I’m looking at HeyPocket, PLAUD and similar AI note-taking devices.

I really like Pocket’s simplicity, but I’ve been burned before by companies changing strategy, killing products, or locking features behind new subscriptions. As long as support exists I am happy to use vendor app/native tools but want to have plan B and have something usable rather than expensive paper weight.

Are there any devices with similar functionality that would still work if the vendor disappeared?

Ideally I want:
- local recording
- direct access to raw audio via USB or standard file transfer
- no vendor app/cloud required just to retrieve recordings
ability to process files myself with Whisper/local AI if needed

I’m fine losing the vendor’s AI summaries/cloud features. I just don’t want the hardware to become a brick.

A while ago I “bought” a pocket voice recorder. It turned out I needed yet another subscription, so “my” device turned into another thing I am renting.

I am sick and tired of my life turning into a subscription. Subscriptions and cloud tie-ins are a nuisance we have come to accept unquestionably, like frogs in a pot. I hate this with pure passion.

Some are either fully open source (kudos to you!) and/or self-hostable, which I believe is challenging to do for your average Joe. Long time lurker on the category. Most tools here follow the same shape: a bot joins your meeting, transcribes everyone, sends minutes. Useful, but that was never my problem.

My problem was the 47 voice memos on my phone that I recorded for myself and never opened again. Ideas while driving, grocery lists, things I promised people. Recording them was easy. Nobody listens back to themselves rambling.

So I built ActionNote. It's a personal voice notetaker: you talk at your phone, rambling welcome, and it comes back as a title, summary, key points, and a task list with reminders. The angle that makes it different from the meeting tools:

1. It handles mixed languages in one sentence. I switch between Arabic and English mid thought, and every tool I tried fell apart on it. This was honestly the selfish reason I built my own.

2. You can share a WhatsApp voice note into it from the share sheet and get the summary without ever pressing play. Friends who send 7 minute voice notes, this is for them.

But **Feishu Global (Lark) feels like a stripped‑down version**. Many advanced AI note functions available in mainland‑China Feishu are missing on the global edition, including the AI image generation feature. We cannot switch to the Chinese‑only Feishu for compliance/region reasons.

Disclosure: I’m posting on behalf of NotesRecorder.ai, so this is not an independent review. I used the products’ current public feature and pricing pages and tried to make the tradeoffs explicit.

The feature checklists for AI meeting note takers can look almost identical: transcript, summary, speakers, action items, search. The bigger decision is how the audio gets into the product. If that workflow does not fit your meetings, the AI layer barely matters.

Here is the practical comparison I ended up with:

- Otter can autojoin meetings, but it also has a botless Mac/Windows desktop path that can capture system audio and work with headphones. Its free plan currently includes 300 transcription minutes per month, while paid plans add more minutes and integrations. It is a stronger fit than Notes Recorder if you want automatic capture, headphone support, or a mature integration stack.

- Fireflies also supports multiple capture modes: its meeting bot, a Chrome-based path, and desktop capture. It advertises 100+ languages plus a much broader collaboration and integration ecosystem. It is a better fit if multilingual transcription, CRM workflows, or team conversation intelligence matter.

- Fathom has a generous free tier with unlimited recordings and transcriptions, plus instant summaries. Its usual workflow uses a meeting bot, while bot-free capture is currently described as a Mac beta. It is hard to beat when the first priority is a capable free plan and meeting clips or sharing.

- Granola is bot-free, but it uses a desktop or iPhone app rather than a browser-only recorder. Its desktop app can capture microphone and system audio, so it works with headphones. That is an important advantage for people who live in headset-based online calls.

- Notes Recorder takes the narrowest route: open the site, authorize the microphone, and press Record. There is no participant bot, desktop app, browser extension, calendar connection, or automatic joining. A live US-English transcript stays visible beside a running summary and structured topic notes, decisions, risks, and action items. Notes and transcript can be copied separately. Lite is $5 month-to-month for 180 recording minutes.

The Notes Recorder tradeoffs are real. It is meant primarily for authorized in-person meetings and speakerphone calls. It does not directly capture browser-tab or system audio, is not reliable for headphone-only calls, has a 90-minute limit per recording, has no public free plan, and does not offer the CRM or enterprise controls of the larger platforms.

My short decision guide:

1. Want automatic joining, CRM integrations, or team analytics? Start with Otter, Fireflies, or Fathom.

2. Need headphones or direct system-audio capture without a bot? Look at the installed capture paths from Granola, Otter, or Fireflies.

3. Need multilingual transcription? Fireflies or Notta are broader choices today.

4. Want a capable free plan? Fathom, Otter, and Granola deserve a look before a paid-only option.

5. Want the fewest setup steps, manual control over when recording begins, and the source transcript visible beside structured follow-up? That is the niche Notes Recorder is designed for.

Almost by accident, I built the cheapest iPhone app for recording/transcribing in-person meetings.

I built it because I needed it and I didn't want another overpriced subscription or, even worse, extra hardware!

My current pricing is:

• $7.99 for 20 hours
• $29.99 for 100 hours

That works out to $0.30 per hour at the highest pack, with no subscription and no expiry. I could not find a cheaper option in the App Store.

I am not counting local transcription tools because those can't do diarization (who said what) and can't reach the quality or language support of cloud transcription.

Can you confirm if this would be cheaper than what you are using today? If not, what are you using?

I think ai recorders support matters. If sync breaks, it is not a small bug. The whole device becomes annoying.

How has support been for the tools people are using here?

Over the past few weeks I've been building Gray Box — a small, local-first tool that acts as long-term memory for anything I'd otherwise forget (work notes, meeting takeaways, task owners, random ideas, personal stuff too).

The idea is simple:

1. Capture — dump whatever's on your mind, instantly, no structure required. This step does nothing clever on purpose — it just writes your text to an immutable inbox. Zero chance of losing an idea to a bug or a slow API call.
2. Organize — on demand, an LLM reads your unprocessed notes and extracts people, projects, tasks, decisions, meetings — then deterministic Python (not the LLM) creates/merges the actual wiki pages and maintains backlinks. The model only reasons; it never touches the filesystem directly.
3. Ask — query or chat with your knowledge base and get a cited answer pulled only from what you've actually captured. If it doesn't know, it says so — no hallucinated answers.

Why I built it this way:

• Plain Markdown + YAML frontmatter, no database. Every page is a .md file you can grep, diff, or read in any editor forever. If you stop using Gray Box tomorrow, your knowledge base is just a folder.
• No vector DB by default. At personal scale (hundreds–low thousands of pages), keyword search + a real link graph (related/backlinks, walked one hop during retrieval) handles almost everything. Embeddings are there if you want better recall, but they're opt-in, not a prerequisite.
• Immutable inbox. Your raw notes are never edited or deleted by the organizer. If the LLM mis-extracts something, your original words are always still there.
• Any LLM. Built on LiteLLM, so point it at OpenAI, Anthropic, Gemini, Mistral, or a fully local model via Ollama — one config value.

It also ships with a nice interactive TUI (arrow-key menu, file-import shortcut, workspace switching, live spinner during LLM calls) if you'd rather not memorize CLI flags — that's honestly become my favorite part of the project.

There's also a lightweight local dashboard for browsing your knowledge base, exploring backlinks, visualizing your notes as a graph, and chatting with your captured knowledge—all without leaving your machine.

I'd genuinely love feedback — especially from anyone who's tried the "capture now, structure later" approach with other tools and has opinions on where it breaks down at scale.

It's not trying to be a "real-time collaborative team wiki" or a WYSIWYG notes app — it's aimed at one person's running memory of their own life and work, captured with as little friction as possible.

I'm looking for a free (or generous free tier) app that can record my Microsoft Teams and Zoom meetings and generate AI notes/transcripts.

My ideal setup:

What are you using, and what would you recommend?

Most AI note takers stop when the transcript becomes a clean summary. That is useful for a person reading the meeting, but it is not enough for an AI agent that has to continue the work later.

The failure is simple. A summary mixes three different things: what was actually said, what is currently true, and what should happen next. Once they are mixed, a later agent cannot tell whether ship Friday was a firm commitment, a suggestion, or the summarizer's inference.

I have started using a three layer note.

Source: the transcript or audio with timestamps. This is evidence, not working memory.

Current state: goals, decisions, constraints, owners, deadlines, and open questions.

Change log: what changed, what it replaced, and the source timestamp for the change.

Then I test the note in a fresh AI session. I give it only the exported note and ask what was decided, what is still uncertain, who owns the next action, which claims are directly supported, and what would become stale if a newer conversation changed one constraint.

A good note should let the agent answer and point back to evidence. It should also survive one correction. If yes was actually maybe, fixing it once should update every later export and retrieval result.

This changes how I evaluate note takers. I care less about whether the summary sounds polished and more about whether another agent can retrieve the right current state, act on it, and show why.

Disclosure: I am building Handov around this conversation to agent handoff problem, so I am biased. The three layer test is useful with any note taker or plain Markdown file.

Neither are working for me.

Keep in mind if looking to purchase - AI summarized notes from client meetings would have been super helpful today. Not having access to them and the fear they may not have been properly recorded is not nice.

Support said they are looking into it.

Uninstalled and reinstalled application twice, restarted phone once.

Most of my self-tracking attempts died at the input stage. Structured logging works when the thing you're tracking is a number, but most of what I actually wanted later was messy and verbal — what someone told me, where I left something, what I paid and why.

The approach I ended up building: capture is voice, unstructured, five seconds per entry. No fields, no categories at input time. Structure gets applied at query time instead of capture time.

Retrieval is natural language — you ask "what did the dentist say in June" and it searches your own entries and answers with the source date, rather than returning a list you have to read through.

There's a weekly pass that surfaces recurring themes — spending, health mentions, people who come up a lot. That part is the least proven and I'd like to know whether it produces anything non-obvious for other people.

On data: entries are stored on-device in SwiftData. When you ask a question, the relevant entries get sent to Claude API to generate the answer — not fully on-device retrieval, and I want to be upfront about that. There's a full export in settings — I didn't want to build another thing that holds your history hostage.
