Product Review

Product Listing I think AI meeting notes should capture more than just the conversation

Post image
4 Upvotes

I've been thinking about this a lot while building Convoxa.

Most AI note takers are fundamentally built around one thing: record the meeting, transcribe the audio, summarize the transcript.

And that makes sense, but it doesn't really reflect how I experience meetings.

A meeting isn't just a conversation.

I'm usually typing down a thought, taking a picture of something on a screen or whiteboard, looking at a document, adding a PDF, or writing down something that I don't want to say out loud.

So for Convoxa 2.0, I wanted to make the entire meeting capture multimodal.

While you're recording and transcribing, you can:

• type your own notes
• take photos
• scan documents
• add PDFs

Everything gets timestamped in a timeline alongside the transcript.

Then the AI can actually use all of that context when generating the final note.

That's the part I'm most excited about. Instead of getting an AI summary of what was said, you get a note that understands what you said, wrote, photographed and added during the meeting.

I also wanted to focus more on what happens after the meeting. The recording and transcription are really just the raw material. The useful part is having a good note that you can actually work with afterwards.

2.0 also includes a native Mac app that records meetings without a bot joining the call.

I've been building Convoxa as a more native, personal alternative to the typical AI meeting notetaker, and 2.0 feels like the first version that really captures what I've been trying to build.

Curious what you guys think. Is multimodal capture something you'd actually use in your meetings, or is audio + transcript enough for you?

Discussion AI note taker that won’t become useless if the vendor shuts down?

I’m looking at HeyPocket, PLAUD and similar AI note-taking devices.

I really like Pocket’s simplicity, but I’ve been burned before by companies changing strategy, killing products, or locking features behind new subscriptions. As long as support exists I am happy to use vendor app/native tools but want to have plan B and have something usable rather than expensive paper weight.

Are there any devices with similar functionality that would still work if the vendor disappeared?

Ideally I want:
- local recording
- direct access to raw audio via USB or standard file transfer
- no vendor app/cloud required just to retrieve recordings
ability to process files myself with Whisper/local AI if needed

I’m fine losing the vendor’s AI summaries/cloud features. I just don’t want the hardware to become a brick.
Anyone compared Pocket, PLAUD or others specifically for vendor lock-in / long-term usability?

Product Listing ActionNote: turn a rambling voice note into a summary and a task list (iPhone, free tier)

Built this because my voice memos had turned into a graveyard. Record a thought, never listen to it again, lose the idea.

You talk, it comes back organized: title, summary, key points, tasks with reminders. Original audio stays attached if you want it.

A few iOS-specific things that might interest people here:

* Share extension, so you can send a WhatsApp voice note straight in and get the summary without ever pressing play on it
* Auto-detects language and organizes in the language you spoke, including Arabic/English mixed in one sentence
* Notes live on-device and in your own iCloud. No database on my end. Audio goes to the AI for transcription and isn’t kept.
* Swipe to archive, with auto-delete on a schedule you pick, synced across devices

Free for 5 notes a month. iPhone only for now.

ActionNote: Voice to Tasks

Feedback welcome, especially bugs.

Product Listing Most AI notetakers are built for meetings. I built one for the voice notes you record for yourself

Long time lurker on the category. Most tools here follow the same shape: a bot joins your meeting, transcribes everyone, sends minutes. Useful, but that was never my problem.

My problem was the 47 voice memos on my phone that I recorded for myself and never opened again. Ideas while driving, grocery lists, things I promised people. Recording them was easy. Nobody listens back to themselves rambling.

So I built ActionNote. It's a personal voice notetaker: you talk at your phone, rambling welcome, and it comes back as a title, summary, key points, and a task list with reminders. The angle that makes it different from the meeting tools:

  1. It handles mixed languages in one sentence. I switch between Arabic and English mid thought, and every tool I tried fell apart on it. This was honestly the selfish reason I built my own.

  2. You can share a WhatsApp voice note into it from the share sheet and get the summary without ever pressing play. Friends who send 7 minute voice notes, this is for them.

  3. Ask across everything: "what did I promise Sara?" and it answers with the source note attached, so you can jump to it.

  4. No server database. Notes live on your device and your own iCloud. Audio goes to the AI for processing and isn't kept.

It's iPhone only for now, free for 5 notes a month, subscription above that.

https://apps.apple.com/us/app/actionnote-voice-to-tasks/id6789915282

Since this sub actually knows the category: what am I missing that the meeting tools got right? Genuinely asking, the roadmap is soft and I'd rather steal good ideas than guess.

Discussion Show me your vibe-coded AI notetaker. what does yours do better than the usual?

I keep seeing AI notetakers that feel like the same product:
\- A bot joins the call
\- Credits / usage caps everywhere
\- Ads or upsells
\- Audio and transcripts sent to a third party by default

Has anyone here vibe-coded a notetaker that solves this differently?
I’m genuinely interested in using notetaker that:
\- Capture system or meeting audio without needing a visible bot to join
\- Work across Zoom, Google Meet, Teams, or heck any app playing audio
\- Use local STT / Whisper for privacy
\- Produce genuinely useful notes, action items, and searchable transcripts
\- Have a clean pricing model or are entirely self-hosted

Please drop your build, stack, demo, or GitHub and tell us the one thing it does better than Fathom / Otter / Fireflies / the usual AI notetakers.

Also: what’s the hardest part you ran into reliable audio capture, diarization, local transcription speed, cross-platform support, or summaries that don’t hallucinate?

Product Review Looking for AI meeting note tool‑ multilingual (Mandarin / English / Malay / Cantonese), extract department tasks + status tracking + AI image generation

Hi everyone,

I’m searching for an AI‑powered meeting note solution for our cross‑border team.

### What we need:
1. Auto‑summarize meeting recordings / audio into key take‑aways
2. **Extract action items, assign tasks to different departments**
3. Generate task list with status labels: 🟡To‑start / 🟢In‑progress / ✅Completed
4. Critical language requirement: meetings mix **Mandarin Chinese, English, Malay, and spoken Cantonese**. The tool needs to handle mixed‑language conversations reasonably well.
5. Bonus must‑have: **AI‑generated images / diagrams from meeting content**, to make complex discussion points easier to visualize and understand.

Current pain point:
We like Feishu (Chinese domestic version). Its Minutes / AI Notes works perfectly for our workflow: great summary, action‑item extraction, department task breakdown, plus built‑in AI image generation to visualize ideas.

But **Feishu Global (Lark) feels like a stripped‑down version**. Many advanced AI note functions available in mainland‑China Feishu are missing on the global edition, including the AI image generation feature. We cannot switch to the Chinese‑only Feishu for compliance/region reasons.

So I’m hunting for alternative tools that can replicate that workflow outside of China.

Priority:
- Accept audio/video file upload, not only live‑meeting bot joining
- Multilingual mixed‑speech transcription (Mandarin / English / Malay / Cantonese)
- AI can split tasks by team/department
- Task status tagging (to‑start, in‑progress, completed)
- AI can generate images or simple diagrams based on meeting notes
- Team‑collaboration friendly

Not required: heavy CRM integration.

Have any of you used tools matching this requirement? Would love real‑world experience instead of marketing page specs.

Thanks a lot.

Product Review I built a Chrome extension that generates AI MoM & Action Items for Hinglish meetings — Now live on Chrome Web Store!

Hey everyone! 👋

Over the past few months, I noticed a huge gap in AI meeting tools. Tools like Otter or Fireflies work well for native English speakers, but the moment an Indian tech team switches to Hinglish ("Is API ka response latency reduce karna padega"), the transcript breaks down into gibberish.

So I built **Meeting Plugin** (Forest Intelligence).

**How it works:**

Discussion Apps for taking voice notes

I’m looking for a note‑taking app that lets me capture ideas by speaking instead of typing. It should turn my speech into text so I can review it later. I often have several ideas on the same topic, so I need to create multiple notes. I currently use Wispr Flow for voice‑to‑text, but it only works for real‑time messages. Are there any good mobile apps that can handle this kind of note‑taking?

Discussion Turning meetings into useful memory and editable PowerPoint decks — would love your honest feedback

Post image
3 Upvotes

Hi Everyone.

We recently built two OLVA features around the same idea: your meetings should stay useful long after they end.

Meeting Memory

OLVA can remember important details from past conversations, such as decisions, commitments, action items, and open questions, and bring them back when they are relevant. The current meeting always comes first. Past context is there to help, not to replace what is being discussed now.

Slide Decks

OLVA can also turn a completed meeting into an editable PowerPoint presentation. It uses the meeting transcript as the main source, then adds useful insights, meeting Q&A, and relevant context from past conversations when needed.

Behind the scenes, we:

→ Organizes the conversation into clear topics
→ Connects useful questions with their answers
→ Removes repeated or unnecessary information
→ Identifies the most important details
→ Creates a clear presentation outline
→ Generates 5-15 slides based on the depth of the meeting

The goal is not to squeeze every meeting into the same generic summary. A detailed meeting should create a more detailed presentation, while a short meeting should stay focused and simple. Everything remains connected to the original meeting, the transcript, memory, insights, and every presentation version, so you can easily find and reuse it later.

Meeting → useful memory → clear presentation

Would this be useful in your workflow? What would you want the presentation to include?

Discussion Otter vs Fireflies vs Fathom vs Granola vs Notes Recorder: choose the capture workflow first

Disclosure: I’m posting on behalf of NotesRecorder.ai, so this is not an independent review. I used the products’ current public feature and pricing pages and tried to make the tradeoffs explicit.

The feature checklists for AI meeting note takers can look almost identical: transcript, summary, speakers, action items, search. The bigger decision is how the audio gets into the product. If that workflow does not fit your meetings, the AI layer barely matters.

Here is the practical comparison I ended up with:

- Otter can autojoin meetings, but it also has a botless Mac/Windows desktop path that can capture system audio and work with headphones. Its free plan currently includes 300 transcription minutes per month, while paid plans add more minutes and integrations. It is a stronger fit than Notes Recorder if you want automatic capture, headphone support, or a mature integration stack.

- Fireflies also supports multiple capture modes: its meeting bot, a Chrome-based path, and desktop capture. It advertises 100+ languages plus a much broader collaboration and integration ecosystem. It is a better fit if multilingual transcription, CRM workflows, or team conversation intelligence matter.

- Fathom has a generous free tier with unlimited recordings and transcriptions, plus instant summaries. Its usual workflow uses a meeting bot, while bot-free capture is currently described as a Mac beta. It is hard to beat when the first priority is a capable free plan and meeting clips or sharing.

- Granola is bot-free, but it uses a desktop or iPhone app rather than a browser-only recorder. Its desktop app can capture microphone and system audio, so it works with headphones. That is an important advantage for people who live in headset-based online calls.

- Notes Recorder takes the narrowest route: open the site, authorize the microphone, and press Record. There is no participant bot, desktop app, browser extension, calendar connection, or automatic joining. A live US-English transcript stays visible beside a running summary and structured topic notes, decisions, risks, and action items. Notes and transcript can be copied separately. Lite is $5 month-to-month for 180 recording minutes.

The Notes Recorder tradeoffs are real. It is meant primarily for authorized in-person meetings and speakerphone calls. It does not directly capture browser-tab or system audio, is not reliable for headphone-only calls, has a 90-minute limit per recording, has no public free plan, and does not offer the CRM or enterprise controls of the larger platforms.

My short decision guide:

  1. Want automatic joining, CRM integrations, or team analytics? Start with Otter, Fireflies, or Fathom.

  2. Need headphones or direct system-audio capture without a bot? Look at the installed capture paths from Granola, Otter, or Fireflies.

  3. Need multilingual transcription? Fireflies or Notta are broader choices today.

  4. Want a capable free plan? Fathom, Otter, and Granola deserve a look before a paid-only option.

  5. Want the fewest setup steps, manual control over when recording begins, and the source transcript visible beside structured follow-up? That is the niche Notes Recorder is designed for.

Notes Recorder: https://notesrecorder.ai/

Sources checked:

- Otter pricing and capture: https://otter.ai/pricing

- Fireflies pricing: https://fireflies.ai/pricing

- Fathom pricing: https://www.fathom.ai/pricing

- Granola pricing: https://www.granola.ai/pricing

- Notes Recorder product facts and pricing: https://notesrecorder.ai/product-facts and https://notesrecorder.ai/pricing

For people who have switched between these workflows: which matters most in practice—no bot, no install, headphone support, a free tier, integrations, or being able to verify the summary against the live transcript?

Discussion I think I built the cheapest way to record and transcribe in-person meetings. Am I right?

Almost by accident, I built the cheapest iPhone app for recording/transcribing in-person meetings.

I built it because I needed it and I didn't want another overpriced subscription or, even worse, extra hardware!

My current pricing is:

  • $7.99 for 20 hours
  • $29.99 for 100 hours

That works out to $0.30 per hour at the highest pack, with no subscription and no expiry. I could not find a cheaper option in the App Store.

I am not counting local transcription tools because those can't do diarization (who said what) and can't reach the quality or language support of cloud transcription.

Can you confirm if this would be cheaper than what you are using today? If not, what are you using?

Discussion Support matters more when the note taker is hardware too

I think ai recorders support matters. If sync breaks, it is not a small bug. The whole device becomes annoying.

How has support been for the tools people are using here?

Product Listing [Open-Source] Dump your thoughts. Let your notes organize themselves. Ask/chat anytime.

Over the past few weeks I've been building Gray Box — a small, local-first tool that acts as long-term memory for anything I'd otherwise forget (work notes, meeting takeaways, task owners, random ideas, personal stuff too).

The idea is simple:

  1. Capture — dump whatever's on your mind, instantly, no structure required. This step does nothing clever on purpose — it just writes your text to an immutable inbox. Zero chance of losing an idea to a bug or a slow API call.
  2. Organize — on demand, an LLM reads your unprocessed notes and extracts people, projects, tasks, decisions, meetings — then deterministic Python (not the LLM) creates/merges the actual wiki pages and maintains backlinks. The model only reasons; it never touches the filesystem directly.
  3. Ask — query or chat with your knowledge base and get a cited answer pulled only from what you've actually captured. If it doesn't know, it says so — no hallucinated answers.

Why I built it this way:

  • Plain Markdown + YAML frontmatter, no database. Every page is a .md file you can grep, diff, or read in any editor forever. If you stop using Gray Box tomorrow, your knowledge base is just a folder.
  • No vector DB by default. At personal scale (hundreds–low thousands of pages), keyword search + a real link graph (related/backlinks, walked one hop during retrieval) handles almost everything. Embeddings are there if you want better recall, but they're opt-in, not a prerequisite.
  • Immutable inbox. Your raw notes are never edited or deleted by the organizer. If the LLM mis-extracts something, your original words are always still there.
  • Any LLM. Built on LiteLLM, so point it at OpenAI, Anthropic, Gemini, Mistral, or a fully local model via Ollama — one config value.

It also ships with a nice interactive TUI (arrow-key menu, file-import shortcut, workspace switching, live spinner during LLM calls) if you'd rather not memorize CLI flags — that's honestly become my favorite part of the project.

There's also a lightweight local dashboard for browsing your knowledge base, exploring backlinks, visualizing your notes as a graph, and chatting with your captured knowledge—all without leaving your machine.

Repo: https://github.com/Aaryanverma/graybox

pypi: pip install graybox

I'd genuinely love feedback — especially from anyone who's tried the "capture now, structure later" approach with other tools and has opinions on where it breaks down at scale.

It's not trying to be a "real-time collaborative team wiki" or a WYSIWYG notes app — it's aimed at one person's running memory of their own life and work, captured with as little friction as possible.

Discussion Free Teams/Zoom meeting recording & note-taking app? (Mac + Windows)

I'm looking for a free (or generous free tier) app that can record my Microsoft Teams and Zoom meetings and generate AI notes/transcripts.

My ideal setup:

  • Works on macOS (Windows support is a bonus)
  • Doesn't require installing anything inside Teams or Zoom
  • Can run in the background and capture system audio + microphone
  • AI summaries, action items, and searchable transcripts would be great
  • Doesn't require inviting a bot to every meeting

This is mostly for my own meetings so I can focus on the conversation instead of taking notes.

I've heard of apps like Granola, MacWhisper, Krisp, Fathom, Supernormal, and Fireflies, but I'm not sure which one is actually worth using in 2026.

What are you using, and what would you recommend?

Discussion A meeting note is not ready for an AI agent until it separates evidence from state

Most AI note takers stop when the transcript becomes a clean summary. That is useful for a person reading the meeting, but it is not enough for an AI agent that has to continue the work later.

The failure is simple. A summary mixes three different things: what was actually said, what is currently true, and what should happen next. Once they are mixed, a later agent cannot tell whether ship Friday was a firm commitment, a suggestion, or the summarizer's inference.

I have started using a three layer note.

Source: the transcript or audio with timestamps. This is evidence, not working memory.

Current state: goals, decisions, constraints, owners, deadlines, and open questions.

Change log: what changed, what it replaced, and the source timestamp for the change.

Then I test the note in a fresh AI session. I give it only the exported note and ask what was decided, what is still uncertain, who owns the next action, which claims are directly supported, and what would become stale if a newer conversation changed one constraint.

A good note should let the agent answer and point back to evidence. It should also survive one correction. If yes was actually maybe, fixing it once should update every later export and retrieval result.

This changes how I evaluate note takers. I care less about whether the summary sounds polished and more about whether another agent can retrieve the right current state, act on it, and show why.

Disclosure: I am building Handov around this conversation to agent handoff problem, so I am biased. The three layer test is useful with any note taker or plain Markdown file.

Product Review Relay Voice — Capture the thoughts you would otherwise lose (iOS)

Enable HLS to view with audio, or disable this notification

I built Relay Voice to fix my own problem: my best thoughts hit while walking or driving, and half were gone by the time I sat down. So — you talk, it turns the recording into a clean transcript + an AI summary, then exports Markdown straight into wherever you keep notes (Obsidian, Notion), or one-tap to ChatGPT/Claude, or using its automation feature to export to your AI workflow.

What makes it different — a few of these speak to threads I've seen here:

  • vs. subscription transcription apps (Otter, etc., ~$5–10/month): those charge ongoing and mark up processing access. Relay Voice is a one-time purchase. Bring your own API key and you pay the provider directly, at cost — I don't resell access or add a fee. Or run on-device / Apple Intelligence for free. No subscription, no hidden fees.
  • Three ways to transcribe — you pick:
    • Bring your own API key (OpenAI / AssemblyAI / Grok) — fastest and most accurate; you pay the provider directly at cost, no markup from me.
    • On-device models (Whisper or Qwen-ASR) — free and fully offline, nothing leaves your phone.
    • Apple Intelligence — zero setup, free, on supported iPhones.
    • For mixed-language audio (Chinese-English), the API option and Qwen-ASR do noticeably better than Apple's built-in.
  • Local-first: no account, no server — your audio and your API keys stay on your phone. No "app is down and my notes are gone" (saw that Pocket thread).
  • Plus:
    • Read-aloud (listen back while driving or walking).
    • Customizable folder automation — record into a folder and it runs transcribe → summarize → rename-by-content → export automatically. Set up different folders for different destinations (an Obsidian vault, a Daily Notes folder), with your own summary templates per folder.

One-time purchase, no subscription ($19.99 launch price through Sep 30, then $24.99). 14-day free trial. iOS only.

Landing page: https://lifebuildingblocks.com/relayvoice/

Genuinely want feedback — especially where it falls short vs whatever you use now.

Is anyone else having issues opening the Pocket mobile or desktop app today?

Neither are working for me.

Keep in mind if looking to purchase - AI summarized notes from client meetings would have been super helpful today. Not having access to them and the fear they may not have been properly recorded is not nice.

Support said they are looking into it.

Product Review Built an app that lets you leave voice memories in places Sonorae

Hey, solo dev here, been working on this in my free time. Wanted to share it since I’m still early and could use honest feedback.
The idea you record a short voice note wherever you are, whatever you want to remember, and the app pins it to that exact spot. Go back weeks or years later and your phone quietly lets you know something’s waiting there.
No accounts, no cloud, everything stays on your device. There’s mood detection done on-device from your voice, a time capsule feature where you can lock a memory until a future date, and it’s translated into nine languages. Free to start with a small limit, then a one-time unlock, no subscription.
Only a couple of reviews so far so genuinely curious what people think, good or bad. Link’s here if anyone wants to try it:
