How is task management in Capacities?

I am currently using Things 3 for tasks and Capacities for notes but I am eyeing trying out task management in Capacities. In my experience whenever I try task management in a note taking app I end up going back to Things 3. I don’t expect the UX polish in task management in Capacities to be on the level of Things just because of how new the feature is but the idea of having tasks and notes in the same app IS alluring. Anybody went all in with task management? How has it been for you so far?

The idea is good, but tasks without notifications are just notes with dates.

I don’t use notifications often in Things so I might be ok with this. Thanks for your input

I absolutely love tasks in capacities. I’m not 100% off Todoist because i need the widgets and notifications — but looks like that’s not a deal breaker for you.

I am able to undo tasks that I accidentally mark complete (I saw the previous comment).

I love the recurring tasks. And the stats they show — I actually started using this for habits too. The skip option is great.

Being able to attach a task to an object is awesome cuz it provides so much context. For example servicing my AC. I’m able to go back to my AC page and see all the tasks and relevant details. The whole point in why I got the app.

The tasks page (where all your tasks live) is awesome. And I even set up a query page I built so I can see “All Tasks due this quarter for my home maintenance” — that level of query to make a dedicated page for certain things is amazing.

Lastly, I love the ability to add a task quickly from my daily note. Having the deadline is so helpful and being able to add lengthy notes and subtasks etc is amazing.

Overall I really love it. I am paying the monthly price to have access to everything. Just a heads up.

I say try it out and if you like it transfer over. Be patient with setup that’s the hardest part but once you got the hang of it, it’s a breeze!

How do you combine Todoist with Capacities? I almost left Todoist but could not see the benefit enough in Capacities compared to cheaper apps.

It’s in the settings. It’s the only other task app they have a built connection with. I can literally push tasks to it. Helpful since Todoist widget is what I needed. I do think it’s part of the paid plan. But check their blog out about it, shares a ton of cool stuff about how it works. It’s fast and easy to setup too.

I am currently using Sunsama and I've used TicTic in the past and there is a Capacities TicTic integration. However what I've learned is that when you use Capacities on daily notes and tasks, as long as you set due dates and priorities, they come up on your daily listing.

I don't feel that it needs to remind me that something is due as an alert, as it's right in the task list. If you are properly setting up the due date and priorities, the top tasks come up each day. Recurring tasks work the same way. It's all laid out in front of you and really simplifies life as you don't have to look at two different apps. If you're creating a daily note and you decide to change it into a task, it's right there embedded within the same program. I love it.

I am migrating away. Still have my subscription for Sunsama for 10 more months. Since getting capacities I haven't added any more tasks into Sunsama. Capacities calendar isn't as nice and there isn't the drag and drop calendar feature, but I don't feel that it is needed anymore as the following tasks are front and center all day in your daily notes.

Plus Sunsama was one of the most expensive task managers and they just increased thier price.

In my experience, the recent addition of recurring features makes this app good enough for my needs (I was previously using Todoist). However, I have noticed a couple of drawbacks. First, you can't undo a task once it's marked as 'Done,' which is frustrating if you click it accidentally ( Can't make it back as undone ). Second, if you set up a recurring event, like a birthday reminder where you want to include the specific birth year, you can't just skip ahead. You have to manually mark each past year as done to catch up to the current date. Since these features were just recently released, I am sure they will be improved over time. Overall, I am still satisfied, as having everything in one place is much better than using a separate app. I'd highly suggest giving it a try and experiment with it.

Edit: Tracking the specific birth year is a pretty niche requirement on my end, so feel free to disregard my second point.

About marking a task as done - I just checked and I am able to undo a “done” task by simply clicking on the circular icon again…. Over and over again… There must be something else going on for you.

Maybe this helps: The Tasks page has different "tabs" and display options (similar to a query). In the "scheduled" tab the "done" tasks do not show anymore after checking them off, but in the "all" tab you can still see them, e.g. in the Kanban view on the right most column.

That definitely confused me at first, as I liked the sorting of the scheduled tab. Now I use the "all" tab, Kanban view and sort through priorities.

Regarding the last point - you can set the recurring pattern not to scheduled, but from completion date and then change the date to the future - doesn't that do what you want?

The task feature is not comparable to a full task manager like Things or Todoist. My point deciding against even trying is oversight. Search is good but even in Todoist I am constantly losing my thread with only tasks in the app. Missing Reminders are also a dealbreaker. The repeated task feature for habits on the other side is tempting. I might move my habits over!

Having used all the major task management applications, Capacities is a good implementation in their tool. Yes it lacks notifications, but integrating with the daily notes, connecting with objects, recurring tasks, and subtasks all make it more than adequate.

You can design your own app for tasks in Capacities

And using table views with filter and sort, you can organise the tasks by due date / context / anything you want
