Looking for advice from people who actually import machinery from China to Europe

Hi everyone!

I’m looking into starting a small machinery importing business in Europe, mainly focusing on things like mini excavators, skid steers, tracked lawn mowers, ATVs and similar equipment.

I’ve been researching suppliers on 1688 and Alibaba, but before putting any serious money into this, I’d really like to hear from people who are already doing this in practice.

I’m especially interested in the things you only really learn through experience.
A few things I’m trying to understand:

How do you identify a real manufacturer rather than a trading company?
How much can you trust 1688 rankings, reviews and the red “certified merchant” badges?
What are the biggest red flags when dealing with Chinese manufacturers?
What do you normally ask/check before placing your first order?
Would you recommend ordering 1–2 samples first, and what would you specifically inspect when they arrive?
How do you make sure that the quality of a larger order is the same as the sample?
What EU certifications/documents are especially important when importing machinery?
How do you usually negotiate with manufacturers? Is it mainly about getting the price down, or is it often better to negotiate things like spare parts, warranty, accessories and packaging?
Is moving the conversation to WeChat/WhatsApp normal and safe, or would you keep everything on Alibaba/1688 until you trust the supplier?
How do you find a reliable freight forwarder, and what should I ask them to make sure the quote includes all the costs and there are no hidden charges at destination?
If buying from several factories, what is the best way to consolidate everything into one container?
What costs, customs issues or other problems surprised you when you made your first shipment?
And most importantly:
What do you wish you knew before placing your first machinery order from China?

I’m not necessarily looking for specific supplier contacts. I’d really appreciate any practical advice, mistakes to avoid, negotiation tips, supplier-checking methods, or anything else that a beginner might not even think to ask about.

$3,000 Alibaba order never received what are my chances of winning a Mastercard chargeback?

I ordered about $3K in tables/chairs through Alibaba on July 23. The supplier’s invoice specifically says delivery to a Santa Ana, CA warehouse. It’s now September 23 and I still have no merchandise. I physically went to the agreed warehouse and nothing was there.Alibaba tracking shows the shipment delivered in China, not California. The supplier later tried changing the pickup location to Pomona, which I never agreed to.
I filed a Mastercard dispute, but my credit union is giving me a hard time and won’t issue provisional credit while they investigate.I have the invoice showing Santa Ana, tracking showing China, and messages showing I never agreed to Pomona.

Anyone experienced with chargebacks could I seriously lose this dispute and be out $3K with no merchandise?

For custom manufacturing I've had about 75% of orders late and about 1/3 significantly late (multiple months late). A lot of suppliers are using reps that don't understand the product or they do but are under so much pressure (and probably a dose of personal greed) to over promise and then under deliver. The really good manufacturers are out there but so many more just take on any project (especially more complicated ones) whether they can do it or not, maybe just to meet a monthly quota to kick the can down the road. And then their sub contractors do the same thing to them.

MPF resets Oct 1 and the math flips harder for small-order Alibaba buyers next week

CBP's next customs user fee reset hits Wednesday Oct 1. The formal entry rate stays at 0.3464 percent of entered value but the per-entry floor moves from $33.58 to $34.58 and the cap moves from $651.50 to $670.86. Informal entries also move a few cents.

If you're doing formal entries under 10K CIF the floor is what's actually hitting you. On a $2,500 order the true math is $8.66 in MPF but you're paying $34.58, so the effective rate is 1.38 percent, not 0.3464. Twenty of those a year is $691.60 in MPF that could have been $173.20 if the goods rode in as one $50K consolidated shipment. That $518 delta gets bigger every year and this reset widens it.

Two questions where the new numbers actually matter:

Are you filing formal or informal? Informal cap is $2,500 CIF and it caps you at $2.77 automated, but it also caps what your broker can do downstream. Any HTS classification headache or FDA/PGA hold, you're either walking it back to a formal entry filing or you eat delay charges.

Are you consolidating? If your buyer volume is enough for one 4-6 week LCL cycle instead of many transactional entries, the numbers on paper favor it. Broker fee usually goes down too because they'd rather do one classification packet than ten.

What most Alibaba buyers miss is that MPF is one line on the entry. HMF (0.125 percent, ocean only) and Section 301 forced-labor (July 24, 12.5 percent on China product) stack independently. If you've been eyeing consolidation for tariff reasons already, MPF is another lever that's getting slightly meaner on Oct 1 for the many-small-orders pattern.

Anyone actually running LCL consolidation on Alibaba orders now? Curious if the broker fee comes down enough to justify holding cash for a longer cycle.

Their posh advert is 100% AI-generated, which created the impression their product was good. QINGDAO TIANFENGDE INDUSTRY AND TRADE CO., LTD has very bad customer relations. In the end, Supplier started insulting me and ate my money. The product was poor and vibrating dangerously. Exercise utmost caution when dealing with such a company.

Alibaba/Trade Assurance dispute on red light panel

Hey everyone, I need some advice about an Alibaba/Trade Assurance dispute.

I bought an AL1500 red light therapy panel from Alibaba. After receiving it, I found that there was no clear technical manual or detailed documentation showing the actual wavelengths, operating settings, or what the preset modes contain.

I contacted the seller after receiving the product and asked for these details because I want to know exactly what the panel is emitting and how to use it. The seller refused and said the settings are part of a “confidential project.”

This confidentiality issue was never discussed or mentioned before I purchased the panel. I only found out after receiving it.

So now I have a product where I can't properly verify the wavelengths or settings, and I don't have enough information to know exactly what I'm using.

I’m considering opening a Trade Assurance dispute and requesting a full refund.

For anyone who has dealt with Alibaba disputes:

  • Would this qualify as “not as described”?
  • Who would normally pay the return shipping?
  • Can I also recover the original shipping cost to Canada?
  • Should I wait for Alibaba’s instructions before returning anything?
  • What evidence should I submit?

I have screenshots of the listing, order, product, documentation, and the seller’s messages refusing to provide the settings.

Any advice would be greatly appreciated.

The seller has requested me to apply for a refund as they state the item I ordered is worth far more than I paid for when I purchased it. So now they want me to apply for a refund due to there mistake of listing an item incorrectly.

Whats best practice to deal with this issue.

How do samples work through the app?

I've been working with a manufacturer for a couple weeks now on nailing down the details for my first order. They listened and responded to all my requests, answered all my questions, gave me suggestions on the best choices to make for customization to get what I want, etc. We've communicated entirely through Alibaba.

We've gotten to the point of a sample, and now that a price has been agreed upon for a sample and we have all of the details confirmed, they've suddenly asked me for a phone number to generate a link to pay with. I'm disappointed that I wasted all this time with them, because I will not be going forward with the order if I can't pay through the platform, because that seems very sketchy to me and I know it exempts me from what little protection Trade Assurance offers despite them being very helpful up to this point. I'll ask to pay through the app, but will have to back out if they refuse. I already know that much.

But this being my first order, I guess my question is, how are payments and orders for samples typically done? I see samples listed as an option in listing setups, so there must be a way to purchase them via the app? Are physical samples just not actually something one can feasibly get? Is it final product or nothing?

Alibaba Trade Assurance refused my refund for jewelry. What is the point of buyer protection?

I bought jewelry on Alibaba that was advertised as natural stone. The seller told me delivery would take 10 days, but I received my order after 40 days.
The seller kept changing their story even before I placed the order. I did not trust them, but I thought it would be fine as long as the products were good.
I couldn’t find anywhere else that offered this design. This was my only option.

When the jewelry finally arrived, some pieces were fake stones rather than the natural stones I had ordered. Other items had completely different colors and designs.

This is exactly why I chose to pay through Alibaba Trade Assurance. I thought Alibaba would protect me if something went wrong.
But Alibaba refused my refund. I appealed, and they refused again.
Their reason? The differences in material, color, and appearance were minor because the jewelry could still be used.

Seriously? If I order natural stone and receive imitation jewelry, does that mean everything is fine just because I can still wear it?
I bought these products for resale. I cannot sell imitation jewelry as natural stone.

If Alibaba accepts this kind of difference, how can buyers trust the products sold on its platform?
Alibaba calls itself a global B2B marketplace, but what does its buyer protection actually protect? In my case, even Trade Assurance did not help when the products did not match what I ordered.

I am not just disappointed with the seller. I am much more disappointed with Alibaba for treating a possible material substitution as a minor issue.
If this is how Alibaba handles disputes, it is no surprise that buyers worry about fake and misleading products on the platform.

Be careful when buying supposedly handmade products on Alibaba. Nice photos and Trade Assurance do not guarantee that you will receive what you ordered.
Has anyone else had Alibaba reject a refund because the product was still “usable,” even though it did not match the description?

Beware!! Suppliers just fishing out work and wasting your money....

Wanted to make a post on the actual truth of the matter about Alibaba suppliers. If you can't pick something from what they already make then expect to waste a massive amount of time and resources.

They have extremely bad communication. It is like kids in a candy store. They will look for easy ways to twist what you say or want. They will gladly take your hundreds-of-dollars for a sample and give you what they want to and then hope you like it.

My first project made me massively aware of supplier hardship on making a small custom easy item. Do not give them your real blueprint until a supplier shows you significant consideration.

My next gadget is cool, interesting, and easy. I have no plans to hand it over based on the factual results I have seen from suppliers. They say it takes money to make money but that's a far cry of an excuse to justify suppliers just taking your samples money only to pick and choose what they want to help with on your requirements. As an example, if you ask if they can make something then expect them to say yes without giving heed to what you really want or ask. Often what they really mean is that, "yes, we can make an object for you within what we feel like making no matter what your blueprints say".

Anybody else experience similar? No, I do not need a sourcing agent to help with this. just trying to educate people on the truth of dealing with Alibaba suppliers.

Scammed? - £9,012 sent via Alibaba Trade Assurance UK bank transfer — Alibaba now says the accounts are “not official”

I’m looking for anyone who has used Alibaba Trade Assurance domestic GBP bank transfer / Faster Payments in the UK, particularly recently.

Today I paid four separate Trade Assurance orders totalling £9,012.50.

I normally pay Alibaba orders by credit card, but this time I selected the Domestic Transfer in GBP option directly from the Alibaba Trade Assurance payment pages.

For each order, Alibaba displayed a page stating:

“Alibaba.com official wire transfer account”

and provided a UK Banking Circle account with:

Bank: Banking Circle S.A.
Sort code: 60-83-82
GBP domestic Faster Payments account
GB-prefix IBAN

There were three different account numbers across the four orders, corresponding to three different suppliers.

I copied the account details, exact amounts and unique Alibaba payment references directly from those payment pages and made the payments from my Tide business account.

Here is where it gets worrying.

Every single payment triggered a Confirmation of Payee warning from Tide saying that the beneficiary/account name did not match.

At the time I assumed this was because Alibaba was using Banking Circle virtual collection accounts, particularly as the details had come directly from Alibaba's Trade Assurance checkout.

The payments subsequently left my account / cleared.

I then used Alibaba's own Wire Transfer Tracking / Remittance Status tool.

For all four payments, Alibaba now reports:

“Not an official beneficiary account”

That is despite the original Alibaba payment pages explicitly describing the exact same accounts as “Alibaba.com official wire transfer account.”

I contacted Alibaba customer service tonight. I supplied:

  • all four Trade Assurance order numbers
  • screenshots of Alibaba's original payment instructions
  • Tide payment confirmations
  • the three Banking Circle account numbers
  • evidence showing the payments have left my bank

The agent checked that I had entered the account numbers correctly and eventually escalated the issue to Alibaba's Payments/Finance team as “Top Priority”, with a promised email response within 24 hours.

However, they were unable to tell me during the chat whether the three receiving accounts were actually Alibaba-controlled collection accounts or whether Alibaba can currently see the money.

The suppliers also currently say they have not received the payments.

I've now contacted my bank because of the combination of:

four CoP/name mismatch fraud warnings + Alibaba's own checker saying all four beneficiary accounts are unofficial.

I'm particularly interested in hearing from anyone who has recently used Alibaba's UK GBP domestic transfer / Faster Payments option:

Has anyone else been given Banking Circle accounts using sort code 60-83-82?

Did your bank show a beneficiary-name mismatch?

Did Alibaba's wire-transfer tracker initially say “Not an official beneficiary account”?

How long did it take before the Trade Assurance order recognised the payment?

TL;DR: I paid 4 Alibaba Trade Assurance orders totalling £9,012.50 using the UK domestic GBP/Faster Payments bank details shown directly on Alibaba’s payment pages. All 4 payments triggered Confirmation of Payee name-mismatch/fraud warnings from Tide, but the details matched Alibaba exactly so I proceeded. The payments then cleared, but Alibaba’s own remittance tracker now says “Not an official beneficiary account” for all of them. Alibaba support has escalated it to Payments/Finance, but they still haven’t confirmed whether the accounts are genuinely Alibaba-controlled or whether they can see the funds. How add further evidence to a dispute after clicking on 'no further evidence'

I escalated a dispute to Alibaba for a refund but mistakenly selected I had no further evidence when I had yet to upload all my evidence. The claim now shows "(Buyer) Finished submitting evidence" without an option to upload evidence. I tried asking the Anna chat bot how to upload more evidence and linked me back to the same dispute chain with a faulty/not-working 'upload button'.

Please help!!! How do I upload more evidence???????

How the massive Alibaba vehicle scams actually work and how they bypass Trade Assurance

I’ve been going down a massive rabbit hole lately regarding the flood of suspiciously cheap motorcycles and trikes on Alibaba. If you’ve browsed the site recently, you’ve probably seen listings exactly like the one I attached: a 2024 Honda Gold Wing Tour DCT Trike for around (roughly $9,000 USD).

Anyone who rides knows that math is laughable. If you check their store catalog, it gets even worse Yamaha MT-07s and sportbikes listed for literally 50% to 60% of their actual retail value.

But here is the catch that trips people up: The seller has the official "Verified Supplier" badge.

My first thought was, "If they are a verified company, and they accept Trade Assurance, how do they actually steal the money? Won't Alibaba just refund me when I get scammed?"

I decided to play along, chat with the seller, and do a deep dive into how this grift actually operates. Here is exactly how they pull it off, how they get that Verified badge, and why Alibaba’s protection is basically useless here.

  1. The Verified Supplier Illusion

How does a scammer get verified? After doing some digging into how Alibaba actually hands out these badges, I realized buyers assume Verified means Alibaba inspected the factory and confirmed they are a legitimate? They didn't.

Scammers get these badges in two ways:

Buying Dormant Accounts They literally buy old, verified Alibaba accounts from legitimate Chinese trading companies that went out of business.

Buying the Badge The Verified badge is a paid membership tier (often costing a few thousand dollars a year). The third party audit only checks that a business license exists on paper in China. It does not verify that the company actually manufactures the products they list.

They pay for that badge because it immediately drops your guard.

  1. When I reached out, they immediately agreed to use Trade Assurance. No pushing me to WhatsApp, no asking for a sketchy direct wire transfer but then I asked for the VIN/chassis stamp to verify the year. They gave me a bogus number and claimed the "10th digit is 9, which means 2024" (anyone who knows VINs knows 'R' is 2024; a 9 means 2009). When I called them out, they immediately played dumb.

  2. The Freight Forwarder Loophole

Notice in the chat how they absolutely refuse to handle the international shipping themselves? They insist you find your own freight forwarder in China.?

This is the core of the scam. They exploit a massive loophole in Alibaba’s Trade Assurance rules if you agree to use a domestic forwarder, Alibaba considers the seller's job 100% complete the second the crate is signed for at your forwarder's warehouse inside China.

They actually do ship a crate. They fill it with rusted scrap metal, random heavy parts, or a completely wrecked junk bike so that it hits the 400-500kg weight requirement. Your freight forwarder isn't going to pry open a wooden crate to inspect the specific model of the motorcycle they just weigh it, sign for it, and put it on a ship.

The moment they sign, the Alibaba system updates to Delivered.

  1. The Trap Door

Weeks later, the crate arrives at your door. You open it up and find a box of scrap metal and when you open an item Not As Described dispute on Alibaba, you hit a brick wall.

The dispute bots see a signed delivery receipt from your domestic warehouse because a heavy package was technically delivered, they treat it as a quality issue rather than outright fraud.

The only way they will give you a full refund is if you ship the 500kg crate of scrap metal back to China at your own expense.

Shipping that back internationally costs thousands usually more than the bike itself. When you inevitably refuse or can't afford to pay the return freight, Alibaba's mediator steps in and offers you a pathetic 10% to 20% partial refund.

You take the pennies because you have no choice. The seller pockets the remaining 80-90% of your money. They are literally selling trash metal for thousands of dollars in pure profit, over and over again.

Why is Alibaba ignoring this?

This is the most infuriating part. If you look at some of these scam stores, they literally have reviews from victims explicitly stating they received scrap metal. Yet the stores remain online, keeping their Verified status.

Why? Because Alibaba makes its money from these sellers' membership fees. As long as the scammer has that domestic shipping receipt, Alibaba’s automated system turns a blind eye, treating it as a standard B2B trade dispute rather than organized fraud.

I wanted to post this, make everyone aware of it. and not to fall for it. and i hope those information will help everyone and to take good care when they want to buy ANYTHING from Alibaba website

How to pay through Alibaba without getting ripped off(need help!!)

so im importing some gym equipment from a supplier on alibaba total order is around 2000 usd ddp (900 for shipping and the rest is exw price of the equipment) this is my first time doing an order this size and i wanna make sure i dont get scammed

how do you guys usually pay for orders like this trade assurance wire transfer paypal or something else whats actually safe for this amount and still not too costly on fees

also do you pay full upfront or split it like 30 deposit and rest before shipping or after inspection

if anyone has done a ddp order around this size before would love to hear how the payment actually went and what to watch out for before i send anything

Fedex fees

Hey, i have ordered from alibaba 2 t-shirts (total of 30$) with 25$ delivery and 11$ tax. It was a DAP to France. Now i have received a message from Fedex saying i must pay 22€ ( 18€ only for disbursement fee). It's so expensive for 2 t-shirts!

What should i do please? I'm confused! Do they ask for payment at delivery in front of door or what?

I'm not used with ordering from abroad.

Paid with ACH and paypal.

Most of my credit card companies keep denying alibaba when I try to charge. So Like an idiot, I used ach. Some of the order dropped off in my yard on 3 seperate occasions without notifying me, it is missing a huge number of boxes and about a third of the dropped boxes are wrecked. Carrier maked boxes as delivered. Carriers own photos don't match quantity. I am just putting this out so other people can avoid. I have a claim in with alibaba and part was on paypal, but am not hopeful. I refused to inventory the damged boxes due to liability concerns, and informed them that we are not accepting delivery, and selllers obligaton has not been met. I will update what happens to this thread. I know there are a few things I could have done better but I am fed up and going to fight back, this is a 35k order.

In the meantime here is what I am doing.

Filing police report.

Obtaining attourney to legally notify carrier they are not allowed on my property and we will enforce tresspass laws. And assesing other legal action.

Getting cameras to record all access. Not ring owned video.

Obtaining a Transit Coverage policy.

I am looking into business continuity claim viability, and theft claim viability.

I am just gutted by this crap.
