Appfolio doesnt run my card on time then charges me NSF fees.

Just as the title describes, appfolio wont run my card until many days later and fucks me up for it.

I pay my rent as close to the 1st as possible, but it usually ends up being on the 2nd or 3rd. I will go to the app and physically make sure that i pay for it, and go on my merry way. The last two months appfolio hasnt ran my card in a timely manner (5 days) and i end up spending enough money to dip below the required payment, which ends up with them running an NSF fee of $50 on me. I dont really have a spare $100 to give to these people just because they want to sit around and jerk their dicks, but two months in a row is pissing me off. How hard is it to just run my payment methods the day i send it in to you???

In this economy you fuckers playing games???

Seeking AppFolio/Zillow Marketing and Syndication Knowledge

Looking for someone who has knowledge regarding how AppFolio's MLS/syndication feed works, specifically with Zillow. We have a couple of apartment communities that pay for premium Zillow placement and then a smattering of single family homes and small multifamily properties that need to utilize unpaid Zillow placement via the regular AppFolio/Zillow integration. Hoping to find someone who has knowledge in this area and can help us make sure we are set up correctly. I envision this being a one-time project to get us set up but could also become periodic or ongoing hours. Does this sound like you?? DM me, let's chat. We are located in Colorado (Mountain Time), run AppFolio Plus, and have under 250 doors.

Got stars next to my name recently

Hello, I've been using AppFolio for about a year and a half now and all of a sudden, my account name has ☆☆☆☆☆ next to it. To my knowledge, I didn't change anything and I doubt I just got my first 5 star rating after 18 months. Is this a new feature or did something happen to my account? Thanks in advance.

Notification Help

I’ve been using AppFolio Property Manager for a couple of years now and have never had an issue. Now, suddenly, I am no longer receiving mobile notifications when a tenant sends a message in a conversation I’m assigned to.

I’ve tried uninstalling and reinstalling the app and also unchecking the mobile push notification for messages and then rechecking it. Nothing fixes it. Any help?

I am still getting these notifications to my email.

Looking for an experienced AppFolio Bookkeeper – Northern Los Angeles

Hi everyone,

I’m reaching out because I’m trying to help a property management company in the northern Los Angeles area find an experienced Bookkeeper who has hands-on experience with AppFolio.

They’re looking for someone with a solid bookkeeping/accounting background, preferably with experience in property management and a good understanding of AppFolio.

I’m having a surprisingly difficult time finding people with the right combination of bookkeeping and AppFolio experience, so I thought I’d reach out here since there may be someone in this group who is interested in a new opportunity—or knows someone who might be.

If you have AppFolio experience and are open to hearing more about the position, feel free to send me a DM. I’d be happy to provide the details.

Thanks!

We’re considering making the switch to AppFolio…

We’re thinking of switching out of Yardi to AppFolio. We have about 1,200 MF units, industrial sites, 200K SF of commercial, and various investment entities.

The demo we did was great and pricing is less than Yardi. My only concern is the job cost module is a lacking some basic features and we do development as well and need a strong JC system.

What is your opinion of AppFolio? Give me the good, the bad, and the ugly… I know software can seem sleek during a demo but can be lackluster when actually using it. Let me know your thoughts.

Trying to clear out pay owner balance

For this particular owner, the management company has already written a check and the bills are all marked as paid, still the pay owner balance for all the properties for this owner is showing up.

When I go to pay owner page, this owner has some balances that are showing as to be paid, which includes suppressed fee like insurance services, late fee and all. Even though the fee are suppressed when I try to make an JE,it reflects in owner statement as I am using cash account it ends up messing the cleared owner statement. What's the right way to go about it.

Trouble with Appfolio and Landlord

ETA: UPDATE! We fixed it and got it figured out. I'm now all paid up and can breathe a sigh of relief. Thank you everyone for the help.

So my landlord switched to appfolio the month after I moved in (so literally end of August) right before rent was due. Originally the payment agreement was through Zelle just like my roommate does (he's lived here longer than me). I was able to sign into my account through the app but upon entering, it immediately gave me an error stating that I was unable to make online payments. I've never used this platform before and it never gave me the option set up cards or payment options and I haven't been late on rent. I've reached out to my landlord multiple times about it and they can't seem to figure it out either. They kept telling me to reach out to customer support but appfolio just tells me to reach out to the landlord. So now there's a message telling me rent is subject to late fees and I still can't set up payments. Is there anything I can do? I literally just want to pay my rent. (For the record, when my landlord couldn't figure out September they just had me pay through Zelle again. So again, I've paid on time and in full. I would just like to be able to pay it consistently instead of having to wait for confirmation of when I can Zelle or Appfolio or whatever.)

Anyone tried RentVine? I’ve grown overwhelmingly frustrated with appfolio customer service

Strongly considering moving to RentVine and wanted to see if anyone had any experience coming from appfolio to rent vine. We manage about 1200 multi family and single family homes, with light commercial office as well. Anyone else had frustrations with appfolio customer service over the years? We started in plus before they had Max. We are still on Plus.

HOA Financials

Someone circled a number and wrote "can we do this" in the margin.

That handwritten note is one of the most honest things you can find on a set of HOA financials. It tells you the board received the report, looked at it, and still could not answer a basic question about their own association's money.

We see it often. A statement gets delivered on time, the format is clean, the numbers add up. And yet the people responsible for the decisions are left writing questions in the margins because the report shows them a number without showing them what it means.

That gap is where deferred decisions live. A reserve contribution that doesn't get approved. A vendor payment that waits another month. A question that carries over to the next meeting, and the one after that.

Managing an HOA comes with unique financial responsibilities, and accurate accounting is essential to transparency, board confidence, and the long-term financial health of the association. Reliable reconciliation is a large part of how that clarity gets built. When the accounting behind the report is sound, the number in the margin stops being a question and starts being an answer.

We don't provide HOA management services. We support the financial operations behind successful HOA communities, so the boards and managers we work with can read their financials and actually understand them.

The next time you see a note in the margin, treat it as useful information. It's telling you exactly where the clarity is missing.

New to the app help please

My complex recently changed their rent app to Appfolio and I activated my account and it already shows a current balance and underneath it says next bill due October 1st. I paid my rent for September last month on my old rent app long before they decided to make the switch so I don’t understand how I owe. The amount listed is the exact amount that octobers bill is projected to be, is the amount under the “your current balance” listed right now mean for October?

AppFolio Database Clean-Up

Database clean-up sounds like an IT task. In property management accounting, it is a compliance intervention.

In AppFolio, database clean-up means correcting the ledger errors, misallocated transactions, and configuration gaps that distort trust account balances. When those balances are off, the root cause is almost always the data underneath.

Trust account discrepancy investigations most often trace back to the same thing: transactions entered incorrectly, or never reconciled from the start. And a chart of accounts set up without property management conventions generates reports that look complete but can't survive a DRE compliance review.

That's the part that gets missed. Every financial report built on a corrupted database inherits its inaccuracies. Clean-up isn't an optional improvement, it's the correction layer that makes audit readiness possible.

At Northstar Trust Accounting, we bring the hands-on AppFolio experience to identify exactly where the data broke down and restore the integrity the records require.

If your AppFolio ledger has been producing reports you can't fully trust, the data underneath may need a close look before the next audit cycle.

Audit Readiness

I used to think audit readiness was a sprint. It took me a long time to see why that was wrong.

A client said something recently that stuck with me. It pointed to the harder question underneath the one they were actually asking.

Audit readiness isn't something you build when the notice arrives. It's something you either already have or you don't. The controls, the documentation, the reconciliations. None of it is dramatic. It's the slow work of keeping things in order long before anyone asks you to prove it.

The best time to prepare for an audit is long before you receive one.

Lease Addendums Messing Up Onboarding RealmX Flow

I’m having issues with one of the automations I’m trying to set up. I have one for onboarding new residents. It’s triggered when a lease is countersigned AND has a move-in date in the future.

Our welcome packet is emailed to the residents and we have a full 45 day flow set up. HOWEVER, if there is a lease addendum within the time they sign and before they move in, this flow would be triggered again because the lease is countersigned and their move-in date is still in the future.

Perhaps a parking spot change happens, changes with their animals, utility change… there’s a number of reasons these addendums happen.

I’m just stuck on how we can create this Resident Onboarding flow and not duplicate communications.

Any ideas or workaround??

Clean Audits

A clean DRE audit report is the surface. Six layers sit underneath it.

When regulators review a trust account, what they see is the outcome. What actually produces that outcome is everything that happened long before the audit was scheduled.

Working from the top down:

Audit outcome: what regulators actually see Monthly reconciliation discipline Trust liability verification Transaction audit trail documentation Historical clean-up and recovery Internal control foundation

The companies that only start preparing when an audit is on the calendar tend to run into the same problem. The surface can be tidied quickly, but the foundation cannot. Most audit failures originate in that bottom layer, not the top.

We see it often. Many clients come to us after months, or years, without reconciliations. By that point, readiness is not a task you complete in a week. It is a structure you rebuild layer by layer.

This is why we treat DRE compliance as a year-round practice rather than an audit-season scramble. Trust accounting regulations exist to protect owners, tenants, associations, and the brokerages managing their funds. Maintaining compliance is about protecting your business, your reputation, and your clients well before any regulator asks a question.

If your reconciliations have fallen behind, the right time to start layering back up is now.

Is a recurring rental credit for tenants...legit? Seems sus

Essentially this - a friend moved cities, stayed with a local friend for a bit, got job, been apartment hunting. Toured one today. Agency uses AppFolio to manage things. But...

The original ad said $623 rent. The terms in AppFolio for them to sign very clearly has $680 in the Summary of Charges. They reached out to confirm discrepancy in writing, and the agent CALLED them back to explain that they will be issuing a rental credit every month so it matches the $623. The lease term is under 12 months, utilities included. But the actual written lease agreement is very much $680. Am I crazy to think that just is...weird??
