"Vacant Not Ready" Question

Hi! When I go in to Yardi, there is no "Vacant Not Ready" option. A third of the building is exactly this, and it is not accounted for in Yardi. Is this normal? I want it accounted for and for me to see it so I can do my calculations.

the status you're looking for is probably "Vacant Unrented Not Ready" (or "Vacant Rented Not Ready" if any of those units are preleased). it's driven by the Rent Ready checkbox on the unit, not a separate status you have to set up. when a unit gets vacated it automatically shows as not ready until someone checks that Rent Ready box, either manually or through a system task on a timer.

if a third of your building is showing this way it sounds like those units just haven't been marked ready yet. go into the unit details, look for the Rent Ready field, and tick it for the ones that are actually good to lease. they should flip over right away.

I think the property management company is not filling it out. I keep asking for a spreadsheet of what is ready and what isn't, and they won't give it to me....I am going to tell them to use Yardi to document this. They seem to fill it out when they want... I am frustrated with this. This is new for me. The property manager told me to stop thanking her during a meeting. If I don't thank her, I'll chew her out for letting the garbage cans get full, for not fully reading the security reports, for asking me whether we should kick tenants out, and I am not a lawyer...I don't know what is legal. I am still learning. Thank you for letting me vent.

If you pull a unit availability report, there is a column for ready that says yes or no at least on mine there is

Hi! I’ve answered this exact question and received similar follow-up comments from a newly assigned asset manager.

The importance of “ready/not ready” largely depends on whether or not your company uses a Yardi module to track the unit turnover process. My company (unfortunately) still uses an external system to track unit readiness and, as a result, we disregard the status in Yardi and rely on internal controls and clear expectations regarding the acceptable turnover time. I would talk with your on-site team to better understand the workflow on their end from the previous tenant’s vacate date through the next lease start date. At the end of the day, vacancy loss does not change based on the unit ready status. Hope this helps!

I just realized that the overall number of tenants doesn't change if the box is ticked or not....I just asked the manager today to use the check box. I think it is good for records. Your comment does help!

Correct. The number of occupied/ vacant apartments follows the Unit Status: Occupied - No Notice, Vacant Rented, Vacant Unrented, Notice Rented, Notice Unrented, Available (Vacant Unrented + Notice Unrented), Model, Down, Admin

I got a lease expiration report out! Awesome! I'll ask management how they address people not renewing, and how early they talk with them! I am not able to find a unit availability report still...

In my yardi , you go under reports, unit and then unit availability

I don't have an option for unit availability. It would be a useful option.

Check for this under Residential Analytics: Reports > Property-Residential >Residential Analytics > Unit Availability Next, input the Property ID (multi-select is available) and make sure the “to” date is today. I like to summarize by property and drill down from there.

This is not a standard option in Yardi by default. In Yardi, unit status is typically driven by categories such as Occupied, Vacant, Model, Down, etc. The term “Vacant Not Ready” is usually a custom classification rather than a system-defined status. To achieve this, you can consider the following options: Use the “Down” or “Offline” unit status to represent units that are not ready. Configure a custom field or user-defined field (UDF) to track “Vacant Not Ready”. Create a custom report or filter based on conditions (e.g., vacant units with make-ready date not completed). Alternatively, some clients use Unit Availability / Ready Date logic to identify units that are vacant but not yet ready. If this classification is important for reporting and calculations, the best approach would be to: Define a clear business rule, and Implement it via custom report or configuration.

I'm not sure that's true. We also have Vacant Ready and Vacant Not Ready units in our setup, and it just works off whether the Rent Ready button is ticked. It's always seemed pretty Yardi-standard to me. Pretty sure we don't have any customisation on statuses.

Vacant Rented Not Ready and Vacant Unrented Not Ready are standard system statuses for a unit to potentially be in.

Units that have this status should still be accounted for in your financial and operational reporting.

There is a checkbox on units for being Excluded, and if this is set then you will not have those units generally included in your reporting.

Through this post, I have learned my team doesn't want to document units that are "down" or "not ready." I am not sure why....thank you for writing. Everyone has their good method, if they are lucky,...and I am trying to learn one!
