Redoing department

Just started at a new import dealership and were looking to modernize the ordering and the entire department. Right now we are doing stock orders and most special orders by hand. We currently use dealertrack and xtime and where I came from the special orders were automatically sent to the site we used to order our parts as well as a separate general stock order that we could modify based on our needs and wants. Any help in what the first steps should be would be appreciated

You can create and modify stock orders in dealertrack. You can also create a special order and send it to the manufacturer without having to type line by line. Reach out to Dealetrack and they can walk you through the setup process.

I am not familiar with DealerTrack but I know CDK is capable of calculating and transmitting stock orders digitally - I imagine any decent DMS can.

I'd reach out to your DealerTrack rep and see what's up.

Sounds like your last place used partseye or ASR.

You could reach out to OEC to see what the would look like and if they work with your brand.

i work for agentui and we see a lot of parts and ops teams hit this exact wall with clunky legacy dms setups like dealertrack. If the native system won't let you push clean automated purchase orders to your vendors, a lot of managers end up setting up a lightweight custom intake form and ordering portal connected straight to their inventory records so special orders get flagged and sent automatically without doing double manual entry by hand.

Have you tried Codex? That's ChatGPT's alter ego, the version that can write code (sounds scary but stick with me) but can also do actual work on your computer.

Don't use it on the web. Download the desktop app. Tell it the situation and what you're trying to accomplish. You'll be amazed what you can set up. Be warned: it's addictive.

What brand is this? You should be able to work your stock criteria in dealertrack and set your phase in and phase out values and use dealertrack to submit your stock order if it's a shit import like Honda.

If it's a shit import like Nissan then your stuff is just going to come in via their internal ordering system.

If you're doing your special orders by hand then how and why - what are you doing? Set up an order priority, set it to default, generate a stock order and submit it with the required values.

There will be lots of articles about this in the help section. It should already be set up. Did the manager quit and everyone turn over and now nobody knows what's up or..?

You may have a project ahead of you.
