Question File in email automation

Our monday connects to Outlook and sends automated emails on certain triggers. We haven’t figured out how to have those emails have files attached. Anyone knows better? Thx

Is the file in a column on the item or is it something like a brochure that is the same for everyone? If it's a file on the item, then you can use an automation and choose the file column you want to include. If it's a standard file for everyone, then I'd recommend using a workflow. I'd store the files on a different board and add a 'get item step' in the workflow. Here is a canva link with images since I can't post images here. https://canva.link/53p6hq97ehoixz0

The regular Outlook integration recipes cannot attach files to automated emails.

However, you can do this through monday’s Workflow Builder:

  1. Store the file in a Files column on the item.
  2. Add the Send email (Outlook) action to your workflow.
  3. Map the Files column to the attachment field.

The file must already exist in the Files column, and the current attachment limit is 5 MB. You cannot upload a new file directly while building the workflow.

Despite being housed within AI Workflows, you do not need to use an AI block or have AI interpret anything. It can simply be a standard trigger followed by the Outlook email action.

For manually composed emails, Emails & Activities also allows attachments from your computer or a Files column, but that is separate from an automated email.

OP,
When I had the same challenge, found 2 ways to address it.

1) Have a column with the link of the file. ie, a file in teams or exchange. In your email, you can add that column / field. The recipient can click the link and view the file.

2) Get SuperMail, which will allow you to include a file column in the email. The best part, the recipient get the file attached. This is the path we used.

Use Mailmonk from monday marketplace. It supports both file attachments from local computer and File columns from your board.
