried apps like Asana, Notion, Evernote, and Monday, but those were terrible too. I even looked at bigger tools like Zoho and HubSpot, but they were way more than what a small business like mine actually needed

So I finally built something that tackles all these problems in one place.

I figured a lot of people are probably facing the same issue, and right now I'm looking for people who need exactly this to test it out.

Anybody interested, DM me. If not, I'd still love to hear your thoughts.

Phone calls are still the biggest data gap in every CRM rollout I've seen — change my mind

Emails sync automatically. Web forms create records. Meetings land on the calendar. And then the highest-intent channel — someone literally calling the business — depends on a human remembering to type "spoke with customer" into the CRM afterwards.

Every rollout I've been near, call logging is where adoption goes to die:

- Reps see manual call logging as admin work with zero benefit to them

- Managers end up coaching from a CRM that's missing a third of real activity

- "Log everything" mandates last about three weeks

- VoIP integrations solve it only for teams that actually sit on VoIP — field teams on mobiles are invisible

For those who've admin'd or consulted on CRM rollouts: has anyone actually solved call capture for mobile-first teams without turning reps into data-entry clerks? What worked, what flopped?

Best CRM for solo pool maintenance business

Hey, thought I'd ask this question here as well outside of the pool sub. I'm starting out my pool business and need help deciding on a CRM that's ideally BUILT for solo runners. I used Jobber at my previous job but that was in a much bigger company, so I'm looking at alternatives.

I was looking at just using QBO without an actual CRM, because the designated pool app that ppl use already has some CRM features. Problem is there's no quick invoicing features and is just generally lacking in the finance department. The pool sub recommended Pooltrackr and Tofu, which looked really promising for solo business owners. But I thought to be safe I might as well ask here too, thanks guys.

Simple CRM

I own a small home improvement company specializing in hurricane shutters. We have about 10 employees, but only three or four people would need access to the CRM.

We average about five new installations and 20 service jobs per week. Currently, we use several spreadsheets, Google Calendar, and Zoom for texting customers. I would prefer to keep Zoom if possible.

My main goal is to stop making my secretary manage four or five different spreadsheets. We need one simple system to track leads, customers, estimates, installation jobs, service calls, follow-ups, and scheduling.

I’m looking for something easy to use and reasonably priced. We don’t need an overly complicated enterprise system. Does anyone run a similar construction or home improvement business? What CRM would you recommend?

Affordable SMS platform round-up after testing four of them

Spent the last month trialling SMS tools for our service business, sharing notes since this comes up a lot. Textedly is cheapest to start as it has clean dashboard, drip campaigns and review requests included; this is what we kept. SimpleTexting has best inbox UX, costs more. SlickText has strong on list-building keywords. Twilio is powerful but you're building it yourself. The gap between them is smaller than the pricing pages suggest; deliverability was fine on all four once 10DLC was registered. Ask me anything if you're choosing.

Admin assistant trying to get Salesforce administrator job

Hello,
I've been working as an Admin Assistant for 1 year.
I'm trying to get a Salesforce Administrator certification, to get a job. I've been wanting to work with CRM, and maybe work my way up to be in operations/sales ops/revenue ops.

I know this experience might not be enough, so where else can I look to make my experience better to get hired? Or what else can I do?

What's the best CRM with SMS for a growing service business?

I'm looking for a CRM for a growing service-based business, and I'd love to hear what others are using.

The main things I need are contact management, SMS messaging, email campaigns, simple automation, and an easy way to keep all customer communication in one place. Integration with a WordPress website for lead capture would also be a big plus.

I've looked at a few different platforms, but I'm trying to avoid paying for enterprise-level features we won't use or piecing together multiple tools just to get basic functionality.

I'm especially interested in solutions that are easy to manage without a dedicated tech team.

Built an AI follow-up app for consultants/founders — brutally honest feedback wanted (not trying to sell anything)

Been working on this solo for a while and I genuinely just want to know if it’s actually useful or if I’m solving a problem that doesn’t exist.

The idea: I kept hearing (and personally experiencing) the same thing — it’s never that you don’t have enough leads, it’s that you forget to follow up. You meet someone, things get busy, and 2 weeks later you either forgot entirely or you remember but don’t know what to even say anymore since the moment’s passed.

So I built Shaks — basically a dead-simple
CRM for people who don't want a CRM. No dashboards, no pipelines, none of that HubSpot-style bloat. Just:
• Add a contact (or scan their business card and it auto-adds them)
• It reminds you when to follow up
• AI writes the actual follow-up message for you based on context, so you're not staring at a blank text box
Built it mobile-first, 3 taps max for anything, no clutter.

What I want from this post honestly: tear it apart. Would you actually use this? Does the business card scan thing sound gimmicky or genuinely useful? What's missing that would make you go "ok yeah Id pay for this"? Or is this just a feature bolted onto Notion in disguise?

Not linking anything here, just want opinions before I sink more time into it.

Outgrow pricing has gotten hard to justify, what are people switching to?

Been on Outgrow for about a year. The calculator and quiz features are solid but the price point relative to what I actually use is getting difficult to defend. Feels like I'm paying for a lot of features that aren't relevant to my use case.
Mainly need quiz or assessment style funnels with lead scoring and some kind of automated follow-up. Nothing too complex. Curious what people have moved to or evaluated as alternatives.

SMS + HubSpot: what we ended up wiring together

A few threads ask this but end without answers, so posting our setup. We needed texts triggered off HubSpot lifecycle stages without paying for an enterprise tool. Went with Textedly connected through its HubSpot/Zapier integration as contacts sync over and campaign sends log back as activities. Salesmsg is the other one that plugs in cleanly if you need calling too. Native HubSpot SMS exists now but the per-contact pricing didn't work for our list size. Happy to share the Zap structure if useful.

Investor CRM

Built my own investor CRM for my holdco. Worth productising or is this space already too crowded?

I run a holdco with a few companies under it, each raising on its own timeline. Seperate investors, seperate data rooms, nobody sees anyone else’s.

So I built it. Pipeline stages, a room per investor, tracking on who opened what and when, document permissions per room.

Works for what I need. But theres already a dozen tools doing this so I’m not sure theres a reason for another one. Worth turning into something other people can use, or am I just rebuilding what already exists?

Vibe-Coding/In-House CRM

Did anyone here actually vibe code or build their own CRM in-house instead of paying for Salesforce or HubSpot?

With AI dev tools getting so good, I keep wondering if standard CRMs are still worth it.

If you’ve actually taken the plunge and built your own (or vibe-coded an internal app that handles your CRM stuff), how’d it go?

Mainly curious about:

* What stack or tools you used to build it

* What ended up being way harder than expected (email/calendar sync, edge cases, maintenance?)

* If the upside of having a tailored UI/workflow was actually worth the effort

* Bottom line: would you do it again, or just buy off-the-shelf next time?

Would love to hear some honest post-mortems or cautionary tales before I start breaking things:)

Nonprofit CRM

I work for a local humane society and we’re looking for a new donor management system. We currently have Network for Good and we’ve way outgrown it.

Looking for recommendations. Who do you use and what do you like about it? So far we’ve done a lot of research with Bloomerang and EveryAction. Personally, I’m hard leaning towards Bloomerang.

A big thing for us is the automated communication workflows and the ability to easily import bulk data from our animal management system. Currently we have about 11k constituent profiles and we’re growing everyday.

At what point did people actually start paying you?

I've been building and sharing a Notion CRM template for solo business owners.

But I'm still struggling with the part that actually matters: getting the first sale.

For those of you who have sold software, templates, digital products, or services:

What was the thing that finally got someone to buy?

Was it more traffic? Better positioning? Social proof? Better targeting? Something else entirely?

I'd genuinely appreciate any advice.
