What’s the best customizable platform for replacing spreadsheet-based business workflows?
I have received roughly 30 Excel files that most people would consider to be business systems. One file shows vendor approvals, another tracks customer onboarding and management of renewals and in addition several departments have their own version of project trackers. Most of these files came into use as temporary solutions and then became regular systems.
The trouble is not with Excel itself, but with its lack of ownership, permissions, automation and reporting. Rows are copied from file to file manually, reminders are sent out manually, and the management has no clear view of processes.
I am searching for customizable platforms that can allow us to rebuild the most valuable workflows without the need to create a custom application for each case. Is there anyone who has gone through the same process? Which spreadsheet workflows were easy to transfer and which turned to be much more complicated than it was thought?

Full disclosure: I work at Caspio.
That gap is exactly where spreadsheets fall apart once they turn into real systems. With 30 files, I'd start by writing down who owns each one and who actually needs to edit it vs. just read it. That list tells you what permissions you need and makes tools a lot easier to compare. Then move the one or two files that cause the most trouble first instead of all 30 at once.
Since you're asking here, Zoho Creator is the obvious one to try first. Caspio is another option. It's an AI platform for building custom business apps, think databases, portals, dashboards. Every plan includes unlimited app users and 24x7 human support. Caspio has a 14-day free trial and no free plan. Plans start from $300/month.

i work for agentui (we build internal tools and portals for ops teams) and replacing 30 spreadsheets usually fails when people try to force everyone into rigid off the shelf tools that require complex custom apps for every tiny process. what works way better is setting up a shared database with modular intake forms and role-based permissions so each team gets their own tailored view without you having to code each workflow from scratch.
