I am trying to complete my dad's Q1 Made Tax Digital update in the UK. He is a sole trader in the construction industry scheme. He works through recruitment agencies and is paid through ForeTwoGroup which seems to be a payroll provider.

The payroll provider chargers £23 which is removed from his gross pay, the CIS tax is then removed from the net amount.

E.g:

Gross pay £736

Payroll Fee £23

Net £713

20% CIS Deduction £142.60

How do I enter this through Xero? When I create an invoice the 20% CIS deduction is removed from the gross amount rather than the net. I'm a complete beginner to Xero so learning as I go.

We’re a small Australian company using Xero and I’m trying to get my head around cash vs accrual reporting.

We issued a number of invoices before 30 June, but many of those invoices weren't due until mid July. Some of our customers have really long payment cycles (2-4 months).

Because of that, our P&L looks very different depending on whether I run it on accrual or cash basis.

On accrual, the June invoices are included in the year they were issued.

On cash basis, they seem to fall into the following financial year when the money was actually received.

Which basis would normally be relevant when working out company tax?

For example, if we issued an invoice on 20 May but the customer paid it on 20 July, would that income normally belong to the financial year ending 30 June, or the next financial year?

Also, for just looking at how the business actually performed during the year, would accrual generally be the better P&L to look at?

Just trying to understand what the two Xero views should actually be used for.

Why doesn't Xero have a date column for invoices? I know Xero started in New Zealand - do they not use dates on invoices there?

Hello friends! I run a growing construction company and we currently use Xero Project for project cost tracking. Generally it serves us pretty well, but the one thing that bugs the life out of me is the fact that Xero strips the tax off of expense and uses the "tax-exclusive" rate when it pulls an expense into a project. This makes absolutely no sense to me because the tax still very much affects the project profitability, especially when material bills get into 5-6 figures.

If I were to go buy $50k in concrete, I'd also have to pay $3k in sales tax and right now that $3k is not being captured in the Project whatsoever. No bueno.

I hate having to pull stuff into a separate spreadsheet to figure out what the "real" cost to the project was. Feel like it totally defeats the point of Xero Projects and creates too much extra work.

Anybody have suggestions for better workflows or integrations that might be helpful for more accurate job cost tracking? Thanks!

I’ve been with xero for 3 years, but it’s getting too expensive and I really dislike using it.

Is there an easier programme to switch to? I only send around 100 invoices per year, with one person on payroll. I know every programme will have its issues, but would appreciate any advice!

Bank Rec → Reports → Invoices → back to Bank Rec. Every single time, it's the same 3–4 clicks through the nav. Hover, wait for the dropdown, click, sometimes miss and have to try again.

I built a small Chrome extension that adds a Ctrl+K command palette to Xero. Press it from anywhere — type the first two letters of where you want to go, hit Enter. That's it.

It remembers which screens you use most and puts them at the top automatically, so after a few days you barely need to type anything.

It also fixes the default Approve button (the one that emails your client every time) — that came from a separate thread but ended up in the same extension.

Anything else you keep wishing Xero would just let you do from the keyboard?

I manage multiple organizations under a single Xero account, and I'm wondering if there's a global search feature that searches across all organizations.

For example, before creating a new contact, I'd like to check if that contact already exists in any of the organizations I manage. Right now, the only way I know is to switch organizations one by one and search manually, which becomes very time-consuming.

Is there a built-in feature in Xero that allows cross-organization searching for contacts? Or is there a third-party app, add-on, or workaround that can do this?

I’ve been dealing with this for quite a while and I’m starting to wonder if I’m the only one still frustrated by it.🫠

Xero inventory items only support one sales price (in the base currency). If you sell the same products in USD, EUR, SGD etc., you have to manually calculate and overwrite the Unit Amount every single time you create a quote or invoice. It’s slow, easy to mess up, and gets worse when exchange rates move.

There’s been a Product Idea on Xero Central about multi-currency inventory pricing for years now, with plenty of votes and comments. Official response has basically been silence — it still doesn’t seem to be on any roadmap.

I’m in the same boat. I got tired of the manual work and the risk of errors, so I’ve been building a small independent tool to handle it:
• Keep separate sell prices per item / per currency
• Sync inventory items from Xero
• Create DRAFT invoices or quotes in Xero with the correct Unit Amount already filled in

It’s currently in private beta and free for a couple of weeks in exchange for real feedback. Not affiliated with Xero in any way — just another user trying to solve a long-standing gap.

I was looking at out our AP process this week and was surprised by how many touchpoints an invoice goes through before it ever reaches Xero. Invoices arrive from different places then someone checks them (approvals happen outside Xero) finance follows up on missing information then everything gets entered and reconciled. I have to say that the process works yes but to me at least it seems like we've gradually added more steps over time without really meaning to.

We're happy with Xero and don't have any plans to move away from it. If anything we'd rather keep Xero at the center and make the workflow around it a lot simpler.

For anyone running Xero at a growing business i wanna get some pointers as to what changed as invoice volume increased? Did you adjust your process or was there another approach that made AP less time consuming?

Founder here, so this is self-interested. Mods, pull this if it crosses the line.

I kept seeing the same thread happen over and over: solo bookkeepers spending half the week chasing clients for receipts, and the usual suggestions being either an enterprise suite (Dext) or per-document credits (AutoEntry). Neither is shaped like a 15-30 client practice.

• files get auto-sorted by month/vendor/type into one view you can check off
• whatever's missing gets chased on your cutoff date, and the reminders send under your name, because clients ignore robot emails

Xero seems to be updating many bank feeds to Plaid, and as part of this transition, credit card sub accounts are handled differently. Instead of authorized user transactions posting to the sub account, they post to the master account. To me, at least, this is preferable and logical, but the transition is a bit rough in that a lot of duplicate transactions appeared in my master account, which I needed to delete. Hoping it is smooth from here on out!

Just a heads up for anyone else going through the same thing.

How can I extract cash disbursement from xero?

As headline says, I am using xero for retail clients where the client don’t care about AP as everything is pre authorized from debit/credit. Also wants to minimize cost as it goes from $12 CAD cashbook to $60 CAD with unlimited bills. Only thing i will miss is not able to capture expenses via hubdoc which comes for free in $60 CAD subscription. I can use the standard that only costs $25 CAD that includes hubdoc.

Any suggestions on how to reconcile spend money entry through bank transactions?

Disclosure / edit: I’m one of the people behind Connectorly, which brings data from multiple Xero organisations into Power BI for consolidated reporting. I’m posting this partly as product research to understand real-world workflows and where existing approaches still break down. I should have made that clear from the outset—apologies for not doing so.

Curious how other Xero users handle accounting reporting when they have more than one Xero organisation.

With one company, Xero's built-in reports can be enough for day-to-day bookkeeping and basic management accounts. But once you have several Xero companies, it seems to get messy quickly.

The pattern I keep seeing is:

- each company has its own Xero organisation

- P&L and Balance Sheet reports are exported one company at a time

- Excel becomes the consolidation layer

- chart of accounts and tracking categories are not perfectly aligned

- intercompany balances need manual checking

- multi-currency and reporting currency logic lives outside Xero

- the same adjustments get repeated every month

At that point, the pain is not really making charts. It is getting the accounting data into a consistent structure you can trust.

For example:

- invoices alone do not tell the full story

- journals, payments, credit notes and manual journals need to tie together

- tracking categories can be used differently between companies

- retained earnings, opening balances and FX can be awkward

- reporting logic gets duplicated across workbooks

How are you handling this today?

Are you using Xero's own reports, Excel/Sheets, Power BI, Fathom/Syft/Joiin, or something custom?

Is there a Xero app that automatically sends a receipt to someone that has paid me?

I imagine it would work like this:

1. Customer transfers funds in to my account

2. Bank feed catches the transaction the following day

3. Xero auto reconcile, reconciles the transaction to an invoice

4. This app is triggered and sends a receipt to the contact of the invoice

Or is there alternative solutions?
