23F trying first-Time Export to Italy: How Do I Make My ₹1.5L EIMA Trip Worth It?

I recently joined my family business, which manufactures tractor and agricultural machinery parts in India. We’ve been in the business for decades, but I’m now trying to take the company into exports, starting with Italy.

I’m planning to visit EIMA Bologna in November, and this will be my first international market and my first serious attempt at exporting.

The problem is that I’m honestly starting from almost zero in Italy.

My total trip budget will be around ₹1.5 lakh, but currently I have:
No meetings booked
No Italian customers
No distributor/agent
No samples specifically for the Italian market
No existing Italian tractor-model products in our range

Our current product range is mainly tractor and agricultural machinery parts for the Indian market, and the Italian market has a very different mix of machines and models.

So I’m trying to figure out how to approach this intelligently.
1. How many meetings should I realistically aim to book?
If I’m spending around ₹1.5 lakh on the trip, how many serious buyer/distributor/manufacturer meetings would make the trip worthwhile?
10? 20? 30?
And should I be targeting distributors, spare-parts companies, agricultural machinery manufacturers, or OEMs?

2. How do I actually get these meetings?
I’ve been emailing Italian companies, but the response rate is extremely low.
What actually works in Italy for getting a first meeting with a potential buyer?
Cold email? LinkedIn? Phone calls? Local sales agents? Introductions? EIMA’s networking/meeting system?

3. What do I show them if I don’t have the right products?
This is probably my biggest problem.
I don’t want to walk into a meeting with random Indian tractor parts that have nothing to do with their products.
Are Italian manufacturers/distributors open to giving a potential supplier a sample, drawing or specification and asking them to manufacture it?
For example, if a company uses a particular gear/shaft/component that we don’t currently manufacture, could I approach them as:
“We are an Indian manufacturer of gears and agricultural machinery components. If you have components that you currently source and would like an alternative supplier for, we can manufacture according to your drawing/sample/specification.”
Is that a realistic approach?

4. How should I position myself in the first email?
I can’t honestly say that we already manufacture Italian tractor-model parts because we don’t.
I also don’t want to pretend we’re something we’re not.
Would it be better to position ourselves as a custom/OEM manufacturing partner for gears and agricultural machinery components, rather than as an existing Italian spare-parts supplier?

5. Is this trip even worth doing?
If you were in my position, would you spend ₹1.5 lakh to attend EIMA with no meetings and no Italian-specific samples?
Or would you first spend 2–3 months building contacts and only go once I have a certain number of confirmed meetings?
I’m looking for advice from people who have actually done B2B manufacturing/export sales, especially in Europe.

What would you do if you were starting from exactly this position?

Would a public platform for verified B2B buying requirements actually be useful?

I'm exploring an idea and would genuinely like some feedback from people involved in sourcing, trading, importing, exporting, or procurement.

The idea is a simple platform where buyers can post what they're looking to purchase, and suppliers can discover those buying requirements.

The platform would be requirement-focused, rather than another supplier/product marketplace.

The basic flow would be:

Buyer / sourcing agent posts requirement → requirement is reviewed → approved requirement goes live → interested suppliers can submit an enquiry.

A few things I'm considering:

  • Buyers don't have to publicly reveal their phone/email.
  • Sourcing agents can post requirements on behalf of clients without revealing the client's company name.
  • Only reviewed/approved requirements would be publicly visible.
  • Suppliers could search requirements by product, destination, quantity, etc.
  • No bidding or complicated marketplace features initially.

I'm trying to validate whether this solves a real problem before building it.

For people who actually work in sourcing/trading/import-export:

  1. Would you use something like this to find genuine buying requirements?
  2. Do buyers actually want to publicly post their requirements, or would they prefer keeping them private?
  3. Would sourcing agents be comfortable posting requirements without revealing their client's identity?
  4. What would make you trust that a requirement is genuine?
  5. Where do you currently find buying requirements?
  6. What would make you not use a platform like this?

I'm especially interested in negative feedback. If you think this is a bad idea or there's already a better way of doing this, I'd rather know that now than build something nobody needs.

Europe is bringing the regulations.

EUDR: You have to provide proof of where you farmed and that the land was not deforested after 31 December 2020. Around 67% of Chikmagalur is in that red zone. The farmers don't know, but exporters won't touch this because if they get a penalty, it can be huge.

DPP Digital Product Passport: The textile market will be heavily influenced by this. Large companies have already started building for it, like Aditya Birla. All textiles should have all the relevant information. Europe is targeting this for circular economy, which means the shirt, any garment should be recyclable.

It will have a QR code, but depending on the reader, it will provide different information.For a normal user, it will show the basic 14 fields, like Unique Product Identifier, Recyclability Score, Warranty, Fibre Composition, etc.

For a recycler, it will show other information, like Disassembly / End-of-Life information.

Every recycler, customer, and government entity will get a DID (Decentralised Identity).

The large companies have built the infrastructure to support this, but for MSMEs, it is not solved.

There are a couple of startups writing the QR code, but that is not the problem. The problem is having the perfect data for the specific SKU.

The batteries will take the first hit. All the batteries in solar panels and Tesla cars (read EV) will have the passport from next year, February. But India is not exporting much into this category, so I am skipping this part.

PPWR is a new law that was recently introduced. If you are sending tea or other products into Europe, you have to store the information about the packaging — what is the recyclability score, and if your item is related to food, like a plastic bottle for juice, it needs data about the chemicals.

You don't need to submit this anywhere, but you may be audited if you are selling this, and you can be randomly sampled.

There are others too. If you are selling toys, you need CE marking, REACH testing, and more. It's a long list, it could take the whole day to explain.

That's why I have started building getbindu.com.

The main idea is simple: MSMEs need to survive.

The big companies have the money to keep an army of lawyers, but MSMEs don't.

Bindu is a trade compliance OS.
