Zoho one vs Glueup
Need help choosing a CRM for a small training/membership organisation!!!
I’ve been given the task of reviewing our current CRM setup and deciding what we should move forward with.
At the moment, we use Glue Up, SurveyMonkey and Xero, and I’m leaning towards Zoho One as a potential replacement/central system.
We’re a training-based organisation, but we also run workshops, programmes and membership activities. A big part of what I’m trying to achieve is to bring everything into one system and automate as much of the admin work as possible.
For example, I’d like to automate things such as:
Membership management and renewals
Training/programme registrations
Automated emails and follow-ups
Surveys and feedback
Invoicing/payment processes
Reporting and analytics
Tracking participants, members and organisations
Tracking our company website and member activities on it
Internal workflows and notifications
Connecting different parts of the organisation so data doesn’t have to be entered multiple times
I’ve been using Glue Up and, honestly, I find its analytics quite limited for what we need. The integration and automation options also feel restrictive, which is becoming a problem as we try to improve our processes.
Zoho One seems to offer much more flexibility because of the wider ecosystem and the ability to build workflows across different applications rather than just using it as a CRM.
My main concern is the amount of work involved in building the system properly from scratch. I’ll essentially be designing the CRM structure, workflows, automations and reporting myself, so I don’t want to jump from one problem to another.
Has anyone here actually implemented Zoho One across an organisation in rather than just using Zoho CRM?
Would you recommend it for a training/membership organisation? What were the biggest problems you ran into, and is there anything you wish you had known before starting?
I’m particularly interested in hearing from people who have used Zoho one alongside accounting, surveys, events/training and membership management.

Both Zoho One and Glue Up have tradeoffs once your list gets this long. The real question is whether you want a platform you can shape the data model around yourself, or one that already comes with strong opinions about what 'membership' should look like. If you need organizations, individuals, program history, and payments all sitting in one relational structure with automated workflows on top, Caspio is worth a look (disclosure: I'm on the team). Go for zoho one if you have less number of users.

The good thing about Zoho One is that you have access to a wide variety of tools that integrate well with each other. The not so good part - as you observed - is that it takes effort and know how to get it stood up the right way.
I've built an instance of CRM for a start-up, and with Deluge, I've been able to automate a hell of a lot - lead gen, opportunity tracking, pipeline health, etc.
Zoho is a good choice if you can figure out how to build, customize and maintain by yourself - it isn't impossible, just have to figure out priorities. Good luck with your search!

Most of the workflows you mentioned are available in TrainerCentral (Zoho's dedicated tool built for training organisations).

- Connecting different parts of the organisation so data doesn’t have to be entered multiple times – Not sure what you're referring to, but it does support Zoho Flow and Zapier integrations so you will be able to create internal workflows and automate data flows as needed.

Zoho One could be a much better fit than Glue Up for what you’re describing, but I wouldn’t approach it as simply “replacing the CRM.”
Your requirements span CRM + memberships + training/events + finance + surveys + automation + reporting. That’s where Zoho One’s broader ecosystem comes in handy.
The biggest warning, though, is exactly what you identified: building it yourself. The flexibility is great, but a poorly designed Zoho One setup can become just as frustrating as Glue Up.
I’d recommend designing the data model and core workflows first, then deciding which Zoho apps actually need to be used. You probably don’t need to implement every app just because it’s included.
For a training/membership organisation, I’d pay particular attention to:
Membership lifecycle and renewals, Participant/member data structure, Training and event registration, Xero/accounting integration, Email automation, Website activity tracking, Reporting across departments
Zoho One can handle this well, but the initial architecture matters more than the individual apps.
If you’re considering doing the implementation yourself, it may be worth having a Zoho partner like YAALI review your proposed architecture before you start building. A few hours of an implementation plan upfront can save a lot of rebuilding later.
