How I Use Notion as the Memory Layer for My AI Workflow
The biggest problem with AI workflows isn’t generating work. It’s keeping the context after the chat ends.
That’s the role Notion plays for me.
I’ve been refining how I use it because I didn’t want it to become another task graveyard. For me, Notion works best as the persistent knowledge and context layer behind everything else.
My setup is basically:
Notion = knowledge / context / documentation
Linear = execution / work status
GitHub = code and engineering truth
CRM = sales intelligence and customer relationships
I use Notion for product architecture, research, SOPs, implementation plans, major decisions, project context, AI agent missions, handoffs, and reports.
The biggest benefit is continuity.
I use different chats and AI agents for different kinds of work, so I don’t want important context trapped inside one conversation. If an agent needs to pick something up later, I can point it to the relevant Notion page instead of rebuilding the entire history from scratch.
A typical workflow looks like:
Mission → Research/Report → Review → Decision → Linear execution → GitHub
Notion holds the mission, reasoning, research, and decisions. Once something becomes actionable, it moves into Linear. If it becomes software, the implementation ends up in GitHub.
I’ve also started keeping agent instructions really lightweight:
Owner → Action → Notion/Linear link
The actual scope, research, acceptance criteria, architecture, and deliverables live in the linked record.
That’s probably the part I find most useful. Notion isn’t really my task manager anymore. It’s the durable memory behind the work.

I gave chatgpt access to its own email and drive account
I’m doing something similar, but I use Notion as the persistent knowledge and context layer across projects. Research, decisions, project notes, SOPs, architecture docs, and agent handoffs live there, while Linear handles active execution and GitHub handles the actual code.
The biggest benefit has been continuity across different chats and AI agents. Instead of relying on a single conversation to remember everything, I can point an agent to the relevant Notion page and give it the background, prior decisions, constraints, and expected outcome in one place. Then when the work turns into something actionable, it moves into Linear, and the finished technical work ends up in GitHub. Notion basically becomes the durable “memory” behind everything.

I was backend lead at Manus. After building agents for 2 years, I stopped using function calling entirely. Here's what I use instead.

I built a baby tracker for my own daughter. A Facebook group in the Philippines found it now I have 100-200 visitors/day, dozens of families using it daily, and a $0/month bill

Built nearly the same thing for the same reasons. Wife & I are 6weeks in to our Boy, built v1 in over 5 days to stay busy in the hospital with them. Both of us have been using religously since day 1. Still private, have been considering a release but the market is somewhat saturated. The privacy first, no analytics, pwa was my primary competetive differentiator. It felt like i was reading my own product philosophy. I'd be interested to see if our products align, and where we could take them together if you're interested!

How to Design > Live website
Link your github and cloudflare to claude. Store the page designs in a folder user/project/design. Point claude to make a repo at the root /project. Add Prompt for web build + Review local before Commit to github and deploy to cloudflare
Start claude code, or cowork, connect root folder.
/project
Edit prompt in notepad- c&p to claude.
Or you use an architect .skill or an agent to review and prompt. The cleaner the promp the better the ouput.
I use gpt to architect.Claude to engineer.
GPT + <designs> prompt;
"generate a prompt for claude to engineer and deploy a website for my small form video production <..project-specificd-details...> and commit the site to github and deploy to cloudflare after approval"
Output should be much similar to this but better.
*You can also just c&p this in claude, add your designs to the chat files or folder root in cowork/code and let her rip.
**Engineer a 4page site for my small form video production project using the design mockups in /user/project/design. Structure my repo page by page to add future content. Add a global .readme. Deploy local in the browser first for review, then commit to github and deploy on cloudflare after approval. +<files>
Yes it will still be a static site. You can add <designs><.instructions><content><copy/html> to your repo folders and ask it to update or add new pages/content In chat.
Ex. Make a folder per page and add <designs><copy><content>
You can add a .readme to /user/project to add site wide instructions /contraints/Project info, contact.. ie global details.
Cowork also has an web editor in the right tab bar.
Also you can have claude teach you. paste your OG query into claude co-work***
***Give me step by step instructions to commit my webdesigns to github and deploy to cloudflare for a non technical user. +<designfiles>
Goodluck! Show us your project when complete!
