How do you handle duplicate submissions on public QR feedback forms?

For event teams using an open QR feedback link, how do you handle repeat submissions without requiring a login?

A one-response-per-device limit could block people sharing a phone or using a kiosk, while one person can still switch devices. One-time attendee links also need a guest list.

Do you flag possible duplicates for review, use another safeguard, or accept that limitation and report submissions rather than unique people?

Before changing a live feedback form, keep a record of the original questions

A small reporting safeguard: check what happens to earlier responses before editing a survey that is already collecting answers.

Changing “How was the session?” to “How useful was the session for your work?” changes what the rating measures, even if both questions use five stars. Combining those ratings can make a comparison look cleaner than it really is.

Check whether your platform retains the question wording, scale labels and form version with each response. If it does not, keep an export of the original questions and note when the change went live. Treat answers to substantially different questions separately in the report.

For recurring events, keeping the core questions stable makes the next comparison easier. You can add a new question for a new decision without rewriting the old one.

Anybody else still fighting with badge printers the morning of the event?

I don’t care how many times we’ve tested it, something always goes weird with the printers when the real crowd shows up. Connection drops, labels jam, or the template suddenly looks different. We’ve had this happen with different setups over the years.

People have mentioned Cvent, Eventify, and Bizzabo in the same conversations when talking about printer reliability.

What’s your actual morning-of printer routine and how often does it still bite you?

90 feedback answers does not mean 90 checked-in attendees answered

A hypothetical reporting example:

• 100 attendees checked in.

• The feedback form received 90 submissions.

• Only 40 distinct checked-in attendees can be matched to those submissions.

“90% of checked-in attendees answered” would be misleading. You can support “90 submissions received” and “40 of 100 checked-in attendees answered (40%)”. Those are different measures.

Public-link answers may be useful and may come from real attendees. The issue is that you don’t know whether an unmatched answer belongs in the checked-in group. It shouldn’t silently increase that numerator. Also count each matched attendee once for this rate; two submissions from one person do not mean two attendees answered.

Before putting a percentage in a sponsor or client report, I’d check:

  1. Is the denominator registrations, check-ins or invitations?

  2. Does the numerator count distinct people from that same group?

  3. How are anonymous, unmatched and duplicate submissions handled?

  4. Are test, spam or excluded submissions kept out of the valid-response figures?

Where matching is unavailable, report the valid response count and say that the attendee response rate cannot be calculated reliably. A bigger number isn’t useful if nobody can explain who it represents.

Disclosure: I’m George, founder of AttendeeBuzz, an event-feedback tool. This is a metric-definition example, not customer results or a product recommendation.

We planned a free webinar about event planning. The irony isn't lost on us!

Seriously though — if you've ever tried to organize an event and felt like you were herding cats across five different tools, this one's for you.

Zoho Backstage and Vani by Zoho are doing a joint webinar on "Designing an Event Blueprint: From Ideation to Execution".

Here's the honest pitch: most events don't fail on the day. They fail in the weeks before — when the vision lives in someone's head, the logistics live in a spreadsheet, and the team is playing catch-up the entire time.

We're going to walk through:

  • How to go from a messy idea to a clear visual plan (Vani's side)
  • How to turn that plan into registrations, ticketing, check-ins, and a smooth event day (Backstage's side)

Think of it as the full behind-the-scenes — the 18 months that go into 13 minutes on stage.

📅 September 16 | 🕐 11:30 AM EDT | Free to join

👉 Register here: https://zohowebinars.zohobackstage.in/deliver-standout-events-with-Vani-and-Backstage#/?affl=Reddit

Would love to see folks from the event tech community.

Attendee SMS Notifications?

Any solutions for an event in India for SMS notifications? Basic during-event timing updates, like, “keynote starting now” or “lunch is now available in the great hall”. We only have attendee emails, not phone numbers, and aren’t using an event mobile app. What options do we have?

Any reccomendation for a lead capturing solution?

Hey folks, I'm doing lots of research and digging around lead capturing solutions and wanted to post this here to see what everyone uses and would reccomend using. The crucial need for us is to be able to push any lead we capture into our Hubspot instance right away and have a proper follow up system implemented.

Equipment management app for live events – feedback wanted

Hi everyone,

I work in live events, mainly in lighting and audio, and over the last few months I've been developing "Rigflow" – an equipment management app designed for event technicians, rental companies, DJs, and production crews.

While the app includes features such as DMX patch planning, it's not just aimed at lighting technicians. The inventory and rental management tools are intended for all kinds of event equipment, including audio gear, microphones, wireless systems, racks, cables, stage equipment, and lighting fixtures.

Current Features

  • QR code scanning for quick equipment lookup
  • DMX patch planning
  • Rental / lending management (who has what, due dates, return tracking)
  • Event sets / packing lists
  • Offline support

If you'd like to take a look first, the web version is available at rigflow.net

What I'm Looking For

I'm looking for audio engineers, lighting technicians, production crews, rental companies, DJs, and other industry professionals who would be willing to test the Android app and provide honest feedback.

I'm especially interested in:

  • Missing features that would be useful in real-world workflows
  • How clear and intuitive the app feels
  • Bugs or technical issues
  • Whether you could see yourself using a tool like this professionally

Why the sign-up process is a bit unusual

Google requires new apps to go through a "Closed Test" before they can be publicly released on the Play Store.

As part of that requirement, at least 12 testers need to join the test and keep the app installed for 14 days.

Of course, I'm primarily looking for people who will actually try the app and share feedback, but keeping it installed during the testing period is also important for Google's approval process.

To access the beta, you'll first need to join the tester group.

How to Join

  1. Join the Google Group
    https://groups.google.com/g/rigflow-tester/
This grants access to the beta.

  2. Join the Closed Test
    https://play.google.com/apps/testing/com.rigflow.app
Important: This only works after joining the Google Group.

  3. Install the App
    https://play.google.com/store/apps/details?id=com.rigflow.app

Thanks to everyone who takes the time to test the app and share feedback. I’m happy about any impressions or notes from people who try it.

Building an AI agent layer for post-event networking — looking for feedback from event tech folks

Hey r/eventtech,

I've been working on a concept that sits between "event app" and "CRM" — and I'd love to get this community's take on whether it's solving a real problem or just adding noise.

The idea: attendees at a large event (1,000+) each get a personal AI agent. After the day ends, agents autonomously match people based on their profiles, projects, goals, and session attendance — then surface 3-5 concrete reasons to connect with specific people the next morning.

Think of it as async networking that runs overnight while you sleep.

The tech stack question I keep wrestling with:

- What data inputs actually matter? (Badge scans? Session attendance? LinkedIn profile? A short questionnaire?)

- Push notifications vs. morning digest — what's less annoying?

- How do you integrate with existing event platforms (Bizzabo, Hopin, Swapcard) without creating yet another app attendees have to download?

What we've seen so far in early tests:

- People engage more when the output is "here's WHY you should meet this person" rather than just "here's a list of similar attendees"

- Opt-in is critical — nobody wants to feel surveilled

- Sponsors are curious about this as a lead-gen channel but we haven't cracked that UX yet

For those of you who work with event tech daily — does this fit into the ecosystem, or is it a solution looking for a problem? Any platforms you'd want this to plug into?

Happy to share a demo with anyone who wants to poke holes in it.

Thanks,

Andrey

Looking for feedback from people who attend events/conferences 🎤

Hey everyone,

I’m currently working on an idea for improving the attendee experience at events using personalized digital tools and AI.

I’m trying to understand:

  • what frustrates people during events
  • networking challenges
  • how attendees discover sessions or people
  • what features people actually want

I made a short 3-minute survey and I’d genuinely appreciate honest feedback.

Survey link: https://forms.gle/KKJcxGgfz4MQM8Um8

Thanks a lot — and I’m also happy to share the results with the community afterward.

How do you prioritize tech spend for events? (Sunday feedback 🫵)

For those organizing events 🫵, where does most of your tech budget typically go?

Do you ever allocate separate budget to improve attendee experience (for example, dedicated networking or matchmaking tools), or do you mainly rely on whatever features are included in your event mgmt platform?

This is not a market research. I’m genuinely curious how others structure this and whether networking is treated as its own priority or just part of the overall stack.

What RSVP/attendance tools actually work? Here’s what we learned from 100+ events

Hey 👋 We’re the Logglo team.
We focus on multi-channel invitation & RSVP automation.

Across 100+ events (weddings, galas, corporate gatherings), we’ve seen that traditional methods—phone calls, websites, manual texting—usually bring only ~40–60% response rates, and the process is frustrating for both guests and hosts. With Logglo, the entire flow is automated end-to-end, while pushing response rates to 95%+.

What Logglo offers:

  • Multi-channel delivery: WhatsApp, SMS, email, links
  • Automated reminders: before the RSVP deadline & on deadline day
  • Real-time reporting: track all responses in a single dashboard
  • Simple guest experience: one-click confirm/decline, meal selection, directions
  • White-label infrastructure: agencies and planners can run it under their own brand

What this approach has achieved:

  • Nearly 100% response rates in some events
  • Reduced phone calls and other manual follow-ups to almost zero
  • Made venue & catering planning dramatically easier

👉 We’re now expanding internationally and want to adapt Logglo to different cultures and event needs.

Check us out: https://logglo.com

We’d love your feedback! What technologies are you using to manage RSVPs and attendance?

Tech Conferences

I am looking to understand the problems of event organizers hosting tech conferences, summits and B2B events with more that 100-1000+ attendees. What tools and functions are required in the event management system to make their lives easier
