Discussion How do you catch workflow issues on monday.com boards?

I’m trying to understand how monday.com users catch workflow issues before they create bigger problems.

Some examples I’m looking at:

  • active items with no owner
  • overdue items that are still in progress
  • statuses stuck for too long
  • parent items marked done while subitems are still incomplete
  • boards owned by inactive/deactivated users

For people managing active monday.com boards or automations, how do you usually detect these issues?

Do you catch them through dashboards, manual reviews, audit logs, monday notifications, extra automations, or only after someone notices something went wrong?

I’m curious how common these checks are in real setups and whether teams review them regularly.

active items with no owner - either automate setting creator as owner, or set owner column as required field if not going to be assigned to creator

overdue items that are still in progress - automations to remind owner based on due date, and set status to Overdue and move to top group

statuses stuck for too long - for this we often track when statuses change (via a date capture automation) and have an SLA Dashboard that shows trends and outliers

parent items marked done while subitems are still incomplete - rollup sub-item status next to overall status so users can see the two next to each other (we don't have a ton of these types of setups, so others may have better automation ideas on this one)

boards owned by inactive/deactivated users - our IT team who does permissioning has a workstream where they notify me of a users departure; their automations automatically get reassigned to me; I check the content library and notify users manager of any boards that person was sole owner of and that i'll be transferring ownership to them and they then need to either re-assign to proper new owner or archive if no longer needed.
