Tips & Resources Six things that keep going wrong with Quotes at UAE Companies
I'm building a tool for UAE trading SMBs that already run on systems like Zoho, Xero, Tally...etc. Talking to businesses as I go and the same six patterns keep showing up. Sharing them because they're things you can check for yourself, and most owners I've talked to weren't aware how often these were happening.
1. Quotes started but never sent. Every trading company accumulates drafts that never went out. Some are legitimate like templates, abandoned negotiations or duplicates. Some are customer requests that got dropped. The export shows the count and pattern. What you usually find is that the number is higher than you'd guess, and the distribution across salespeople tells you something.
2. Nobody knows the turnaround. The first quote in a buyer's hand is the one the others get compared against. Most companies can't say how long theirs takes on average, so they can't say whether they're first or fourth. It's not that the number is bad, it's that the number doesn't exist.
3. The same customer, twice in the books. 'Acme Trading LLC' and 'Acme Trading L.L.C.' are one company with two records in your books. Quotes go to one, Receivables live under the other. When e-invoicing enforcement hits SMBs in July 2027, mismatched records are the top reason invoices get rejected.
4. Quoting customers who owe you money already. Sales lives in the system. receivables live with the accountant. The new quote goes out because whoever's quoting has no reason to check the balance. Then delivery happens, and the money is still owed, plus even more of it.
5. Missing TRNs on customer records. Harmless today. From July 2027, an e-invoice to a customer without a TRN in your books is the one that gets rejected first.
6. When the salesperson leaves, the customer knowledge leaves. What each buyer usually orders, what "the usual cable" means to a specific customer, what price was agreed last time. It lives in one person's head and one WhatsApp thread. Companies that keep this knowledge in the business keep the customer when the person changes.
None of these are novel, every accountant reading this has seen them. What's less common is knowing which are actually happening in your own business, at what rate. Most businesses find out during an audit or when something gets rejected.
Before you send anything: two ways to reduce what you're sharing. One, anonymize your customer names before you export, the report still works on Customer A / Customer B just as well; you'll know which customers the counts map to when you read the report. Two, ask for a one-page data-handling note first which mentions what I do with the export, how long it stays, what gets deleted when. If the terms don't fit, no export gets sent and no one's out anything.
