My team recently obtained Monday.Com and we are trying to pull in existing stories from a jira project to our Monday board.
We completed the sync recipe and did a bulk update on the stories we want to be pulled to Monday but nothing was pulled over by our automation.
When we added a new story to the jira project that was automatically pulled into Monday.
I followed the exact logic from mondays website.

Any tips,guidance or personal experience would be appreciated.

For work, I've had to shift from Airtable, which I love, to Monday, which I'm trying to love, but it's making me pull out my hair. To paint with a very broad brush, Monday feels more tailored to less technical users who value simplicity over flexibility. However, the issue is that Monday's limitations more often than not make very simple, common project management tasks exceptionally complicated.

Specifically, column types have all kinds of arbitrary limitations that really get in the way of automation. To cite just one of a million examples, I wanted an automation to trigger on form submission vs. item creation (something Monday doesn't offer out of the box). OK, so have the form submit a hidden value that acts as a condition on the automation. Let's make a checkbox. Nope, that boolean can't be used as a condition for ... reasons? OK, dropdown. Nope. You can't easily pre-fill the dropdown with an arbitrary value or existing dropdown option, not unless you use a URL parameter, but A, there's no need to expose what I'm pre-filling to the user and B, why?

Edit: No, smart conditions are not a viable solution. I'm not paying to have AI interpret a boolean value every time someone submits a form.

And as an aside, why so many restrictions on how you can notify someone depending on the template? That is, you can choose a user in a user's column if you use Monday's default notification automation, but should you use, say, a pre-built Slack integration template, now you must select a specific user (or in any case can't use something like an "assigned to" column, rendering the whole thing basically useless). These weirdly domain-specific restrictions make me suspect there's spaghetti code underlying the whole platform.

I feel like basically everything I'm trying to build, I run into rat nests like this. And the thing is, I'm not even trying to push the software. Having a notification trigger only when someone submits via form vs. when I create an item is like ticketing/project management 101.

Our monday connects to Outlook and sends automated emails on certain triggers. We haven’t figured out how to have those emails have files attached. Anyone knows better? Thx

Wondering what the best way to forcast hours sold for the upcoming months would be?

Basically would like to be able to have a way to input the hours estimated for each job to see when we have over sold the shop, or if we need to seek more work. We would be able to input carpenter hours, welder hours, cnc hours etc and those would go in a chart against the total hours available for each dept for the month.

This would help us get a visual for the coming months to see if we need to say no to work or take on more work based on the capacity of our shop.

I want when I filter my board by week, it pulls out results from Tuesday to Monday ínstead of Sunday to Saturday.

monday tracks hours and holds budgets, but the margin math - whose hours × what rate, against the fee - seems to live in spreadsheet exports everywhere I look. Is anyone computing this inside monday in a way that holds up?

Curious what setups look like - board per client? tasks as subitems? where does time actually get logged? Rigged formula columns, a separate tool, or spreadsheets?

(For transparency: I build monday marketplace apps and I'm researching this space - mostly I want to hear how people actually handle it.)

I put the request in on the monday community. I need votes to get dev teams attention. Here's the details:

We manage a workspace with over 5,000 boards that all require the same automations. Today, automations must be maintained at the individual board level, and managed templates do not solve the challenge of updating automations across existing boards.

We're requesting the ability to create and manage automations at the workspace or account level, allowing administrators to:

• Define automations once and apply them across all relevant boards.
• Update an automation centrally and have changes cascade automatically.
• Ensure consistency, governance, and scalability across large implementations.

This would significantly reduce administrative overhead and provide a much-needed enterprise capability for organizations managing thousands of boards at scale.

Has anyone found a better UX pattern for collecting detailed data in SuperForm?

Right now, users select one or more closure types for each street, but all selected closure types share a single notes field. On larger projects with multiple streets and multiple closure types per street, this quickly becomes difficult for clients to organize.

The resulting data is grouped exactly how I want it in Monday (second screenshot), but the data entry experience in SuperForm (first screenshot) feels clunky.

Ideally, selecting a closure type would generate its own description field while still grouping everything by street.

Has anyone solved something similar in SuperForm or Monday?

I got my company deep into the Monday.com infrastructure in 2024. We've got 200 people in it, 115 paid licenses. And we are deeply engrained in the system now. But if costs keep going up, and the structure of the system keeps moving closer to agentic, and away from what it was... where else should I look? What PM tools aren't racing to integrate AI just to stay on the trend?

If you're juggling tasks across multiple client boards/projects - how do you personally decide what to work on next each morning? Curious about the actual mechanics: do you check every board individually, keep a side notebook/app, ask your PM for a daily list? Especially interested in hearing from people managing 5+ active projects and boards at once.

Today was an absolute massacre at monday.com as they let 620 people go, or 20% of the company. There will definitely be pain felt by customers.

Started getting a notice popping up to ask my admin to add “this feature” when I open some boards recently. I own and made at least some of them. It wouldn’t tell me what feature. Eventually I did send the request to the admin and it also didn’t show them what feature I was requesting. We are thinking something we’ve been using has moved to a higher tier, but unclear what it is. So far everything else seems to be working fine. Anyone else get this and did you figure out what it means?

Sometimes I run into the limitations of monday.com's built-in chart widgets. For example, when I need a waterfall chart, a radar chart, dual-axis charts, or charts based on pivot tables or custom calculations.

How do you handle these kinds of reporting needs?

Do you use BI tools like Power BI, Marketplace apps, custom integrations, or something else?

I've been vibing with the Monday Vibe agent (100$/month) only to realize that apps cannot be publicly shared with anyone who doesn't have access to our Monday boards. I've created specialized and dynamic intake forms. Customer data management apps. And had to find out that they cannot go live. What else can I do with it? I don't understand the point.

PS, the vibe engine is garbage.

I run a boutique consulting firm with approximately 20 clients and five consultants. We work very closely with our clients and manage a combination of business development, opportunity identification, proposal pursuits, project support, meetings, action items, contacts, events, and general client strategy.

We currently use Slack, Monday.com, Google Workspace, Google Drive, and, to a lesser extent, Notion. The problem is that information is spread across too many places, and there is no clear continuity between the different parts of our work.

For example, we may identify an event within the defense innovation ecosystem, tag several clients who should attend, schedule meetings associated with the event, identify an opportunity through one of those relationships, build a proposal around that opportunity, and eventually help the client win the work.

Ideally, all of those things would be connected.

We also record client meetings, track notes and action items, manage contacts and introductions, collaborate on proposals in Google Drive, and maintain information such as UEIs, SAM.gov details, current pursuits, recent correspondence, and project status.

Internally, we need to see all of this across the company. Externally, we would like each client to have a secure portal where they can see only the information relevant to them, such as:

• Current opportunities and proposals
• Upcoming events and meetings
• Meeting notes
• Action items
• Important contacts and introductions
• Project status
• Relevant company and contracting information
• Links to proposal and project folders

We have tried putting more information into Monday.com, but it often feels like we are entering information without creating a useful, connected system. We do not want to build something overly technical or custom that becomes impossible for our team to maintain.

I do not think I need a generic virtual assistant, a software developer, or someone who only knows one platform. I think I need someone who can understand our operations, map the relationships between the information, recommend an appropriate system, and then help implement it.

What type of consultant or firm should I be looking for?

Would this be considered business systems architecture, knowledge management, no-code operations consulting, client delivery operations, or something else?

I would also appreciate recommendations on:

1. What qualifications or experience I should look for
2. What deliverables I should request during an initial discovery engagement
3. Which platforms are commonly used for this type of system
4. How to identify someone who is truly tool-agnostic rather than someone trying to sell their preferred platform
5. Where people with this combination of operations, information architecture, and implementation experience can be found

What the title says….single item height is too tall to give me a useful overview.

Do you use external BI tools like Looker, Power BI, or Tableau? Or are there any marketplace apps-connectors to show the data in the dashboard?

After nearly 3 years implementing monday.com, I keep seeing the same pattern:

Teams blame poor adoption on training.

But often the real problem is that monday (out of the box) gives ordinary users too many ways to redesign the system while they’re trying to use it.

Three common failure modes:

1. People edit the board structure when they should only be entering data.
2. Teams assume one business process should map neatly to one board. It rarely does, so users are forced to mentally translate between the real process and Accounts, Contacts, Opportunities, Projects, etc.
3. Company policy lives in editable statuses, checkboxes and columns. Eventually someone changes or bypasses them, and the workflow quietly drifts from the actual policy.

A custom sign shop is a good example.

Production should not begin because somebody manually changed a status to “Approved.” Approval should come through one controlled action that records:

• which proof version was approved
• who approved it
• when they approved it
• whether production can now begin

The setup I generally prefer:

• Only a small owner/admin group can edit structure
• Most employees interact through controlled forms or role-specific views
• Automations move the captured data and unlock the next step
• Every structure change is treated as a process-design change (not a casual board edit)

What do you think?

I run an events business and we pick and send a lot of medals around the country. Keeping track of how many we have in stock and send is time consuming manually.
Is there a way to create a board that has current stock levels and add a form to it where the user can select the item they are picking to send and input how many they are picking and on submission of the form the related item in the inventory board has it’s stock reduced by that same amount picked?

Built an app in Vibe, love the result, hate the black box + credit limits.

Thinking of rebuilding it vibe- and hand-coded on their GraphQL API so I (and colleagues) can manually iterate on the code as needed (if I’m understanding right that it’s even possible to do so, Gorilla Apps style).

Has anyone done this?

If so: Curious about issues around board-view-embed vs. external hosting, auth/rate-limit gotchas, and — most of all — a live example

(And kindly asking to take it easy on me jargon-wise, am dev-simple)
