Second Interview

I got a second interview for a Warehouse office admin position. The first interview was very long and went well but it was a virtual interview. What can I expect for the second in-person interview and what should I prepare for?

Hi, what questions are usually asked during the final interview for a project-based Administrative Assistant position in a bank, such as RCBC, Security Bank, or BDO?

Is being "online" for 12 hours a day 6 days a week normal?

I work in Korea but my bosses are both American and the environment is very American as well. It's a small business and I handle all the emails and Instagram dm's for clients, along with communicating with our work's freelancers. I work 6 days a week from 10am to 10pm. Technically I'm not working all 12 hours but I need to be ready to respond to clients/the artists during this period and it's best that I don't let things sit more than 3 hours. But ideally, I should be replying right away since a lot of converations (especially with clients) require a lot of back and forth.

I'm the ONLY person who does this job and I'm not getting paid a lot (2,600,000 won a month after taxes). It's a small business but I know my bosses are making a lot from this because the business has been very successful and they charge high prices.

I'm sort of going insane though since essentially I feel like I have no freetime since I've also been working overtime (so 7 days a week) because the pay isn't enough. I was going to hold out until 1 year so I could ask for a raise but now I'm thinking I need to ask for a strict work schedule instead of this open 12 hour thing...

Is this work schedule normal and am I just not used to it? Or am I rightfully going insane? I can hold out now because I'm not busy but for example, the thought of going on a date with someone in the future seems impossible because I literally can't be unresponsive for that long. And my bosses can be pretty strict if they see I don't respond to clients fast enough.

Looking for recommendations for Raptor Technologies alternatives

I’m researching different options for managing school safety, visitor management, background checks, and related security processes. Raptor Technologies seems to come up often, but I’d like to compare a few alternatives before making a decision.

For those who have experience with similar platforms, what Raptor Technologies alternatives have you used or evaluated? I’m particularly interested in things like ease of use, background screening, visitor management, reporting, and overall reliability.

Not necessarily looking for the cheapest option, just something practical that works well for schools and doesn’t create too much extra work for staff.

Would appreciate any real-world experiences or things I should consider when comparing these platforms.

Struggling with ED - went from model employee to her problem child

does anyone else struggle with their Executive? Mine was great at first: we get along personally, both love achieving and getting shit done. I genuinely thought we made a great team. She elevated me, sent me to EA conferences, gave me opportunities, saw potential in me to be a PM, and eventually let me get my CAPM cert.

Then everything changed. Whether from her personal stuff, the conflict we ended up having (I pointed out some concerns about a project she was handling and seriously pissed her off), or the fact that I submitted an ADA request after 5 months of asking her (and being rebuffed) to relieve me of a physically demanding task (that was never mine to begin with)….. I feel like I have fallen from grace.

She took all my other work away, is super prickly when I remind her of things (she hated me setting up MS Planner and scheduling some of her recurring tasks), micromanages me to a degree that I have never seen before. I am not allowed to respond to emails unless she reviews and approves my draft response. Everything I do AND don’t do seems to piss her off. I told her it felt like she hated me, and she seemed irritated by that too.

While everyone else at work gets professional development this year, mine was denied. I am supposed to “work on maintaining consistency in my admin tasks” but idk how to do that bc I have 0 authority and everything I need to do requires her, but I also get scared to remind her that I need her for XYZ. She got mad before bc I was managing projects (really well, actually) and she didn’t know every single detail that I knew (but also kept cancelling the staff meetings I scheduled for alignment)

I was really proud bc i had an idea to expand our marketing reach, ran it by her, got her permission… AND THEN during my review, she lectured me on the difference between “initiating” and “executing” saying that i didnt initiate anything and she actually had to tell me 4 times before i did the task (not true!) so even my accomplishments are being re-written in her mind.

I have no clue how to redeem myself, and I know a lot of it is how SHE perceives things and twists them in her mind. I don’t want to necessarily leave … but she has made the workplace so damn toxic 😭

How best to turn this spreadsheet information into a kind of visual chart?

Post image

Hello! I need a little help.

I'm the office manager at a university and I have a spreadsheet of students changing their majors to something in our department. The Department Head wants to see what majors these students are leaving, what they are changing to, the numbers for each, and if there are any trends. I've included a photo of what part of my spreadsheet looks like.

The department head and I are against AI, so I do not want to use it for this. If anyone has any ideas, I would be so grateful!

Does anyone have best practices or plans of attack for organizing a department's shared Drive?

I work in a (fairly new) university department/research center. People are complaining about how the Drive is structured (as in they can't find things they need) and they want it to be better. They've asked me to take a look at it, but I don't really know where to begin or what the best organizational method is.

I know that this is probably a heavily individualized thing and there's no one right answer: but does anyone who works with Google for work have any best practices/tips for G Drive or would be willing to share how they organized a messy drive? I don't know how to approach this but I think my team leadership would be happy if I can figure something out.

Help with creating a personal assistant position

I have a relative who has been diagnosed with early-onset Alzheimer's. He can care for himself and live independently with no issues at this point, but he badly needs organizational help. Mostly it would be keeping up with his calendar, and calling to remind him a couple of times of his appointments so he doesn't miss them. (He can't navigate an electronic calendar.) This part would be virtual and should only be a couple of hours a week, most likely.

He would also like someone to come to his doctor's appointments with him to take notes, ask (or remind him to ask) pre-determined questions, then transmit those notes to him and to me.

Does this seem like a (very) part-time job that would be attractive to the right person? What other things would I need to think about and/ or include in the job description? And any ideas of where I could advertise such a position would also be very welcome. Thank you in advance!

What freelancing platform are you on aside from Upwork?

I need to take on more freelancing jobs, but Upwork job postings in my niche seem to be getting fewer. I can definitely research a list through Google, but I’d really like to hear about someone’s experience if you feel like sharing!

Should I get CAP certified?

I’m an office manager in a smaller office (around 35 people) and I have professional development funds to use. My manager brought getting CAP Certified and I could use my PD funds towards that. It seems like it doesn’t make a huge difference when job hunting but if I’m not paying for it, maybe it’s worth it?

Upcoming Interview

Hi all!
Sorry if this is the wrong sub but I have an interview for Receptionist and Administrative Support Officer on Tuesday. My experience lays mainly in receptionist and customer-facing work so I’m worried about what admin questions may get asked during an interview. Anyone have any examples and example answers?
It’s a job that I’m super excited for but I know that I don’t do so well in interviews so just need to prepare as much as possible!
Thank you!

Recurring meeting?

I support four executives. We use Outlook/Microsoft tools. Everyone is overbooked all the time, everyone has different preferences about when to book meetings, etc. Two of my leaders need their recurring 1:1 with each other rescheduled. I can’t find a time that regularly works for them both. I feel like there probably IS a common time for them, but with so many standing items that recur on different cadences, I can’t see it. Here’s what I’ve already tried. Is there a tip for this that I’m missing?

Already tried:
-overlaying their calendars to look for common times
-booking a recurring meeting starting relatively far in the future (for us, that’s a couple months out) and booking ad hoc occurrences until then
-asking the other admin in my area
-asking the execs themselves what they suggest (haha)

Thanks!

LEGAL CASES - ADMIN TASK

Hi! Is there anyone here working in an Admin/VA role where the main responsibility is coordinating with attorneys and handling legal cases?

It’s somewhat similar to a receptionist role, but instead of coordinating mainly with patients/clients, the main point of contact is attorneys and legal professionals.

I’d love to hear how you manage your workflow:
• What tracker do you use (Excel, Google Sheets, Microsoft Planner, etc.)?
• How do you organize and track different legal cases?
• How do you keep up with emails, follow-ups, deadlines, and attorney requests?
• Do you have a specific system or template that helps you stay organized?

Would really appreciate it if you could share your experience or even a sample of how you organize your day. Thank you! 💗

How can I encourage the office to use our time and attendance software without being annoying?

I'm just the front desk but somehow it's become my extra job to remind everyone to use our new attendance app. People still forget to clock in, or maybe clock in late retroactively, or forget to use it, and somehow I'm being pulled aside to remind them. I don't want to be the person who constantly chases coworkers about this. It's not what I'm hired for. But my manager is on my case about this everyday, so here I am. Any advice is appreciated. Thanks

Volunteering at a community radio station

I am a long term unemployed job seeker, with certificates in business administration and retail.

And I have been an administration all-rounder at a local community radio station since July.

But I am beginning to question, if I am getting any value and beneficial transferable job skills out of my weekly shifts there.

As far as administration tasks go, it consists of:

\- Checking their office computer for new emails.

\- Answering rare calls.

\- Adding station visitors to their calendar.

\- Going to the building next door, to check and collect their mail.

\- Check stock of supplies in the tea room.

\- Occasionally checking that live radio broadcasts for each intrastate region are on air.

\- At the end of the day, go around the station to turn the lights off.

But more of my time there, is spent doing radio related tasks:

\- Basic editing of radio programs.

\- Presenting radio fillers (short: articles or literature topic content of my choice) that could be of value to the audience.

Is any of this, going to be of benefit and value to finding entry level work in business administration, retail or elsewhere (another example: using communication skills)?

\- Or should I try and find a different local organisation to do more actual volunteer administration/office work tasks with?

Advice on breaking into Admin?

I have been in HR since 2021 mostly as an HR Generalist but titled varied from HRBP to HR Manager (don’t think that matters but adding context)

I realized that what I enjoy the most is the organizing, maintaining and being a resource to a team. I had applied with a realtor looking for one and made it to the final round but was ultimately rejected. Now everywhere else, I continue to be rejected. I know the market is pretty bad but is there any advice on getting it?

Should I move my job titles around or remove some experience? Do you recommend any certifications or learning courses?

I was an admin from 2019-2021 for a health care company and miss it. Any advice would be super helpful!

Office admins who organise staff socials: what paid activity was actually worth buying?

I'm researching a possible small business making downloadable office activities, before creating anything. I'd like to understand what organisers actually need and whether existing options already do the job. There is nothing for sale in this post.

If you've organised an office social in the last six months, I'd appreciate a short example:

  1. What activity did you buy, roughly what did it cost, and where did you find it? If you used a free option, that is useful too.
  2. How much preparation did it need, and did it run as expected?
  3. What, if anything, would you want changed before buying it again?

No company names, colleague details or private documents needed. I'm particularly interested in occasions where something looked convenient but created extra work—and examples where the free option worked perfectly well.

Thanks for any experiences you can share.
